Board of Directors’ Meeting<br />
June 2018<br />
The National Beta Club Board of Directors met June 12, 2018 at 8:00 AM in Savannah,<br />
Georgia<br />
Mr. Mark Conley, Chair of the Board, called the meeting to order and welcomed<br />
everyone.<br />
The National Office was represented by Mr. Bob Bright, Executive Director/CEO, Mr.<br />
Bobby Hart, Chief Operating Officer, and Laura Lewis, National Sponsor.<br />
Inspiration was given by Mr. Clarke Scott.<br />
Mr. Conley, Chair of the Board, called the roll and asked each Board member to share<br />
something positive from their personal life and/or Beta. All Board members were<br />

A motion was made by Dennis Campbell and seconded by Clarke Scott to approve<br />
the minutes from the Board of Directors’ Meeting at the 2017 October Board<br />
Meeting in Spartanburg, South Carolina. Motion carried 18 Yes/No 0.<br />
Mr. Bob Bright discussed the Internal Affairs visit in the spring and the audit. The<br />
audit is complete.<br />
Mr. Bright informed the Board concerning each department as listed below:<br />
Marketing<br />
Some transitions, but the sales team is making great stride in growing new and cold<br />
clubs in every convention state. Anna Haynes will be the new Marketing Director.<br />
Convention/Leadership<br />
The conventions that had a drop in attendance was in part due to the calendar within<br />
those particular state. Moving locations also attributed to some of the members<br />
attending.<br />
Leadership Summits continue to grow and new summits have been added for the<br />
2018 – 2019 school year.<br />
Merchandise<br />
Mandy Blanton is the new Director of Merchandise. The warehouse is organized and<br />
allows easier packing for the store to travel to conventions.<br />
Membership<br />
Retention is the main issue within membership. This department is working on club<br />
retention and the transition to new sponsors when a veteran sponsor leaves or retires.<br />
Technology<br />
Brendan LeMarche is working with Jay in programing. Jay is cross training Brendan<br />
throughout the entire technology department.<br />
Budget<br />
This budget is a true working budget. The money spent is more because most states<br />
will no longer have a state fund. National Beta will begin to pay for all of the<br />
expenses that came out of the state funds. Excess funds will not just sit in the<br />
accounts, but will be used throughout Beta to increase quality in each program.
Mr. Jerry Newton made a motion to approve the change to Policy 706 with the<br />
addition of a designee if the sponsor could not attend the state convention. The<br />
motion was seconded by Gwen Young. Mr. Bright explained the need to clarify what<br />
the National Officers’ club would receive to off set the cost to travel to the National<br />
Convention. He also stated that this would make the administrator of the school<br />
aware of the travel for Beta. The change to Policy 706 was approved 18 Yes/0 No<br />
pending legal approval.<br />
Donna Wear made the motion to enter into Executive Session and it was<br />
seconded by Sabrina Runyon. Motion carried 18 Yes/0 No. Bobby Hart and Laura<br />
Lewis were excused from the Executive Session.<br />
Stan Long made the motion to come out of Executive Session. Tim Hager seconded.<br />
The motion carried. 18Yes/0 No.<br />
Motion made by Troy Hickey to adjust Anna Haynes salary as recommended by Bob<br />
Bright. Gwen Young seconded the motion. Motion passed 18 Yes/0 No.<br />
Stan Long made the motion to hire two National Sponsors. The motion was seconded<br />
by Dr. Runyon. Motion passed 18 Yes/0 No.<br />
Mr. Scott made the motion to accept the Employee Handbook as written. Mark Baker<br />
seconded the motion. The motion was passed 18 Yes/0 No.<br />
Bob Bright referred to the growth of Leadership Summits on page forty-four. Bobby<br />
Hart gave an update on the new additions. Alabama/Georgia will add a summit in the<br />
Fall, South Carolina will have a one day summit in Spartanburg, and Tennessee will<br />
add a Spring summit.<br />
The Indiana Summit will not be held any longer.<br />
Mr. Bright also informed the Board of name changes for convention competitions to<br />
align with a curriculum and academic focus.<br />
He also stated that Mexico City is interested in the competitions of convention. China<br />
has contacted Beta, as well, interested in adapting our marketing materials to<br />
Chinese. Beta would be compensated for the use of the materials and a pilot program<br />
could be established in China.<br />
Dennis Campbell made the motion to change the fifth grade officer for the 2018-2019<br />
from Fifth Grade Representative to Elementary President and the fourth grade officer<br />
for the 2018-2019 from Fourth Grade Representative to Elementary Vice President.
These candidates would give a speech and have a one minute skit during the<br />
Campaign Rally. The motion was seconded by Jerry Newton. There was discussion<br />
concerning fifth graders serving when they were in the sixth grade. The motion<br />
passed 18 Yes/0 No.<br />
Mr. Bright stated that for the 2018-2019 Convention year some states will be<br />
awarding five trophies at the awards portion of the convention. The number of<br />
members attending the state conventions will determine if the top three or the top<br />
five will be awarded plaques.<br />
A pilot program will be developed to have local Beta Officer Training at some of the<br />
Leadership Summits.<br />
Infuse 3.0 will be held during the Fall Board meeting on October. The meeting will be<br />
at the Gaylord Opryland in Nashville. Tennessee. Board members will arrive on<br />
October 17 and depart on October 20. There will be group meetings on October 18<br />
and the Board meeting will be October 19.<br />
Dennis Campbell requested a copy of the Constitution and Policy be available for the<br />
Board at the October meeting.<br />
Bob Bright referred to the state posters concerning growth in each of the eighteen<br />
convention states. The states of Arkansas, Illinois, Oklahoma, and Texas will have a<br />
blitz to promote growth.<br />
The Motivosity Program for staff was explained. The cost for that program is $5,000.<br />
Mr. Bright stated that the first Alumni Banquet will be held in Savannah, Georgia<br />
during the National Convention. Eighty registered to attend the banquet.<br />
Stan Long made the motion that the Board accept the Interview Committees<br />
recommendations for the two National Sponsors. The motion was seconded by Keith<br />
Leger. The motion passed 18 Yes/0 No.<br />
The Board will meet at 6:00 PM to meet the new National Sponsors in the Jasper<br />
Room.<br />
Glenn Barger made the motion for Mr. Dale Hughes and Mr. Herman Williams be<br />
made Emeritus Board Members. Clarke Scott seconded the motion. The motion<br />
passed 18 Yes/0 No.<br />
Donna Wear presented Dr. Rita Carter a Louisville Slugger Bat to thank her for<br />
hosting the 2018 National Convention.
Dr. Carter welcomed the Board to Savannah and presented them with a basket of<br />
gifts from Georgia.<br />
Mr. Campbell thanked Mr. Mark Conley for serving as the Board Chair and Mr. Pat<br />
Stout for serving as the Liaison.<br />
Mr. Conley and Mr. Stout thanked everyone for the opportunity to serve.<br />
Stan Long made a motion to elect Troy Hickey to serve as the Board Liaison for the<br />
2018-2020 term. It was seconded by Donna Wear. Motion passed 18 Yes/0 No.<br />
Pat Stout motioned to elect Clarke Scott as the Board Chair and Sabrina Runyon as<br />
the Vice Chair. Gwen young seconded it. Motion carried 18 Yes/0 No.<br />

NATIONAL CONVENTION--- NATIONAL STUDENT OFFICER EXPENSES COVERED---<br />
Policy Code: 706<br />
Change Policy to read as follows:<br />
1. The National Beta Club will pay the National Officers and National Leadership Representatives a $1,500 stipend<br />
to attend the National Convention.<br />
2. The National Beta Club will pay a stipend of $1,500 for the National Officers to attend state conventions. The<br />
National Officer must be accompanied by his/her Club Sponsor or designee when traveling to a state convention.<br />
Current Policy:<br />
1. - The National Beta Club will pay for the following for the National Convention:<br />
A. Transportation – at cost<br />
B. Hotel – up to four nights; the pro rate share for that student based on a four students occupancy will be covered<br />
unless otherwise approved by the CEO<br />
C. Per diem – thirty-five dollars per day for up to five days<br />
D. Convention registration<br />
2. The National Beta Club will pay for the following for official visits to other State Conventions with the maximum allowed of<br />
$1,500 with receipts required:<br />
A. Transportation- at cost<br />
B. Hotel – two to three nights hotel room cost (depends on the length of convention)<br />

Convention Verbiage Changes
SENIOR BETA<br />
• ACADEMICS – Agriculture is now AGRISCIENCE<br />
• ADVERTISING DESIGN – now MARKETING & COMMUNICATIONS. Teams will work<br />
collaboratively to create a marketing campaign to a chosen prompt listed in handbook. All work<br />
will be done prior to convention. The team will have 2 minutes to pitch their marketing<br />
campaign to judge. Electricity and internet connections will not be provided.<br />
• BANNER – now TWO DIMENSIONAL DESIGN. A club can submit one free standing design that<br />
depicts the 2018-2019 theme. One student will submit the design and be interviewed.<br />
• BETA BUILD – now ENGINEERING. Teams will be given an invention prompt at the beginning of<br />
the competition with 2 hours to construct. The invention must have at least 5 steps. The team<br />
will write an explanation to present during interview.<br />
• CANDIDATES – Tri-folds will no longer be required. Wood or metal cannot be used in<br />
construction of skit set. No tumbling passes on cheerleading stunts are permitted. Cartwheels,<br />
aerial cartwheels and round-offs are permitted.<br />
• CHARACTER SKIT – now PROBLEM SOLVING SCENARIO. Teams of 3 or more students work<br />
collaboratively to create and present a skit featuring the Beta Pillars based on given scenarios<br />
from handbook.<br />
• FRESH LOOK AT BETA – now FRESHMAN PROBLEM SOLVING. Teams work collaboratively to<br />
address a writing prompt that address a relevant topic. They will select to address one of three<br />
prompts.<br />
• LIVING LITERATURE – All participants must have their feet on the floor. The scene should be<br />
free standing and participants cannot lean on the walls. Wood and metal cannot be used in<br />
construction of the set. Scene dimensions may not exceed 12” wide by 12’ deep by 12’ high.<br />
Adults may assist during setup and disassembling the set. Setup will not monitored and a<br />
window of time of at least 1 hour will be given.<br />
• ONSITE ART – Reduced to 2 categories of Painting and Drawing. Participants have a choice of<br />
which medium to create and must provide all of their own supplies. It is divided into Division I<br />
(9 th – 10 th grades) and Division II (11 th – 12 th grades).<br />
• SCRAPBOOK – now PORTFOLIO. The presentation style is the club’s choice. It may be in the<br />
form of a book, electronic version, storyboard, etc. Electricity and internet connections will not<br />
be provided.<br />
• SPOTLIGHT YOUR SERVICE – now SERVICE LEARNING SHOWCASE. Each club can submit one<br />
free standing trifold board that features a club’s service. One club member will present after<br />
check in.<br />
• TALENT – now PERFORMING ARTS. Group = 4 or more participants. Special is now referred to<br />
as Solo, Duo and Trio. It is limited to 2 minutes. A club may enter both Group and Solo, Duo and<br />
Trio. Wood or metal cannot be used in construction or the set. Electricity and internet<br />
connections will not be provided.<br />
• TECHNOLOGY – The project will be completed before convention and presented onsite by two<br />
students to a panel of judges. Electricity and internet connections will not be provided.<br />
• VISUAL ARTS – There are two divisions for this competition – Division I (9 th – 10 th grades) and<br />
Division II (11 th – 12 th grades). Each school may enter one entry per division in each category.<br />
Students will present finished pieces of art at a time designated in the program to be judged.

three dimensional and is no larger than 24”x24”x24”. A club may enter both the Elementary<br />
and Junior Divisions.<br />
• VISUAL ARTS – A club may enter both the Elementary and Junior Divisions. Students will<br />
present finished pieces of art at a time designated in the program to be judged.

** We are currently working on a plan to place more of our Beta merchandise on the Beta<br />
website. This will allow Beta to acquire more exposer throughout the year and ultimately<br />
this valuable exposure will boost sales. **
Merchandise (July 2018 – September 2018)<br />
The following is an overview of successes in the Merchandise<br />
department for Quarter 1.<br />
o Approximately 40,000 Junior and Senior Beta member certificates<br />
printed and shipped.<br />
.<br />
o 1,036 packages shipped from the National headquarters to our Betas<br />
all over the United States.<br />
o Turn around time on online orders has decreased. Customers orders<br />
typically ship within the same day of payment.<br />
o Approximately 25 new products arriving, new shirt designs including<br />
a new Sponsor Tee designed by students, new engraved products<br />
including leather bracelets and keychains selling online and onsite as<br />
well as in the Spartanburg Beta Shop.<br />
o In preparation for the Beta Shop headquarters grand opening, the<br />
warehouse has been organized and all items labeled.<br />
o The Beta Shop opens October 1, 2018 at the National headquarters<br />
warehouse.<br />
o Convention season is upon us…We are ready!

SOCIAL MEDIA CAMPAIGN<br />
To promote National Beta in advance of<br />
the sales team’s visits to Texas, Oklahoma,<br />
Alabama, Mississippi and Arkansas, a social<br />
media campaign was developed.<br />
Three week long campaigns ran prior<br />
to each team’s visit and focused on<br />
brand awareness, website traffic and<br />
lead generation respectively. Teachers,<br />
administrators, counselors and gifted<br />
instructors in areas visted were targeted<br />
as well as those interested in a variety of<br />
educational focuses.<br />

The Sales Team is comprised up of 4<br />
people. The team members are Erin<br />
Emory, Chantella Crosby, Kelly<br />
Phelps, and Roxanne Schledwitz.<br />
GROWTH is the focus for the<br />
organization this year. In May and<br />
June, the team began tackling<br />
growth for the 2018-2019 by<br />
dissecting their assigned states.<br />

The sales team members traveled to<br />
various states to market Beta. So far<br />
they have traveled to Oklahoma,<br />
Texas, Mississippi, Alabama, Arkansas.<br />
Additionally, several team members<br />
will be traveling to Kentucky and<br />
Missouri. We believe that personal<br />
outreach builds relationship and thus<br />
increases sales.<br />
The total sales goal that the team is<br />
trying to reach this year is 32,001<br />
new member by June 30, 2018,

in the state, poverty vs.<br />

b. Growth from 2016-17 and<br />
2017-18 within the state.<br />
c. Set goals for FY'19 for the<br />
state using data<br />

a team we looked at setting a<br />
plan in motion to reach our goal.<br />

to the area, set target area<br />
and schools to visit, acquire<br />

prior to arrival in area.<br />
