7.2 VERIFIER SELECTION AND ENGAGEMENT BY 4C UNITS<br />

Requirements: 4C Units MUST request Coffee Assurance Services a registration number for their 4C<br />

Unit and MUST ONLY send a request for proposal to 4C approved Verifier companies. Once an<br />

approved Verifier company has been selected by the 4C Unit, the 4C Unit MUST send the completed<br />

set of application documents (the Assessment Tool, the Business Partner Mapping and the<br />

Organizational Chart) and proof of 4C Unit registration number to the Verifier company and<br />

simultaneously inform Coffee Assurance Services about which verifier company has been chosen. After<br />

implementing the 4C Code of Conduct and other requirements, the Managing Entity must ensure that<br />

all required documents mentioned above (See also section 7.3 Preparation for verification by 4C<br />

Verifiers) are completed before sending a Request for Proposal (Annex 10.3 3) to approved 4C<br />

Verifier companies. The verifier selection process MUST be transparent and completely free from any<br />

potential conflict of interest. Records MUST be retained for at least six years (two verification cycles) by<br />

Guidance: This requirement applies to 4C Units and 4C Verifiers. It is mainly relevant for the selection<br />

and engagement of verifiers for initial and re-verification. For addendum verification, the 4C<br />

Association recommends that 4C Units engage the same verifier company, while for follow-up visits<br />

even the same verifier (either lead verifier or verifier) must be engaged.<br />

If the unit has specific reasons to not receive the same verifier during a follow-up visit, a request should<br />

be sent to Coffee Assurance Services, in order for CAS to take the final decision.<br />

Before sending a request for proposal for an initial verification to Verifier companies operating in the<br />

region/ country, 4C Units must contact Coffee Assurance Services to request a registration number for<br />

their 4C Unit. Coffee Assurance Services will then include the application and all relevant data into the<br />

database of Coffee Assurance Services. The registration number is unique for each 4C Unit and will be<br />

If 4C Units implement different schemes, such as the Rainforest Alliance, UTZ Certified, Fairtrade or<br />

C.A.F.E Practices or any other, Coffee Assurance Services recommends that the 4C Unit arranges a<br />

combined audit to save time and resources.<br />

Within a verification cycle (maximum three years), verification must take place at least once during<br />

harvest time. If the initial verification takes place in the off-season, 4C Units must schedule a reverification<br />

or addendum during the harvest period.<br />

As many individual verifiers are regularly travelling with sporadic access to emails or other<br />

communication media, the common practice is to allow at least five working days for a proposal for<br />

verification. The 4C Unit is then free to choose the most suitable verifier based on proposals received.<br />

4C Units may use the below criteria as guidance to select a verifier in an objective and free of conflict of<br />

interest way. These criteria are as follows:<br />

Language proficiency (in order to communicate with the 4C<br />
