1. Event will not exceed the client’s $20,000 budget<br />

• Keeping a detailed budget along the way<br />

• Leave between $500 to $1,000 for last minute emergencies<br />

• Make sure all deposits are paid on time based on the contract<br />

2. Have all the details of the celebration finalized one month before the<br />

event<br />

• Make sure all contracts are read carefully<br />

• Contact the venue and vendors to make sure all dates and times are<br />

4. Verify that contingency plans are in place in case of emergencies or<br />

take place approximately two weeks before the event to survey the<br />

Advertising/ Registration:<br />

The couple will be sending out “Save the Date” cards that have as many details as<br />

possible including the date, location, short paragraph about the elopement, and a<br />

timeline of the evening. There will be a wedding website set up so guests can RSVP and<br />

look at the couple’s registry. Additionally, the couple plans to also send out some<br />

traditional invitations will RSVP cards for family members who may not understand the<br />

postcard invite or online RSVP.<br />

Below are examples of “Save the Date” cards that we think would go along with your<br />

event. See “Exhibit A” for further “Save the Date” and invitation details.<br />

Promotional Video of the event:<br />

The promotional video will be available on the wedding website one week before the<br />

celebration party. The video will also be played during the cocktail portion of the event.<br />

Promotional Timeline:<br />

• “Save the Date” cards – send out by the first week of December<br />

• Wedding Website – up and live before Save the Date Cards are sent out<br />

• Promotional Video – post on your wedding website one week before the<br />

celebration party as a reminder. Email guests and let them know there has been<br />

an update to the website.<br />

Utilizing Social Media:<br />

• Hash tag to be used for all social media accounts - #GoneGlover<br />

(place signs around the venue to remind guests to use the hashtag when posting on social media)<br />

• Website – Story of how the couple met, registry, engagement<br />

photos, recommendations of activities for guest to do in Dallas,<br />

hotel options, directions to event venue, and RSVP<br />

Financial Plan<br />

This is an initial look at a budget for your event since everything is not set in stone yet.<br />

We applied extremely economical pricing to develop this budget. It is quite possible<br />

that these costs could end up being more, depending on the type of foods and table<br />

settings you choose to use. Also, the cost of alcohol could change, depending on what<br />

type of discount you can get from your friend. This just gives you an extremely rough<br />

breakdown of possible expenses.<br />

Some suggestions on ways you may be able to possibly cut down on expenses are:<br />

• To cut down on the number guest some. This would immediately cut down the<br />

costs for food, linens, dinner cutlery, alcohol, etc. and this would be the easiest<br />

way to trim your budget.<br />

• Instead of having a live band, you could probably find a really good DJ for less<br />

than half the price of the band and still have really great dance music.<br />

• Instead of serving a full meal, you could have a Desert Reception or simply pass<br />

hors d’oeuvres.<br />

• You could cut down on the length of the party. This would help save on any<br />

wages you have to pay like to catering staff, bartenders, and security and<br />

decrease the cost of alcohol since people would not have as much time to drink.<br />

• You could utilize friends and family as much as possible. Maybe they would help<br />

bake deserts for the desert bar; maybe they can help sew table runners or cloths<br />

instead of renting; maybe you can borrow some of the décor from them, etc.<br />

• Consider using Lofty Spaces Catering. This will cut the outside catering fee,<br />

saving you at least $500.<br />

Each round table will seat 10 guests, thus creating space for everyone to eat. There will<br />

also be 10 cocktail tables places around the outside space of venue for guests to place<br />

their drinks and create a space for guests to mingle during the cocktail hour and<br />

through out the ceremony.<br />

Lofty Spaces will be in charge of putting down the dance floor and setting up the stage.<br />

The house party will be in charge of setting up all linens, decoration, draping, and string<br />

lights.<br />

Two of the rectangle tables will be used for the food/buffet stations. The tables will be<br />

set up before the caterers arrive, and the caterers will be in charge of setting up plates,<br />

chaffers, utensils etc.<br />

The two other rectangle tables will be used for the dessert table. All of the desserts will<br />

be displayed here for the guests to enjoy.<br />

Hotel Registration<br />

You mentioned you were looking to get a block of rooms for about 70 to 90 people.<br />

The closest hotel to the event is NYLO Dallas Southside. It is approximately a fourminute<br />

dry or a fifteen-minuet walk to the venue. The average price on your date will be<br />

around $170- $185 per night. Another close hotel is the Lorenzo, however it will cost<br />

closer to $300 a night. Any of the hotels in the downtown Dallas area would be<br />

acceptable as they are fairly close to the venue including Aloft Dallas Downtown Hotel,<br />

TownePlace Suites by Marriott. A block of rooms should be secured as soon as<br />

possible to assure the best rate for your guests.<br />

Infrastructure<br />

Parking Plan:<br />

The venue comes with a parking attendant for the parking lot. He will direct people to<br />

park in a way to fit the most cars possible.<br />

Transporting guests to the event:<br />

• Use hotel shuttles if available--check with hotels to see if they have shuttles, then<br />

communicate that to guest via the wedding website<br />

• Schedule Ubers in advance - get headcount of how many guests from each hotel<br />

need transportation to and from the event venue and communicate deadline to<br />

do so<br />

Traffic considerations:<br />

Take into consideration that the event is in downtown Dallas and is starting around high<br />

traffic times. Roads might have more traffic on them than guests are expecting.<br />

Waste Management:<br />

Lofty Spaces is a venue, so they have all necessary items to be up to code for the city’s<br />

standards.<br />

• Trashcan for guests to throw waste away.<br />

• Dumpster for waste that the city comes and picks up.<br />

• Working restrooms with plumbing<br />

Electrical/Power Needs:<br />

Lofty Spaces is a working facility so they should have enough electrical power available<br />

at their site. If more power is needed, a generator could be rented for the band.<br />

Confirm the following:<br />

• Venue has accommodations for electrical needs (verify voltage needs for band’s<br />

sound equipment and that venue can accommodate band plus the venue’s<br />

normal electrical needs)<br />

• Plugs for lights, sounds, etc. And the location of those; extension cords on hand<br />

if needed<br />

• Working AC and fans<br />

• Place for working generator if needed<br />

The rental space is rented for a total of 9 hours according to the contract. This means<br />

that you will not be able to get into the event venue before 3 p.m., assuming that you<br />

want the party to end at 11 p.m. This also allows for a one-hour break down/ clean up<br />

after the party. Because of the short amount of time available to decorate, we suggest<br />

you pay Lofty Spaces to have the tables, dance floor, and stage all ready set up<br />

according to the site plan before 3 p.m.<br />

Personnel<br />

Number of Staff and assigned duties and responsibilities – There will be a “Day Of”<br />

coordinator (you can hire this through Lofty Spaces or you can appoint a member of<br />

your house party to be in charge), caterer and servers, bartenders, band, photographer,<br />

parking attendant and 3 security guards<br />

Number of Volunteers needed – We suggest a house party filled with family members<br />

and close friends who are willing to help out, which will eliminate cost and stress on<br />

couple. House party could help decorate, attend guest registry, pass out sparklers and<br />

light them, and any other needed services. A family member or the bandleader member<br />

could serve as MC of the evening and announce the couple, first dance, toasts, etc.<br />

Activities: Engaging the Participants<br />

Activities throughout the Event<br />

The activities throughout the event include a slideshow during cocktail hour with passed<br />

hors d’oeuvres and passed signature drink. After the slideshow, everyone will be<br />

directed to sit down at the dinner tables as the couple takes the stage and a blessing of<br />

the vows is given. Each table will then be sent one by one to get in line for buffet style<br />

food (two lines). Speeches and toasts will begin during dinner. After dinner, the band<br />

will begin to play and the couple’s first dance will be announced. Afterward, the guests<br />

will join the couple on the dance floor to dance the night away! At the end of the<br />

evening, the couple will exit as husband and wife through a double line of sparklers<br />

held by the guests!<br />

Food and Beverages appropriate to Event<br />

Food will include southern comfort food with a touch of Tex-Mex. Beverages served at<br />

the wedding celebration will include beer, wine and liquor as well as non-alcoholic<br />

drinks such as sodas, water, and coffee. Signature drinks will be served during cocktail<br />

hour. Catering options and signature drink recipes can be found in “Exhibit D”.<br />

Elements of Décor<br />

The elements of decor of wedding celebration will compliment the color scheme of<br />

olive green, white and neutral colors. Linens will be neutral colors such and beige or<br />

white, with table decor picking up the olive green and mauve. We suggest using small<br />

succulents or small vases with tiny flowers that can be used as centerpieces but can also<br />

be given as parting gifts for the guests. Mexican Papel Picado Tissue Paper Banners in<br />

white can be strung throughout the venue, which will give a nod to the bride’s Mexican<br />

heritage.<br />

The ambiance will have a low light level with candles on the table and twinkle lights<br />

strung throughout the venue.<br />

Take Away<br />

We recommend that the take away for the wedding celebration be a small gift; a neutral<br />

scented candle, succulent or vase of flowers from the centerpieces, Mexican wedding<br />

cookies, candy, or a combination of these things.<br />

Risk Management<br />

Weather<br />

Weather is unpredictable. Since Lofty Spaces is an indoor/outdoor hybrid venue, if the<br />

rain or weather is severe we will move the celebration indoors. The venue holds up to<br />

400 guests.<br />

Power Failure<br />

Lofty Spaces is equipped with a large generator that will allow anything associated with<br />

electricity to continue to operate normally until power is restored.<br />

Alcohol<br />

Since this wedding is an open bar consisting or Beer, Wine, and Liquor all bartenders<br />

must be TABC certified. Bartenders will keep an eye on the guest’s consumption and if<br />

guests have consumed too much alcohol and are a danger to himself or the other<br />

guests, they will be cut off and be escorted out by security. A taxi can be hired at the<br />

expense of the couple.<br />

Accidents<br />

There is an AED and First Aid Kit on site and the staffs at Lofty Spaces are CPR certified,<br />

if something were to happen. If the accident is beyond their control, an ambulance will<br />

be called.<br />

Food<br />

Please ask your guests to inform us if they have any food allergies and need to adhere<br />

to specific diets<br />

• Sending an electronic save the date or invitation instead of two<br />

paper invitations, which will eliminate waste and save trees.<br />

• Having an edible take-away (Mexican cookie) to cut down on waste.<br />

• The succulents used as decorations could be taken home at the end<br />

of the night instead of fresh flower that would be thrown away.<br />

• Have guests staying at blocked hotels carpool to the event to use<br />

less fuel.<br />

• Using sparklers instead of rice when couple leaves to protect birds<br />

and animals that may eat the leftover rice.<br />

Suggestions and Websites<br />

Suggestions:<br />

1. We suggest getting the alcohol and music nailed down as soon as possible. It<br />

often seems that if there is good music/dancing and enough alcohol, people will<br />

perceive the event as being really fun.<br />

2. We suggest reading the band’s contract very carefully and being very clear what<br />

all equipment they are bringing and what equipment would need to be rented<br />

from Lofty Space. Some bands also offer dj services and some bands offer MC<br />

services. Most bands will require a deposit. Be clear when hiring the band what<br />

exact equipment that will be bringing and what will need to be rented from the<br />

venue. Everything should be spelled out in the band contract<br />

3. The budget for the event is very tight for 350 guests. One option to free up the<br />

budget would be to cut the guest list down some.<br />

4. The amount budgeted for pies is fairly large, there may be another vender or<br />

another type of dessert that would be more cost efficient. Another idea would be<br />

to bake and bring desserts, or you could do a combination of the two.<br />

5. We suggest visiting with Lofty Spaces concerning catering as well as other<br />

needed items such as dance floor, lighting, sound equipment, etc. Since you are<br />
