An Introduction To <strong>Recruitment</strong>The Admission Representative Role & YouThe <strong>Cottey</strong> Enrollment Management team has 6 admissionstaff members, which includes both the Director and theAssistant Director of Admission, who work with studentsacross the United States and Canada. Each has an assignedrecruitment territory. They work with students from the timethey are added to our inquiry list through the applicationand acceptance process. In a lot of ways they are the voiceof <strong>Cottey</strong> to these young women. They correspond withprospective students in many ways including phone calls, textmessages, e-mail, Facebook, mailings etc. When a studentcompletes her application for admission, it is reviewed byher admission representative. In addition to working withstudents, the admission staff also work with parents, highschool guidance counselors, teachers and P.E.O. members ineach territory. The two most important things that admissionrepresentatives do are to meet with students one on onewhen arranged through the family, guidance counselor, ora P.E.O., and to implement a campus visit for a prospectivestudent.Your Role as a Volunteer Recruiter<strong>Cottey</strong> needs you! P.E.O. support and recruitment helpis crucial to the success of <strong>Cottey</strong> <strong>College</strong>. Almost 81%of students who are referred by a P.E.O. complete theirapplication to <strong>Cottey</strong>. This compares to 55% of students wholearn about <strong>Cottey</strong> from other sources. When the studentsare asked who is supporting their <strong>Cottey</strong> choice, P.E.O.s aresecond only to parents in their decision to attend <strong>Cottey</strong>. Theenrollment staff needs you talking proudly about <strong>Cottey</strong> inyour communities.<strong>Cottey</strong>’s professional admission staff cannot be everywhere.They need your help spreading the word about <strong>Cottey</strong><strong>College</strong>. They want to enlist your help as VolunteerRecruiters. Using the term Volunteer Recruiter when talkingwith others will help give you credibility. It explains yourrelationship to <strong>Cottey</strong>. It will also establish that you arenot an expert. You do not need to be able to answer every<strong>Cottey</strong> question. You only need to know enough to start aconversation.Things you can be doing:• Host a Student Gathering• Visit a High School Counselor/Teacher/Coach• Represent <strong>Cottey</strong> at a <strong>College</strong> Fair• Talk with community members who work with teens- youth pastors, community center staff, Girl ScoutLeaders, exchange student hosts, etc.• Regularly talk about <strong>Cottey</strong> - people who know youshould know that you own and support <strong>Cottey</strong> <strong>College</strong>.Every young woman deserves to knowabout <strong>Cottey</strong> <strong>College</strong>. ProspectiveStudent ReportsS/P/D <strong>Cottey</strong> Chairmen and Scholarship Chairs will be sent a monthlyreport of all the Inquiry Hots and Beyond who are juniors or seniors in highschool. These reports are run individually for each s/p/d and they containvaluable information.S/P/D Chairs: please be sure to send these reports to the other membersof your <strong>Cottey</strong> Committee.Types of ReportsAn “Inquiry Hot and Beyond Report” will be sent the first Thursday orFriday of every month. This report will include junior and senior studentson our mailing list in these categories from your s/p/d. With this report, youwill also receive a letter from the Director of Admission updating everyoneas to the current activities and events taking place on campus as well asinformation that you may need to help you with your recruiting efforts.*Please note that there is a longer list available to you of ALL inquiries inthe system. That report tended to become very long (over 200 pages insome states) so the admission office cut it down by starting with the InquiryHot status. However, if you would like to receive the longer version, pleaselet Theresa Lee know: (tlee@cottey.edu)We will send an Applicant Report weekly for the remaining weeks in themonth. This report will keep you updated on which students have movedoff the inquiry list and onto the applicant list in the last seven days.Report Information - The inquiry Hot & Applicant Reports containslightly different information. Below describes some of the key pieces ofinformation:• Student Contact Information - Mailing Address, Phone # and E-mail• Student Status - Please refer to the Student Status section fordescriptions of each status.• Entry Term - An entry signifies when she will start at <strong>Cottey</strong>. On theInquiry report a student’s entry term will indicate if she is a junior or asenior.• Referring Chapter - If a student has been referred by a P .E.O. Chapterthe chapter letters and state will be listed.• First Activity Date - This is the date that each student first startedreceiving information from <strong>Cottey</strong> <strong>College</strong>.• First Activity - A student’s first activity indicates how <strong>Cottey</strong> firstlearned about her. Please know that there are numerous possible firstactivities. Some examples include: P.E.O./Alumnae Referral, <strong>College</strong>Fair and Online Inquiry. <strong>Cottey</strong>, like nearly all colleges buys names ofprospective students. We also advertise online and in print media withvendors who then pass along leads. Alloy, PCU and <strong>College</strong> Outlookare examples of sources through which the student may have heardabout <strong>Cottey</strong>, and the name buy sources include ACT and CBSS.• Student’s High School- This is helpful to see if there is a pocket ofstudents at one high school.Applyingto <strong>Cottey</strong><strong>College</strong>AdmissionRequirementsStudents must have at least a 2.6GPA and a minimum 21 on the ACTor a 970 on the SAT. I can honestly say that for both of us the friends wemade here are still the best friends that we have in our lives. I lived in Minnesotafor many years, and moved to Nevada, Missouri, in 2002 because I love thiscommunity and have many of my <strong>Cottey</strong> friends living in the area. I had notintended to work at <strong>Cottey</strong>, but because of my love for the school and my longstandingrelationship with the P.E.O. Sisterhood, when the opportunity presenteditself I jumped at the chance. I am a Past State P.E.O. President from Minnesota,and have been a member of the Sisterhood for over 51 years. I transferred to Hood <strong>College</strong> inMaryland, and graduated in 2005 with my BA in Frenchwith concentrations in German and political science. Iworked in marketing for a year after graduating (gofigure) and ended up in North Carolina, where I workedin admission for a small Baptist college. I’ve been anadmission representative since 2007, and came to work for<strong>Cottey</strong> in 2011. While living in North Carolina, I joinedthe P.E.O. Sisterhood, Chapter BB, New Bern, in 2010. Ilove working for <strong>Cottey</strong>, and getting to work with P.E.O. atthe state level is very rewarding.9


Star ScholarshipScholarshipsAt <strong>Cottey</strong>, we realize we’re not the only project theSisterhood supports through its philanthropy. However,there is an opportunity to combine your efforts and supportnot one, but two, projects at once.The P.E.O. Sisterhood began the STAR Scholarship in2009. Since then, according to the STAR Chair at P.E.O.International, 762 scholarships have been awarded. Of those762 young women only 11 have attended <strong>Cottey</strong>, that’s only1.4 percent of STAR recipients.“The P.E.O. STAR Scholarship is a highly competitive onetime$2,500 scholarship recognizing graduating high schoolsenior women who demonstrate outstanding leadership,academic achievement, extracurricular activities, andcommunity service and who plan to pursue full or part-timepost-secondary education in the United States or Canadabeginning in the fall following their high school graduation”(P.E.O. International).“<strong>Cottey</strong> <strong>College</strong>, an independent liberal arts college, educateswomen to be contributing members of a global societythrough a challenging curriculum and a dynamic campusexperience. In our diverse and supportive environment,women develop their potential for personal and professionallives of intellectual engagement and thoughtful action aslearners, leaders, and citizens” (<strong>Cottey</strong> <strong>College</strong>).We realize that not all STAR nominees are going to be theright fit for <strong>Cottey</strong>. We know that chapters are veryproud of their STAR nominees and their accomplishments.We would like for those students to be introduced to <strong>Cottey</strong>from the very beginning of the application stage. P.E.O.ScholarshipsP.E.O. Scholarships are a major sourceof financial support for our students at<strong>Cottey</strong>. Many students wouldn’t be ableto have the <strong>Cottey</strong> experience withoutthe generous scholarships given byP.E.O.s all across the country every year.After a student has been accepted, it isthe Scholarship Chair’s responsibility tocontact that student with an applicationfor your s/p/d scholarship. After thedeadline, scholarships are dividedamong students based on each s/p/d’sparticular requirements.Once scholarship amounts aredecided, it is the Scholarship Chair’sresponsibility to send detailedinformation to the Financial Aid Officeas soon as possible. The FinancialAid Office will then distribute awardpackages to our students – it is essentialthat these award packages go outas early as possible so students cancompare award packages from differentschools and make their decision.If any detail of your s/p/d scholarshipchanges, it is very important to send thatinformation to the Financial Aid Officeas quickly as possible. We try to keep anupdated record of all s/p/d scholarshipinformation to better assist our students.Travel FundsMany regions have a Travel Fund available for students to use who are interestedin visiting campus but have limited financial resources. Each s/p/d utilizesthis fund in different ways – allowing students to apply for a travel voucher foran individual visit, loading up a bus or van of students to bring for a visit eventweekend, or by reimbursing P.E.O. s who bring students to campus themselves.EVERY USE of a Travel Fund is a GOOD USE!Fact:80% of students who visited campus last year applied, deposited, and enrolled!Why?It’s simple! When a student gets on campus, she falls in love. She sees theopportunities that are here for her, she has a chance to speak to professors,staff, and current students, and she can visualize herself here – belonging at<strong>Cottey</strong>.So how can you help?Make Travel Vouchers available to students and their families!! Make sure youradmission representative knows about this voucher and how a student canapply for it so she can communicate the process with students from your state.Bring a van or a bus to a visit event weekend! We have two large visit eventsevery year – one in October and one in April (“C” For Yourself! Weekend) thatis PERFECT for bringing students to campus! (Note: Students must be at least16 years old to spend the night on campus). This is a great opportunity to buildrelationships with students from your states, as well as see your Travel Voucherin action! If these dates don’t work for you, check our list of other visit events(see <strong>Cottey</strong> Visit Event Section), or speak with your admission representative toschedule your own visit day.Reimburse P.E.O.s who bring students to campus! Maybe your s/p/d only hasthree students able to come for a visit event weekend. It’s absolutely worth it tofind a P.E.O. sister who is willing to drive or fly with those students to campus.Your students will have an amazing weekend, and your P.E.O. sister will have achance to bring back new <strong>Cottey</strong> information!ScholarshipsNote:Any amount given to a student over$49.99 (including Bookstore giftcertificates) MUST be documented as ascholarship.Bottom Line:We need to get each prospective student to visitcampus! This makes <strong>Cottey</strong> a real, viable option.11

Not all students receive an academic scholarship.• <strong>Cottey</strong> offers Fine Arts Scholarships in art, dance, music, andtheatre. The resultof the FAFSA is used to determine the student’s eligibility forneed-based aid.• There is a student employment program at <strong>Cottey</strong> where studentscan work on campus and earn a monthly paycheck. Jobs areawarded through the financial aid office to need-based studentsas funding allows. There aren’t enough jobs for all students.• The P.E.O. scholarship chairman will provide the P.E.O.scholarship application to the students who are accepted foradmission prior to the state/district/province deadline. Deadlinesrange from the end of January to the middle of March. If astudent is awarded a P.E.O. scholarship, it will become part of thestudent’s financial aid package.• Students should apply for private scholarships through their highschool, local community organizations, businesses, churches,foundations, etc.• Student loans are a form of financial aid. Most students will needto borrow federal student loans in order to help pay for college.Parents can also apply for Federal PLUS Loans to help pay forcollege for their children. The student must complete the FAFSAbefore the college can determine eligibility for these loans.• Most families will be expected to pay for part of the educationalcosts with money from their earnings and/or savings. Never tell astudent that she won’t have any out-of-pocket costs.• If a local P.E.O. chapter awards a scholarship in the amount of $50or more, it needs to be reported to the financial aid office and willbecome part of the student’s financial aid package. If the studentdoes not have unmet need, it may affect other aid awarded to thestudent.12


EnrollmentProspect Management ApproachThere are dozens of ways to approach student recruitment,and <strong>Cottey</strong> <strong>College</strong> has recently begun working with aconsultant who has developed a theoretical model forrecruiting students that is predicated on two fundamentalprinciples: prospect management and territory management.The first relates to the way an admission staff developsa pool of prospects and then follows up with those whoare interested, and the second is the recommendedorganizational structure for carrying out this recruitment plan.In prospect management recruitment, the emphasis ison the admission representative as territory managerwith specific goals and objectives for her territory andaccountability for the results. The territory manager, oradmission representative, has the latitude to developstrategies and tactics for her territory in accordance withher understanding of what works in that circumstance. Ifhigh school visits are producing enrolled students then theterritory manager can choose to continue that tactic. If, onthe other hand, hotel interviews and home visits are moreproductive, then that can be the focus of her activities.However, the main tasks are always seeing students inperson and getting them to visit campus!Bottom Line: <strong>Recruitment</strong> means building relationships withstudents and influencers (i.e. family members, guidancecounselors, friends, coaches, etc.) through personalcommunication, support and encouragement.How can this be done?It’s just as simple as making a new friend!Prospective students, and their influencers, don’t needyou to be an expert about the college selection processor even about <strong>Cottey</strong> <strong>College</strong> – all they need from you isencouragement to consider <strong>Cottey</strong> <strong>College</strong> as a viableoption for their college career and for you to offer continuedsupport as they travel through the college selection process.The admission officers at the <strong>College</strong> will work oncultivating your relationships in a way that creates our ownrelationships, while at the same time providing a bondbetween the student and the <strong>College</strong> itself.If we can build these relationshipstogether, we will be creating thefeeling of the family environmentthat we advertise as a specialcharacteristic of our college.<strong>Recruitment</strong>Admission StagesProspect: A prospect is a student who is in our databaseas a result of a name buy, whether it’s through ACT oranother source. This student receives basic mailings fromus, but has not inquired herself.Inquiry: An ‘Inquiry’ is a student who has inquired about<strong>Cottey</strong>. We are interested in her and she is interested in<strong>Cottey</strong>. Inquiries happen in many ways: completing inquirycards, responding to a mailing (see: prospect), requestinginformation via our website, or another college searchsource. P.E.O. and alumna referrals are also inquiries.Inquiry HOT!: ‘Inquiry HOT’ results from a student recordshowing student-initiated activities. For example, if a studentresponds to a mailing, calls or e-mails us. A student mayalso become ‘HOT’ if she has a strong P.E.O. connection or isa legacy. Inquiry HOTs show a greater likelihood of applyingand attending <strong>Cottey</strong>.Folder Begin: Applications require several pieces tocomplete it besides the application itself. If a student submitstest scores, transcripts or a recommendation, her statusmoves to Folder Begin. Once she submits an application, wewill consider her an applicant.Applicant: Incomplete: A student who is in the processof completing her application. “Applicant: Incomplete”students may be missing one or more items. Once thoseitems are in, she becomes “Applicant: Complete,” and theapplication is ready for review. Our office policy is to reviewthe file as soon as possible to give our admission decision.Applicant: Holding: “Applicant: Holding” is astudent who has completed her application, but we haverequested additional information, e.g., new test scores,recommendation letters, personal statement.Applicant: Committee: When a student does not meet<strong>Cottey</strong>’s minimum admission requirements, her file issubmitted to the Admission Committee for review.Accept: A student who has completed the applicationprocess and has been accepted. Hosting a Student GatheringOne of the most effective recruitment methods undertakenby P.E.O. members and alumnae is the prospective studentgathering. The purpose of this event is to introduce <strong>Cottey</strong><strong>College</strong> to students in a comfortable, informal setting. Thereare many considerations when planning an event, so here are afew tips to help you plan a successful student gathering.1. When scheduling an event, be aware of other communityhappenings that may compete with your event – especiallyschool events. Consider a pizza party directly after school,or even during the lunch period.2. Strive to find a “neutral” location. While some studentsmay feel comfortable coming to a home or church, a moreneutral location is better. Consider a community center,local library, restaurant, or coffee shop.3. Remember your audience!! A pizza party, ice cream party,or just chips and dips after school is appropriate.4. Invite students from the inquiry list you receive from theEM Office.5. Invite young women from your community – look formembers of your church, volunteer organizations,neighborhood, and local schools.6. If you invite other P.E.O.s, require that they bring at leastone student with them.7. Invite local guidance counselors and teachers with whomyou have built a relationship. Ask them to bring a studentwho may be a great fit for <strong>Cottey</strong>.9. Prepare and send invitations with RSVPs to all studentson your list about a month in advance. One week aftersending the invitations, follow up with a phone call toencourage attendance.10. Order materials from the Office of P.E.O. Relations at leasta month in advance.11. Educate yourself!! Explore the website and publications.Contact your Admission Representative to ask questions!12. Invite a local alumna to speak. Parents of alumnae are alsogreat resources!13. Sheis from any socio-economic background, any academic profile,and any culture. In other words, there is not just one ‘type’ ofgirl here at <strong>Cottey</strong>. We highly encourage you to let the youngwoman decide if <strong>Cottey</strong> is right for her.That being said, what are you looking for in a student?Students that do well at <strong>Cottey</strong> are often natural born leaders– you’ll find they are involved in their community and schools,volunteering and participating in sports or organizations.They excel easily in school, have support from their familyand friends, and have a positive outlook on life. They areadventurous, willing to try something new, and always smiling.Our students are easy to spot – there’s a sparkle in their eye!If my student doesn’t meet the admission requirements,what happens?If an applicant does not meet all of our admissionrequirements, we prepare the application file for committee.We will most likely ask the student to supply additionalmaterials, such as two recommendations from a counselor,teacher, mentor or employer, and a personal statement fromthe student. The Admissions Committee then meets to makethe admission decision.What do I need to know about the InternationalExperience?Since 2000, <strong>Cottey</strong> has been sending its second-year students,grades permitting, to a European city during the first week ofspring break. Past locations include London, Paris, Madrid,Barcelona, Rome and Florence. <strong>Cottey</strong> pays for the ticket andlodgings during the week. The student is responsible for hermeals and excursions. Each student is required to attend atleast two faculty-led educational modules during the week,which require classroom learning before-hand.How do campus visits for prospective students work?Campus visits are coordinated through the Office of EnrollmentManagement. Jeane Fahle schedules the activities for theindividual visits. Depending on the length of the intended visit,the student may stay overnight (at age 16 or older) in the suites,attend classes, meet with professors, take a campus tour, eat inRaney, and attend campus performances. The student also hasan interview with her admission representative and financialaid. <strong>Cottey</strong> also hosts larger visits throughout the year, like “C”for Yourself! Weekend.When I talk to parents, what can I say about studentservices?<strong>Cottey</strong> offers many conveniences on campus. Our health centerhas a medical professional on campus frequently for basichealth check ups. We offer counseling services, peer listening,ministry, etc. We have a service center on campus wherestudents can post mail and send packages. Our Business Officecan cash a check with a <strong>Cottey</strong> ID. We offer shuttles to Wal-Marton the weekend. We have an Academic Assistance Center thatcan assist students with tutoring, the transfer college search,internships and resume help.How can students get back and forth to the airport?The <strong>College</strong> offers a bus back and forth from KansasCity International at the beginning and end of each term,Thanksgiving, and spring break. Students must sign up for theshuttle in the Campus Activities Office. Spaces fill up fast.What can I do to help in the admissions process?Whereas the student’s admission representative keeps herup-to-date as to the progress of her application, you certainlycan encourage the student during the process. Offer yourencouragement and assistance as she’s preparing to take theACT or SAT. Showing your support at this time shows her that<strong>Cottey</strong> is special.Will the Admissions Office update me on my student’sprogress?<strong>Cottey</strong> sends out reports to the State <strong>Cottey</strong> Committee Chairon a regular basis, and the student’s application progress islisted there. Wemay or may not be able to share information, depending on thenature of the question.What do I need to know about Financial Aid?98% of our students receive some form of financial aid.<strong>Cottey</strong> offers competitive academic scholarships (basedoff of GPA and test scores) as well as competitive fine artsscholarships, athletic scholarships, and institutional grants.Each state also offers some form of a scholarship for studentsattending <strong>Cottey</strong>. In 2011, the average aid package was around$17,000. While this includes scholarships and loans, it alsodemonstrates that <strong>Cottey</strong> is competitive financially with otherprivate and public colleges.What is a Legacy scholarship and what does thestudent need to qualify?Legacy scholarships are for sisters, daughters, granddaughters,nieces, and cousins of alumnae in the amount of $500. As longas she indicates it on her application, she is eligible, as long asfunds are available.So, <strong>Cottey</strong>’s a four-year college now, right?Yes and no. <strong>Cottey</strong> has select four-year programs. This puts usin an interesting position. The Admission Rep VisitAdmission TravelWe know that students who visit campus are much morelikely to enroll than students who do not visit. The shift inour recruitment strategy this year will involve less travel toareas where we do not have specific appointments set formeeting students. Instead, we will place more emphasis onfollow up with students earlier and encouraging studentswho are interested in <strong>Cottey</strong> to visit. Much of our prospectmanagement can be carried out more efficiently fromcampus, especially if we can grow our campus visit numberswith your help.This change in our approach makes your part in therecruitment of students even more important for us. We willtravel less to areas where we do not see students in returnfor spending more time following up with students who arereferred to us by you, and students who have contacted usdirectly to tell us of their interest.This shift in strategy also means the admission staff canprovide the best possible campus visit experience forthose students who are interested enough to visit, andwe will make time for travel to regions where we canschedule a personal connection with a student. LEO CertificationOne of the many ways we strive to carry out our missionstatement is through the leadership programs available oncampus. Our two year leadership certification process iscompleted through the Leadership Experience Opportunityor LEO program. The certification process is divided into foursections, each a semester long. Volunteering, internships,enrichment events and leadership and diversity workshopsare all a part of the program. Students who complete allfour levels are given the option of completing a communityservice project under the direction of our president, Dr.Rogers. Past projects include a walk/run for breast cancerand a Dove Real Beauty Workshop with local middle schoolstudents.The LEO Program will enable her to• Identify and develop her unique leadership style• Connect with women leaders• Embrace diversity• Practice leadership skills that are transferable to herpersonal life, community service and future careers/professions.LEO RequirementsLevel IThis level focuses on getting students involved on campusand creating a sense of accomplishment by requiringvolunteer time in the local community.Level IIThis level focuses on getting students in leadership andservice roles by requiring that they perform active serviceon a committee or athletic team or that they hold office ofan organization for a full semester.
