<strong>Student</strong> Organizations & Activities<br />
D. Request for approval of a trip must be submitted to the Vice President for <strong>Student</strong> Development<br />
and Services at least one week prior to the trip. The request must include a roster of who will be<br />
going on the trip, the destination, mode of travel, time and purpose of the trip, signature of faculty<br />
or staff member that will accompany group, and other pertinent information.<br />
E. A faculty or staff member must accompany students on all trips.<br />
4. Posting Guidelines<br />
A. All notices to be posted must be stamped by either the Office of <strong>Student</strong> Activities or the Office of<br />
the Vice President for <strong>Student</strong> Development and Services.<br />
B. Persons or groups responsible for the postings of notices are also responsible for removing such<br />
notices immediately following the event or within a day after the event.<br />
C. All notices must be in correct English.<br />
D. Handbills, pamphlets, newspapers and other writings are treated in the same manner as notices<br />
and therefore must receive administrative approval prior to posting or distributing on campus.<br />
E. Postings will be removed if regulations are not followed.<br />
5. Role of Organization Advisor<br />
Normally, only <strong>Claflin</strong> <strong>University</strong> faculty and staff, on recommendation by the organization and approved<br />
by the administration, may serve as advisors to student groups. However, in some instances,<br />
community members may be recommended as advisors. The organization advisor has the following<br />
responsibilities:<br />
A. The advisor or his/her designee must be present in order for an organization meeting to be a bona<br />
fide meeting.<br />
B. The advisor should insure that the organization’s activities, programs and other forms of entertainment<br />
are in good taste and reflect favorably upon the <strong>University</strong>.<br />
C. The advisor should assist in scheduling all activities on the student activity calendar.<br />
D. The advisor must secure approval (by securing the proper signatures on the travel form) prior to<br />
taking a group off campus.<br />
E. The advisor reviews the group’s operations for consistency with the <strong>University</strong>’s regulations and<br />
policies.<br />
F. The advisor assists the organization with the proper management of the group’s funds and the<br />
filing of the End of the Year Report.<br />
G. The advisor actively participates in leadership training when offered by the <strong>University</strong>.<br />
H. Characteristics of a good advisor:<br />
