What We Accomplished - FY11 Goals Met<br />

based on security and access specifications. The system was designed with the involvement <strong>of</strong> the functional users, who<br />

are very pleased with the end results.<br />

Student Dashboard and Advising Notes<br />

The Student Dashboard and Advising Notes application integrates data related to student academic progress from various<br />

<strong>of</strong>fices into one central location in PeopleS<strong>of</strong>t. Using web-services, the application also collects information from systems<br />

outside <strong>of</strong> PeopleS<strong>of</strong>t and integrates it within the application. This functionality greatly enhances the ability for multiple<br />

<strong>of</strong>fices to collaboratively manage student records. The application is currently being used by the Residential College<br />

advising staffs, the Study Abroad program, health pr<strong>of</strong>essions advising, academic advising for athletes, and the <strong>Office</strong> <strong>of</strong> the<br />

Registrar. The application provides an effective advising facility for students and a more comprehensive record for advisors.<br />

DataMall conversion to the University Data Warehouse<br />

As <strong>of</strong> June 30, 2011, DataMall functionality is available in the <strong>Information</strong> Warehouse for all except Capital Budget<br />

reports and ODBC. The Capital Budget reports have been created and are awaiting final testing and approval from the<br />

administrative users before conversion to the <strong>Information</strong> Warehouse is complete. The conversion <strong>of</strong> ODBC reporting<br />

into the <strong>Information</strong> Warehouse is scheduled for early FY12. Functionality not previously possible in the DataMall has also<br />

been developed.<br />

Undergraduate Announcement as a new online facility<br />

OIT collaborated with the <strong>Office</strong> <strong>of</strong> the Dean <strong>of</strong> the College to develop an online Undergraduate Announcement that is<br />

easily accessible, searchable, and user friendly. The new online format replaces the need for costly printed and distributed<br />

publications. The web-based Undergraduate Announcement is comprised <strong>of</strong> information collected and stored in the<br />

PeopleS<strong>of</strong>t system. Enhancements to the PeopleS<strong>of</strong>t Program Guide create, expand, and populate the Program Guide<br />

with each department’s masthead and prose sections. OIT also modified the customizations to the PeopleS<strong>of</strong>t Curriculum<br />

Management module to provide a more efficient way for the <strong>Office</strong> <strong>of</strong> the Dean <strong>of</strong> the College to gather and approve<br />

course information changes: specifically course title, course description, UA instructor, and term <strong>of</strong>fered. The result <strong>of</strong> this<br />

project is a cost-saving Undergraduate Announcement that is accurate, accessible, and timely.<br />

New Salary Administration Management (SAM) for University staff<br />

OIT designed and developed the custom “Salary Administration Management (SAM)” module to move the salary<br />

administration process into the PeopleS<strong>of</strong>t HR environment. The new process allows central Human Resources and all<br />

administrative departments to operate within the same environment and record all changes immediately and in real time.<br />

The system design also <strong>of</strong>fers departments the flexibility to maintain a department-specific reporting structure and custom<br />

approval trails. SAM also manages the University’s MIP rules, preventing incorrect data from inadvertently being entered<br />

into the system and propagated. Monitoring tools allow HR to monitor departmental progress and identify areas where<br />

help may be needed. The features and built-in controls <strong>of</strong> SAM <strong>of</strong>fer a significant improvement over previous processes<br />

that required much greater manual effort and had fewer or no controls. The new SAM has been well received by its users.<br />

Conflict <strong>of</strong> Interest form<br />

As planning got under way in FY11 to create this functionality, it was decided by the Human Resources department to<br />

defer development <strong>of</strong> this functionality to an as-yet determined future project cycle.<br />

FY11 goal: Identify and implement IT-related cost savings initiatives to assist administrative <strong>of</strong>fices and<br />

academic departments, as well as OIT, in achieving their University savings targets<br />

OIT worked with administrative departments, academic departments, and SUMAR to identify and realize new<br />

opportunities for IT-related cost savings in FY11, in support <strong>of</strong> the goal to continually identify efficiencies and projects in<br />

academic and central administration that strengthen the University workforce, business operations, and services, and<br />

ensure appropriate utilization <strong>of</strong> resources. In collaboration with administrative <strong>of</strong>fices and academic departments, OIT<br />

achieved IT-related cost savings in the following areas:<br />

• IT Infrastructure Consolidation<br />

• Print-less<br />

• E-Mail Consolidation and Outsourcing Options • Cluster Computers<br />

• Desktop Computer Programs<br />

• Mobile Communication Devices<br />

Details about the cost-savings results are provided in the section, “OIT’s Contribution to Sustainability and Cost-savings<br />

Initiatives,” on page 16.
