Message from Dean AP
Research is one of the most important activities that the institutes
like IIT Bombay engage themselves in. The international status of an
academic institute depends most importantly on its research output.
This research output, on the other hand, is obtained mainly from the
hard work of research scholars. In that sense the research scholars
contribute most directly to the image of the institute. Further,
research scholars be-come a part of close family of not only the
institute but also the department and most importantly supervisors. A
lifelong relationship gets developed between the supervi-sors and
their Ph.D. students. We always remember our Ph.D. supervisor and
our Ph.D. students always remember us. With these words I welcome
all the Ph.D. students to IIT Bombay family.
The institute have provided excellent facilities to carry out research
in every department. It has also provided a large number of central
facilities, which can be used for carrying out research. This included
online access facility of most important research journals in the
world and to the hard copies of books and journals in the library. The
institute tries its best that the Ph.D. students have an all-round
development in addition to becoming a good researcher. It provides
opportunities of a lot of co-curricular and extra-curricular activities,
including cultural and sport facilities where you could take part.
I understand that during Ph.D. there are moments when you may
need help. IIT Bom-bay provides an excellent system by which there
would be volunteers who would be ready to help to redress it. Do not
hesitate to contact them in case you face any diffi-culty. You could
also contact Academic office or me or associate dean personally in
case there is still some issue, which is unsolved.
All the best for your stay in IIT Bombay.
It gives me immense pleasure to know that the Research Scholars’
Forum of IIT Bom-bay is bringing out the fourth edition of the PhD
handbook, compiling almost all the informa- tion needed by
incoming research scholars on academics, accommodation, health
facilities, extracurricular activities, safety, and security.
The PhD programme is the most valuable component of the
academic activities of the Institute and our research scholars are very
significantly contributing in our endeavor of extending the frontiers
of knowledge. We are continuously working on reviewing and
revising the academic programme, enhancing the research facilities,
and improv-ing other facilities for reducing research related stress
and improving the quality of on-campus life. The PhD handbook is a
contribution in this direction, and it is so much more valuable
because it is prepared by research scholars them- selves. In addition
to helping incoming students, it will lead to increased interaction
among research scholars.
We wish the research scholars’ community further growth and
progress.
Message from PG Academic Council
Dear Friends,
Congratulations for gaining admission to one of India's premier
institutes of higher learning and research – Indian Institute of
Technology Bombay (IITB). You have realized your dream to pursue
your research at IITB through a lot of hard work and perseverance.
Today you are in a unique position to gain knowledge and hone your
skills. This opportunity should be well utilized to become better
individuals and contribute to the society and the nation at large. And
what could a better place for this transformation than an institute like
IITB. It is undoubtedly an honor and a privilege to be a student of
this institute.
As known widely, the institute has well equipped research
facilities and excellent teaching faculty which have contributed to its
great progress. You will also soon be a part of this distinguished
intellectual group. But, it is also required that you maintain its
decorum and come up to the expectations of this institute. PG
Academic council is here to assist you fulfilling these expectations.
PG Academic council is a representative of students' interests in all
the aspects that affect them. We will be there for you throughout the
course of your stay here. This is possible with the efforts of our
dedicated departmental research representatives of relevant
committees and dedicated academic core council members who
vouch to assist you both in academic and non-academic research
pursuits.
The life at IIT Bombay does not revolve only around
academics. The campus has lust green and pollution free
environment – thanks to Eco-friendly policies of the institute. So, we
hope, you will enjoy these natural settings of the campus. As the
saying goes “All work and no play make Jack a dull boy”, you
should take the opportunity to discover and enhance your
extra-curricular skills. If you rightly manage your time, you can not
only accomplish your work but also have time to participate in
various activities happening in the institute. Most scholars start their
research life in labs, which soon become their second home for
completing research related activities such as working on
experiments, analysis and results, writing reports, meeting PhD
viii
PhD Handbook 2013, IITB
advisor/guide, etc. Among all the people you meet in the institute,
your PhD advisor has the most important role to play in your
research life. Keeping in touch with your PhD advisor regularly will
help you shape your research pursuits and contribute your research
findings to the scholarly community.
Like graduate programs, doctoral program also begins with
comprehensive coursework suggested by the faculty advisors of the
respective departments. Some departments also have a PhD
qualifying examination and/or course grade cutoff to verify the
caliber and capability of the PhD student to continue the research
work. In addition to faculty advisor, most departments also have
student companions to help you with the academic and non-academic
issues. And if you attend all classes attentively and meet the
department requirements, you also have better prospects to seek good
employment opportunities. All scholars are provided with a unique
LDAP ID, which gives you access to all the student resources such as
ASC, IITB mail box (GPO), library etc. Most importantly mails
addressed with subjects “Events”, “Student-Notices”, “Seminars”
should not be deleted without reading them, as they talk about the
various events and student activities happening in the campus. In
addition to these, we also have excellent library with wide collection
of books and bibliography.
Sports and cultural activities (facilitated through SAC) are
also centers of vibrant life at IITB. We have trained sportsmen to
teach various sports such as tennis, badminton, swimming, squash
with excellent practice courts and training rooms. We encourage you
to participate in student cultural activities such dramatics, music,
dance and foreign language courses to explore your talents, while
following your research pursuits. We have compiled all the
information necessary on academics and non-academics aspects of
your stay here at IITB. However, feel free to get in touch with us for
any help and guidance on any issue that may surface. We heartily
1. Academic Information
1.1 The Kickstart Window
First things first, all research scholar should sign and submit the joining
form available in the kit provided during orientation program with all
the mandatory certificates and documents to the respective academic
units(Departments/Centers/IDP). All scholars also need to throughly
read the details provided in the PhD Rules and Regulation handbook of
the institute. Next step is to get familiarized with access to student
mailbox [GPO: http://gpo.iitb.ac.in/src/login.php] and IITB academic
and administrative portal http://asc.iitb.ac.in/acadmenu/index.jsp. In
addition to these, we also have institute course management interface
Moodle: https://moodle.iitb.ac.in/login/index.php. Which mainly serves
you for class notes, presentations/shared documents, submission of
assignments and other instructions from your course instructors for
which you have registered. Discuss with your friends, seniors, faculty
advisors and respective course instructors about your interested courses
and plan according to your credit require- ments. Credit requirements
vary depending upon your qualified degree (e.g. M.Tech /B.Tech
/B.E /M.Sc or equivalent). Please check the PhD rulebook to confirm
your depart- ment specific credit requirements. Institute also has a
compulsory course on Communica- tion Skills (HS 699) which is a
pass/fail (PP/NP) graded course for all PhD students. And almost all
departments have a mandatory departmental seminar course. You can
register for audit courses which provides you with ample opportunities
to learn, while retaining your current CPI(Cumulative Performance
Index). You can find all important academic forms like application
forms, report formats and other details at IITB academic homepage
http://www.iitb.ac.in/academic/downloadForms/phdforms.jsp. Apart
from academics, interactions with peers also play a major role in
establishing your research career.
1.2 Annual Progress Seminar
A Ph.D. student need to present an Annual Progress Seminar (APS) to
2 PhD Handbook 2013, IITB
the Research Progress Committee (RPC) describing his/her work which
has been carried out throughout the past one year. This seminar is
usually presented during the month of August/January depending on the
semester (Autumn/Spring) of joining the Ph.D. program. Some
departments have different rules about the date of progress seminars.
For example, the last date of presenting progress seminars in
Mechanical Engineering is 31st July/31st Dec. Chemical Engineer- ing,
a research scholar has to present a progress seminar every six months
after first year of the Ph.D. RPC comprises of supervisor and
co-supervisor (if any) along with atleast two other faculty members,
which can be either from your department or other departments, in your
field of research. This committee will act as the internal examiner for
the evaluation of thesis. You will be required to submit a report to RPC
members, at least a week or two before your APS. You can find all the
necessary forms required for APS at IITB academics homepage. You
should consult your guide to decide upon the structure and content of
the report. You can make your advance preparations by consulting your
peers on report formats etc.
1.3 Reserach Roadmap
Phd program requires a mandatory course work credits to be met, in
order to fullfill the respective department requirements. Most
departments require a minimum CPI of 6.0 and above without any FF/
FR grades not more than once. Some departments also have a PhD
qualifier examination conduct at the end of finishing your course work,
which need to be passed in order to confirm your PhD registration. You
need to fill the registration confirmation form available in IITB website
and also get it signed by your supervisor, RPC members and Head of the
department before submitting it to academic office along with necessary
documents. Timely completion with minimal satisfactory remarks are
very essential for every APS to avoid hassles related to stipends and
other formalities like fines. You may be given a second chance if you
werent able to get the satisfactory remark from RPC members.
1.3.1 Pre-synopsis
A comprehensive internal assessment of your research work which
3 PhD Handbook 2013, IITB
shows your contribution towards research accomplished during your
PhD. RPC evaluates your research contribu- tions and will allow you to
4.6 International Travel/Visa/Financial Assistance
Tips
Make sure that your passport is ready with ECNR (Emigration Check
15 PhD Handbook 2013, IITB
Not Required) stamp. While applying for visa, one needs to fill up the
form with confidence and correct information. The following are
important documents that you must keep ready before applying for any
financial assistance and/or visa:
1. An invitation letter from the organizer
2. A visa assistance letter from the organizer
3. A copy of your paper
4. A copy of the call for papers of the conference
5. A copy of the list showing your talk/paper
6. No objection certificate from Dean AP/ Head of the Department
Some countries, especially USA, UK, require details of funding during
the visa interview. You should have a confirmation letter showing
adequate assistance for the travel from any organization during the
interview.
Some European countries require police verification before granting any
visa. Since police verification is a tedious process and is time
consuming, one should keep enough time in hand for the visa process
(at least two months in advance).
It is better to have a proper travel plan before the visa interview.
Tentative booking of air tickets is also advisable before the interview.
If you are applying to government funding agencies like DST, CSIR,
INSA, etc., make sure to submit a travel plan from Air India for the
flight fares (through Air India, most possibly) and also for other
associated flights.
For the visa interview, you should reach in time with all necessary
documents. There is no need to panic during the interview. Sensitive
terms like “bio”, “nuclear”, etc., should be avoided to speed up the visa
process. Before answering the queries/questions, you should carefully
and patiently “listen” to the questions.

Chapter 5
Career Opportunities
Prospective doctoral students (research scholars) have several career
options to choose, which can be broadly classified into 5 sectors mainly:
1. R& D Industry: Public/private sector firms
2. Post Doctoral Fellowship (PDF) abroad or in India
3. Academic faculty positions either government/private
institution/abroad
4. Entrepreneurship (starting his/her own company)
5. NGO's/International organizations(UNICEF, World Bank, etc)
5.1 Public/Private Sector Firms
Doctoral students (RS) are eligible to apply for various job openings
either via placement office in the IIT Bombay campus (“on campus”) or
by forwarding their resume to industries (“off campus”). Doctoral
scholars who are in the final stage of their work are eligible for campus
placements. However, all research scholars planning to participate
should produce a No Objection Certificate (NOC) from their PhD
guides and Head of respective department for registration. All campus
placements are handled by the placement office (4th floor, Gulmohar
Building). The placement office comprises of Professor-In-Charge,
Placements; placement office staff, placement managers, company
coordinators and department placement coordinators. The placement
season usually begins in the month of December in the current academic
year and goes on till the month of June.
Only those research scholars who are in the Teaching Assistant (TA),
Research Assistant (RA), Project Staff (PS), fellowship categories and
full time self-financed category are eligible for campus placement, since
research scholars from other categories (Sponsored, QIP, DRDO,
Army/Navy/Air Force) usually have to work for their employer after
their Ph.D. program. A research scholar can apply for placements for a
maximum of two placement seasons (two years). We have so far placed
16 PhD scholars in various sectors based on number of registrations.
17 PhD Handbook 2013, IITB
Some of the R&D companies such as Michelin, Taiwan
Semiconductors, etc have hired the scholars.
Usually, a prospective employer hires a doctoral student for a Research
& Development (R&D) position. It is advisable to prepare your resume
carefully, clearly indicating the abstract of your thesis, publications,
patents, talks and TA/RA/PS responsibilities. Most R&D companies not
only look for your academics but also communication skills,
extracurricular activities as well. So do mention them, if you have
participated in any. After examining the resumes carefully, a company
shortlist candidates for a written test, followed by group discussion and
few rounds of interviews (both technical and non-technical). You may
also be called to appear for the interview at the company’s office
(outside Mumbai). You will need to follow up with the following
people to speed up the process:
1. Institute Ph.D. Placement Manager
2. Company Coordinator for Sciences
3. Company Coordinator for Engineering
4. Company Coordinator for Inter Disciplinary Programs (IDPs)
5. For further details, visit: http://placements.iitb.ac.in/, Email:
placementcell@iitb.ac.in
5.2 Post Doctoral Fellowship
Those who wish to continue their research work beyond Ph.D., can do
so by applying to a post doctoral position at any university abroad
(usually USA or Europe) or in India. This is a fixed duration program
which usually lasts for 1-3 years, usually funded through Post Doctoral
Fellowship (PDF). The duties of a post doctoral researcher include
performing active research in collaboration with their employer (a
professor or a researcher), guiding doctoral/master students and also
taking lectures. A research scholar should consider Post Doctoral
Fellowship option, if they aim to be a professor in a reputed institute.
And openings for various PDF positions are generally obtained through
alumni networks, collaboration projects/MoUs or departmental relations
18 PhD Handbook 2013, IITB
with external institution/university based on recommendations of the
guide and Head of the Department. Some of the foundations which
support international fellowships are as follows:
1. Alexander von Humboldt Foundation:
http://www.humboldt-foundation.de/en/
2. Max Planck Institutes: http://www.mpg.de/en
Academic Faculty positions in various Government /Private
Institutions:
After defending their Ph.D. thesis, a research scholar can directly apply
for a teaching position (assistant or associate professor) in reputed
institute in India. Several institutes/organizations actively seek
candidates with doctoral degrees for teaching or teaching-cum-research
positions such as IITs, NITs, AICTE, IIITs, RGUKT, NISERs and also
private institutes such as VIT, NMIMS, etc. For more details, contact the
Head of the Department of the institution in which you are interested.
Most academics institutes are now looking for scholars with excellent
communication skills and innovative mindset apart from their research
achievements to improve the quality of education and pedagogy.
5.3 The Entrepreneurial Spirit
Research scholars can also consider starting their own company (“be
your own boss”). The Society for Innovation and Entrepreneurship
(SINE) administers a business incubator which provides support for
technology based entrepreneurship at IIT Bombay. SINE extends the
role of IIT Bombay by facilitating the conversion of research activity
into entrepreneurial ventures. The SINE office is located at 3rd floor of
CSRE building.
For further details, visit: http://www.sineiitb.org/ , Email:
sine@sineiitb.org
Non-Governmental Organizations/International Organizations:
Doctoral students also have wide opportunities to impart their research
expertise to bring change in the society. Organizations such as Pratham,
19 PhD Handbook 2013, IITB
TeachForIndia, UNICEF, World Bank etc. are also looking for
multi-talented research scholars to make a difference in the lives of
several underprivileged students of the nation and also take up
international assignments which require a very specialized domain
expertise to identify the criticality of the issues.
Accommodation Facilities
6.1 Hostels
Hostels at IIT Bombay are one of the best hostels around to stay in.
They double up as living and refreshing place for all students. There are
total 14 hostels in the campus, including 2 women’s hostels. Two more
hostels have been newly constructed, H15 and H16. One wing of H15
(C-Wing) is allotted to UG girl students. Apart from these, one more
hostel, namely, Tansa House is allotted to Projects staff members. New
PhD students are expected to cooperate in sharing room in their first
year (at least). Please note that consumption of liquor/narcotic substance
is strictly prohibited inside the campus/hostel premises, and considered
as a serious offence.
For further details, visit: http://www.iitb.ac.in/students/hostels.html
6.2 Allotment of Hostel
During admission procedures, one should select the ‘hostel required’
option in application form of admission to the institute. They would be
directly allotted a hostel. Students who have not mentioned of availing
hostel accommodation in application form, but are desirous of getting a
hostel accommodation at any stage during their Ph.D. program, can
contact Hostel Coordination Unit (HCU, contact number 2572-8900).
You may give your preference for a particular hostel. However, it may
not always be possible to allot your preference to you.
6.3 Hostel Fees
Students desiring hostel accommodation have to pay fees in every
semester for:
1. Hostel rent (included in the semester fees)
2. One time payable security deposit (refundable)
3. Mess advance
22 PhD Handbook 2013, IITB
6.4 Hostel Management
Each hostel has an administrative body which includes the warden,
assistant warden, hall manager and mess manager. Almost all day to day
hostel matters are sorted out and managed by the students’ council in the
hostel. The elected student’s body is composed of the general secretary,
councillors and secretaries. They are available to address the hostel
related problems of students. Election is held every year during
March-April to elect hostel’s council body. Any hostel inmate may take
part in this process. A council body usually consists of the following:
1. Warden and Associate Warden
2. General Secretary: Responsible for overall coordination and
functioning of the council.
3. Maintenance Council: Takes care of maintenance related issues
in the hostel premises.
4. Cultural Council: Organizes various cultural activities
throughout year in the hostel.
5. Mess Council: Responsible for manage mess related issues.
6. Sports Council: Manages sports related activities and makes
sure hostel’s representation in inter hostel sports events.
6.5 Hostel Facilities
The hostels are well equipped with various facilities. The rules
governing the use of these facilities vary from hostel to hostel and are
dictated by the hostel council.
6.5.1 Hostel mess
Food is provided four times a day: breakfast, lunch, tiffin and dinner.
The food menu varies for every hostel and is decided by the hostel
managements and student body. Mess menu is expected to change every
23 PhD Handbook 2013, IITB
month to provide different regional/seasonal food flavors to the inmates.
6.5.2 TV room
Common TV room with cable connection, large TV screen and mostly
high quality sound system is available in each hostel, and can be used
anytime round the clock. Some occasion is marked by screening of
movies/sport matches by the hostel council.
6.5.3 Computer Room
A number of computers with high speed internet access, head-phones,
speakers etc. are available in each hostel for common use. They can be
accessed 24x7. But you should contact the system administrator, a
member of the student council of the hostel, for your account in the
hostel computer room. Generally every newcomer is provided one
account during the hostel orientation program.
submission days. Photocopying and printing is done at nominal charges
with discounts on bulk order.
6.5.5 Canteen
Apart from hostel mess, a separate canteen is present in almost each
hostel to care of your late night hunger pangs. They remain open even in
the wee hours catering to most of the food items one can think of. They
say these are life-savers when you are bored of the regular mess foods.
These are private food joints and are to be paid separately from the
hostel mess advance as per personal expenses. Commonly, canteens also
store utility items for regular use. Apart from the canteens, we also have
a restaurant in Gulmohar building near Hostel-10, a Nescafe coffee
shack near School of Management (SOM), a Brewberry cafe in Hostel
Equipped with most gym equipments, it is a busy place for all health
freaks. Student Activity center (SAC) also has one centralized
gymnasium.
6.5.7 Hostel Library
Each hostel has a good collection of books which can be issued for a
prescribed period. The days and timings for book issue vary from hostel
to hostel. Apart from books, newspapers and magazines in different
languages are also available.
6.5.8 Sports Equipment
Equipments for various games and sport activities, e.g., cricket, football,
basketball, hockey, volleyball, badminton, carrom and chess are
available in hostels. These can be issued against the individual’s identity
card.
6.5.9 Allotment
The quarters are allotted by Hostel Coordination Unit (HCU) on first
come first serve basis. Those who have joined PhD program under some
project should approach IRCC instead of HCU for the accommodation.
Those who are unable to get accommodation at first attempt are placed
in waiting list and get accommodation as and when vacancy arises. The
allotment is done after application in prescribed form at HCU.
6.5.10 Charges
