1. Is it necessary to click the Clear button in the Daily reports tab each time you print? I was told
you should. This results in lost settings.
No.
2. If we upgrade to v9.0, will our report retroactively look at our numbers for v8.0?
Yes, some reports will.
3. For new patient demographics, how does changing the date affect the report? I looked at a date
set for 12/31/09, hoping to get the full year of 2009 compared to 2008?
It’s based on the date set and when the patient was added to the database.
4. When you talk about true product cost, do we put how much we paid for the product including
tax and discount or the wholesale price?
No, do not include dynamic discounts, only set discounts, and exclude shipping.
5. What is the gross percentage on top-selling frames?
It is the percentage of the total frames sold that is included in the report.
6. When we create the Top Selling Frames report, is the report still accurate if VSP pays part of the
frame, not the fee we actually have it for? How should we set this up?
It doesn’t matter, since the report is only used to determine the best-selling frames. It doesn’t matter who or what
insurance paid for the frame.
7. Does v9.0 correct report errors and deficiencies such as rounding errors and staff members
listed as providers?
Yes.
8. For the Gross Profitability by Vendor report, does ARP include what we get paid by the
insurance for the frame or only what the patient pays?
Yes, both.

9. In Custom Reports, you stated that we could select a region. We have two offices, but our
OfficeMate systems are separate. Is there a way to pull and compare the data with the separate
systems or do all the regions you want to compare need to be using the same OfficeMate
database?
You must be using either OfficeMate v9.0 or OfficeMate Enterprise with one database.
10. On the Frame Stock Status report, I counted 42 frames on hand but the report said 29 frames
were on hand. Why is there this discrepancy?
Be sure to update after every count after you click Record.
11. Some numbers are negative in the Qty on Hand field in the Products window. Why would Order
Quantity show a negative amount?
It means that the incoming inventory was never added back into inventory or more items were sold previously than
was accounted for in inventory.
12. What do you mean by "region?"
A region is a group of locations in a specific geographical area.
13. Does the Patient Demographics report show a patient breakdown or just a summary?
It shows a summary.
14. Does the Cancellations and No Shows report specify if the patient is a no-show versus a
cancellation?
Yes, by the subheading.
15. In v9.0, can you see all reports for all locations from Home Office?
Yes.
16. What is the difference between financial group items and production group items?
The financial group is the broad category that indicates where (department, such as optical, clinic, and type) the
income was generated. The production group is the sub-group within the department, is detailed, and indicates
what was actually sold.
