Difficulty planning the workload and the day<br />

• Set a key daily objective. Write it down.<br />

Post it up. Keep to it.<br />

• Encourage the use of a daily diary with<br />

a long term overview.<br />

• Encourage the individual to leave<br />

enough time in his diary for unplanned<br />

tasks.<br />

• Being realistic when planning is<br />

important.<br />

• Blocking enough time in the diary for<br />

urgent and important tasks.<br />

• Planning the day beforehand if possible<br />

will help.<br />

• Allowing enough time in the morning<br />

for readjustment of plans in the light<br />

of post, emails etc.<br />

• Get the individual to avoid blocking<br />

out 4 hours for a boring task - 45 minute<br />

slots are more realistic.<br />

• If possible the most challenging work<br />

should be done when the individual<br />

is at their best (some people are better<br />

first thing in the morning, others in the<br />

early afternoon).<br />

• Regularly used data such as addresses,<br />

telephone numbers, should be backed<br />

up.<br />

• Encourage an efficient filing system<br />

so time is not wasted looking for papers<br />

for meetings etc.<br />

• Breaks should be used wisely.<br />

The individual should have lunch<br />

and reward themself with breaks.<br />

• Staff could take turns in the<br />

office to have quiet times in a<br />

quiet place to complete urgent<br />

tasks.<br />

• A Do Not Disturb sign could be<br />

shared.<br />

• Encourage staff to take<br />

colleagues’ calls when they are<br />

pressured.<br />
