Conditions & Instructions for the assignment
1. The GSWMA shall have the rights to reject any offer without disclosing any
reason
2. Rates to be quoted by the agencies should include every
Tax/Duty/Levy/Surcharge etc.
3. Selection of agencies will be done following bid system from the agencies
fulfilling criteria.
4. Selection will be based on weightage of average turnover during last three
financial years, experience in handling such kind of works at GOG and GOI level,
National /State awards received, presentations & concept etc.
5. Conditional offer will not be accepted and will be rejected.
6. Work orders may be issued centrally from the GSWMA office or by DRDAs
authorized for this purpose.
7. Delivery will have to be made within the stipulated time limit. It may be noted
that this office will have the right to reject the delivery, if it is made after this
period.
8. For delay in execution and delivery of products, the agency will be liable for
penalty. However, in case of delay in delivery of products related to any time
bound campaign, the GSWMA will have the discretion not only of revoking the
entire assignment but also forfeit the amount deposited as performance guarantee.
9. Delivery will have to be made at the address given in the order.
10. Any overwriting in the price offer should be authenticated .The offer should be
signed and stamped.
11. Care should be taken to use the rates as decided, for submitting the price bid. Its
photocopy or retyping on letterhead or adding any new condition, etc. will make
offer liable to be rejected.
12. The GSWMA will provide the brief for the work to be done
13. Since the material will be aimed at National & International levels, we are
expecting to receive the best quality and fault free production.
14. Good quality samples will be short-listed and only their price bids will be opened
and compared.
15. Photographs which are to be used for designing of books, brochures will be
provided by GSWMA office
16. Final script in case of Audio Video production and design in case of printing and
designing of books/brochures should be submitted to GSWMA office or any
officer authorized by GSWMA for approval within the stipulated time frame.
17. The Audio Video Agency will provide its final product /film on International
quality broadcast format and the designer / printer will submit a CD containing
the designed version of the material which can be directly used for reprinting in
future.
