ORDERING SUPPLIES PROPERLY<br />
lt is the responsibility <strong>of</strong> the grand knight to instruct his <strong>of</strong>ficers,<br />
directors and chairmen <strong>of</strong> the proper and efficient procedures<br />
to be used when ordering supplies from the<br />
<strong>Supreme</strong> <strong>Council</strong> <strong>of</strong>fice. Your financial secretary can also<br />
lend some assistance in this matter as it is he who is ultimately<br />
responsible for the ordering <strong>of</strong> any programming<br />
materials.<br />
Service Program directors should order materials for projects<br />
or functions through the financial secretary. They<br />
should not order materials for other directors. Such unauthorized,<br />
although well-intentioned, actions work at crosspurposes<br />
and inevitably result in the duplication <strong>of</strong> letters,<br />
orders, efforts and shipments.<br />
For example, if a membership recruitment program is<br />
planned, the membership director or some definite<br />
appointee <strong>of</strong> his may order the necessary folders, booklets,<br />
forms, etc., through the financial secretary. No one else<br />
should interfere unless it is specifically agreed that he is to<br />
do so .<br />
The <strong>Supreme</strong> <strong>Council</strong> <strong>of</strong>fice does distribute to councils<br />
annually copies <strong>of</strong> the “Supply Catalog” (#1264), and the<br />
“<strong>Knights</strong> <strong>of</strong> <strong>Columbus</strong> Gift Catalog” (#1427) which contain<br />
listings <strong>of</strong> the items available from the Supply Department.<br />
Make these catalogs available to your directors and committee<br />
chairmen; they contain a complete listing <strong>of</strong> the<br />
<strong>Supreme</strong> <strong>Council</strong>’s Service Program materials and promotional<br />
items.<br />
All directors should be informed that every order should<br />
bear the name, address, council number and location, and<br />
title <strong>of</strong> the individual sending it. All orders to be charged to<br />
the council’s account at the <strong>Supreme</strong> <strong>Council</strong> <strong>of</strong>fice must<br />
