Outside Doctors<br />
Outside doctors, if recorded, are now printed on eyeglass, hard contact lens, and<br />
soft contact lens orders and are denoted in parentheses after the doctor’s name<br />
as an outside doctor.<br />
Commissions Detail Report<br />
In addition to printing a detailed commissions report in <strong>AcuityLogic</strong> BackOffice,<br />
you can now print this report in <strong>AcuityLogic</strong> POS.<br />

1. Open <strong>AcuityLogic</strong> POS.<br />
2. Click Management.<br />
3. Click the Commission tab.<br />
4. Select appropriate commission search criteria and click Generate Detailed<br />
Report.<br />
5. Click Print Detailed Report to print the report that you generated.<br />

In preparation for VSP Options Reformulation 2013, you will be able to fill in a<br />
patient’s frame wrap angle, vertex, and pantoscopic tilt angle measurements on<br />
lab orders for specific lenses in <strong>AcuityLogic</strong> POS. Your administrator will mark<br />
eligible lenses as customizable in <strong>AcuityLogic</strong> Admin.<br />
When you add custom measurements to an order in <strong>AcuityLogic</strong> POS, you can<br />
choose to add the Custom Measurements product to the order. The product<br />
displays as a Misc. Extra line item with a price of $10. Your administrator can<br />
adjust the price of the Custom Measurements item in <strong>AcuityLogic</strong> Admin, or<br />
deactivate the item so that it does not show up as a line item at all.<br />

Starting March 1, 2013, VSP will reimburse you the $10 fee for custom<br />
measurements when you send orders for specific progressive lenses with custom<br />
measurements to VSP labs through eClaim.<br />
NOTES • If you add custom measurements to an eyeglass order, the<br />
measurements will print on the lab order and will be sent<br />
electronically to VSP labs through eClaim. Custom measurements<br />
will not be sent electronically to any other lab. If other labs you use<br />
can accommodate custom measurements, record the custom<br />
measurements in the Lab Instructions section on the lab order, or<br />
send the lab the printed lab order.<br />
• VSP labs will only accept custom measurements for certain<br />
eligible lenses. If you include custom measurements on<br />
non-eligible lenses, your claims may be rejected.<br />
• VSP will only reimburse you for eligible progressive lenses. VSP<br />
labs will accept custom measurements for specific single vision<br />
lenses, but VSP will not reimburse you for those measurements.<br />
<br />
To add custom measurements to eyeglass orders<br />
1. Open <strong>AcuityLogic</strong> POS.<br />
2. Create an eyeglass order.<br />
3. On the Eyeglass Order tab, select a VSP lab from the Lab drop-down menu<br />
and click Next.<br />
4. On the Lenses tab, record the lens and prescription information, and record<br />
the patient’s measurements in the Customized Progressive<br />
Measurements fields.<br />
NOTE<br />
The customized fields accommodate the following ranges:<br />
• Frame Wrap: 0.0–30.0<br />
• Pantoscopic Tilt: -5.0–25.0<br />
• Vertex: 5.0–25<br />

5. Click Next.<br />
The Custom Measurements Confirmation dialog box appears.<br />
6. Select Yes or No based on the following criteria:<br />

If you’re creating a VSP order for an eligible progressive lens on or after<br />
March 1, 2013, click Yes. This will add the Misc. Extra product Custom<br />
Measurements to the order with its default fee. The CM option coverage<br />
code will be sent to VSP so that you will be reimbursed for the custom<br />
measurements.<br />
If you’re creating a non-VSP order or a single vision lens order, or if<br />
you’re creating an order before March 1, 2013, click No. The Misc. Extra<br />
product Custom Measurements will not be added to the order, and the<br />
patient will not be charged a fee for the custom measurements. The CM<br />
option coverage code will not be added to the insurance claim.<br />

7. Select a frame and click Next.<br />
8. On the Extras tab, select any tints, edges, coatings, and miscellaneous<br />
items, if needed.<br />
If you clicked Yes in step 6, Custom Measurements is selected from the<br />
Misc. 1 drop-down menu.<br />
9. Click Next.<br />
10. On the Summary tab, record any additional information, if needed, and click<br />
Complete Order to Pricing.<br />
A line item for Misc. Extras will display on the order for the custom<br />
measurements. Please keep the following in mind:<br />

11. Add any necessary additional items and apply packaging options, pricing<br />

12. Click Save.<br />
13. Invoice and process the order.<br />
The lab order and the custom measurements are sent to the VSP lab through<br />
eClaim. You can also view custom measurements on printed lab orders.<br />

Custom Measurements Overview<br />
As part of the VSP Options Reformulation that goes into effect on March 1, 2013,<br />
VSP will offer reimbursements for customized lens measurements for specific<br />
progressive eyeglass lenses. VSP labs will also accept custom measurements for<br />
specific single vision lenses, but VSP will not reimburse you for those<br />
measurements. This section explains how your system has been updated so that<br />
<strong>AcuityLogic</strong> can process custom measurements. Eyefinity has marked all eligible<br />
lenses as customizable, so you will be able to add custom measurements to these<br />
lenses in <strong>AcuityLogic</strong> POS.<br />
Custom Measurements Product<br />
The Miscellaneous Extra product “Custom Measurements” has been added to<br />
<strong>AcuityLogic</strong> Admin and is assigned a default price of $5 per eye (the total price<br />
will be $10). When you add custom measurements to an order in <strong>AcuityLogic</strong><br />
POS, you can choose to add the Custom Measurements product to the order. The<br />
product displays as a Misc. Extra line item with a price of $10. You can adjust the<br />
price of the Custom Measurements item in the Product module in <strong>AcuityLogic</strong><br />
Admin, or deactivate the item so that it does not show up as a line item at all.<br />
On the night of February 28, Eyefinity will map the option coverage code “CM” to<br />
the Custom Measurement item so that the correct coverage codes are sent to<br />
VSP.<br />

The option coverage code “CM” has been added to your system and mapped to<br />
the appropriate CPT code. On the night of February 28, Eyefinity will map the CM<br />
code to the Custom Measurements Miscellaneous Extra product. The CM option<br />
code designates that custom measurements (frame wrap, pantoscopic tilt, and<br />
vertex distance) are included on orders.<br />

Outstanding Credit Balance Report (AC109)<br />
You can now choose a cut off date for the Outstanding Credit Balance (All Offices)<br />
report (AC109). Previously, the cut off date was always the date that the report<br />
was generated.<br />
NOTE<br />
If you run this report in <strong>AcuityLogic</strong> POS, you cannot select a cut off<br />
date; the cut off date will always be the date the report is generated.<br />

To generate the Outstanding Credit Balance Report<br />
1. Open <strong>AcuityLogic</strong> BackOffice.<br />
2. Click Accounting and select Reports.<br />
3. Click Outstanding Credit Balance (All Offices) (AC109).<br />
4. Select the offices you want to include in the report from the Office<br />
drop-down menu.<br />
5. Type or select a cut off date in the Cut Off text box.<br />

6. Click Generate Report.<br />
The report displays. The cut off date displays at the top center of the page<br />
and the run date displays in the top left corner of the page.<br />
Undelivered Orders Report (AC137)<br />
The Undelivered Orders report (AC137) now allows you to run the report for<br />
specific offices and organize the report by lab orders.<br />

To generate the Undelivered Orders report<br />
1. Open <strong>AcuityLogic</strong> BackOffice.<br />
2. Click Accounting and select Reports.<br />
3. Click Undelivered Orders (AC137).<br />
4. Select the offices you want to include in the report from the Office<br />
drop-down menu.<br />
5. Type or select a cut off date in the text box.<br />
6. Select the Show By Orders check box to consolidate all line items into their<br />
respective orders (for example, instead of showing a row for each line item,<br />
the report will show a row for each order).<br />
7. Select other search criteria as needed.<br />
8. Click Generate Report.<br />

9. If you experience any issues viewing patient names or amounts in the report,<br />
click Export to Excel so that you can view all data clearly.<br />
Patient Demographic Report (AC144)<br />
You can now generate and print the new Patient Demographic Report (AC144)<br />
report that displays the number of patients at an office. This information is<br />
organized by gender and age range.<br />

1. Open <strong>AcuityLogic</strong> BackOffice.<br />
2. Click Accounting and select Reports.<br />
3. Click Patient Demographic Report (AC144).<br />
4. Click in the Office drop-down menu and select the check boxes next to the<br />
offices that you want to include in the report.<br />
5. Click Generate Report.<br />
The report is displayed with the criteria that you selected.<br />

You can now manually add up to four modifiers to each line item on a claim.<br />
Please note that only one modifier per line item will automatically populate in<br />
<strong>AcuityLogic</strong> Billing, even if more modifiers are assigned to the item in <strong>AcuityLogic</strong><br />
Admin. If a line item requires additional modifiers, add them manually by following<br />
the instructions in this section.<br />
If you bill claims through Gateway EDI, all modifiers that are on a claim will be<br />
included in the EDI file.<br />

To add multiple modifiers to line items<br />
1. Open <strong>AcuityLogic</strong> Billing.<br />
2. Click Claim Management.<br />
3. Search for a claim and click the Claim # hyperlink for that claim.<br />
The Claim Detail window opens.<br />
4. Click Edit Claim.<br />
The Edit Claim window opens.<br />
5. In the Services box, click the Edit (pencil) icon next to the line item you want<br />
to edit.<br />
6. Record the appropriate modifiers in the M1, M2, M3, and M4 text boxes.<br />
7. Click the Update (check mark) icon to save your changes.<br />
