ARCTIC ADVENTURESThe small printBrochure descriptionsThe descriptions of areas and hotels in thisbrochure have been compiled as a result ofinspection by our staff or agents and checkedto ensure they are accurate. However, changesmay occur after the date of publication. Inaddition there may be occasions whenaccommodation owners, proprietors offacilities etc. may decide to withdraw some ofthe facilities. These are regrettably beyond ourcontrol and we therefore reserve the right tochange the particulars at any time before weconfirm your booking. We will inform you ofany such change at the time of booking, or, ifyou have already booked, you will becontacted before your departure if there istime. Public holidays particularly Christmas,New Year and religious festivals may also affectthe availability of centre and hotel facilities.Minimum numbersCertain tours require a minimum number ofpeople to enable them to operate. We willcheck whether these minimum numbers havebeen reached no later than 6 weeks before therelevant tour departure date. We shall informyou immediately if the minimum numbernecessary has not been reached for your tourand in that event we reserve the right to cancelyour holiday and refund all monies which youhave paid to us.CorrespondenceIf you make your booking through a travelagent, all communications between you and<strong>Nordic</strong> <strong>Experience</strong> must be through that travelagent. If you book your tour direct with us wewill send all correspondence direct to you.Please quote the reference number shown onyour invoice in any communication.Health, visas and documentsa) You must ensure that you and all members ofyour party have a valid passport and visas andany inoculations and health certificates for allcountries to be visited. Your passport must bevalid for at least six months following yourarrival at your foreign destination.b) We will offer reasonable assistance andadvice as to how to arrange such items, but wecannot in any circumstances be responsible ifany member of your party is not permitted toenter any country. These will include cereal,juices, fresh rolls, bread, cheeses and coldmeats. Picnic or snack lunches and buffetsuppers are provided where indicated in theprice panel sub text and itinerary. Transfers areincluded where necessary or if we can organisethem economically. Otherwise they arepayable locally and by public transport, fly busservices or taxi, for which we provide detailedinformation in your travel pack.AccommodationThe nature, style and standard ofaccommodation we use for our tours variesaccording to country, location and itinerary:please check the thumbnail sketches providedin each case. In respect of hotels we do notendorse any local star rankings since they donot, in our opinion, provide an accuratereflection of style, atmosphere or location.Please note the description ‘twin room’ refersto a twin bedded room and that a showerrather than a bathtub is the norm throughoutScandinavia. Whilst some hotel rooms cantake an extra bed this will invariably result inthe room being cramped. In someareas/countries single rooms may be inferior instandard to twin rooms.Climatic conditionsMany of the tours in this brochure depend fortheir successful accomplishment on suitableclimatic and weather conditions both prior toand during operation. Air temperature, seastate, cloud cover, rainfall and terrainconditions are just some of the factors that caneffect the operation of excursions, visibility ofnatural phenomena and sightings of wildlife.Tour validity and excursion/safari dates aregiven in good faith based on our experienceand that of our suppliers. However, we or ouragents may have to change itineraries orcancel excursions at any time prior todeparture or during a tour. If we do so, it is withyour interest in mind and we regret thenecessity of having to point out that we do notaccept any liability for compensation in respectof such changes or cancellations.ClothingTemperatures in the <strong>Nordic</strong> countries andNorthern Europe can vary considerably fromday to day or even in a day and conditions canchange unexpectedly and rapidly; the terrain isoften hazardous and ground conditionsfrequently difficult. You should take suitableclothing with these conditions in mindparticularly good quality wind/rain proofouterwear; strong walking shoes or boots,gloves and sufficient and varied clothes toenable you to ‘layer up’. Many of our tours,particularly in Iceland and Greenland, involvewalking or medium grade hiking and you mayfind it useful to invest in a good pair of boots,broken in well before departure. If you’re in anydoubt as to what to take, we’re always happyto talk it through with you.Your travel documentsWe will normally send all your traveldocuments and itineraries to either yourself oryour travel agent approximately two to threeweeks before your departure.
