A motion was made by Dennis Campbell and seconded by Clarke Scott to approve
the minutes from the Board of Directors’ Meeting at the 2017 October Board
Meeting in Spartanburg, South Carolina. Motion carried 18 Yes/No 0.
Mr. Bob Bright discussed the Internal Affairs visit in the spring and the audit. The
audit is complete.
Mr. Bright informed the Board concerning each department as listed below:
Marketing
Some transitions, but the sales team is making great stride in growing new and cold
clubs in every convention state. Anna Haynes will be the new Marketing Director.
Convention/Leadership
The conventions that had a drop in attendance was in part due to the calendar within
those particular state. Moving locations also attributed to some of the members
attending.
Leadership Summits continue to grow and new summits have been added for the
2018 – 2019 school year.
Merchandise
Mandy Blanton is the new Director of Merchandise. The warehouse is organized and
allows easier packing for the store to travel to conventions.
Membership
Retention is the main issue within membership. This department is working on club
retention and the transition to new sponsors when a veteran sponsor leaves or retires.
Technology
Brendan LeMarche is working with Jay in programing. Jay is cross training Brendan
throughout the entire technology department.
Budget
This budget is a true working budget. The money spent is more because most states
will no longer have a state fund. National Beta will begin to pay for all of the
expenses that came out of the state funds. Excess funds will not just sit in the
accounts, but will be used throughout Beta to increase quality in each program.

Mr. Jerry Newton made a motion to approve the change to Policy 706 with the
addition of a designee if the sponsor could not attend the state convention. The
motion was seconded by Gwen Young. Mr. Bright explained the need to clarify what
the National Officers’ club would receive to off set the cost to travel to the National
Convention. He also stated that this would make the administrator of the school
aware of the travel for Beta. The change to Policy 706 was approved 18 Yes/0 No
pending legal approval.
Donna Wear made the motion to enter into Executive Session and it was
seconded by Sabrina Runyon. Motion carried 18 Yes/0 No. Bobby Hart and Laura
Lewis were excused from the Executive Session.
Stan Long made the motion to come out of Executive Session. Tim Hager seconded.
The motion carried. 18Yes/0 No.
Motion made by Troy Hickey to adjust Anna Haynes salary as recommended by Bob
Bright. Gwen Young seconded the motion. Motion passed 18 Yes/0 No.
Stan Long made the motion to hire two National Sponsors. The motion was seconded
by Dr. Runyon. Motion passed 18 Yes/0 No.
Mr. Scott made the motion to accept the Employee Handbook as written. Mark Baker
seconded the motion. The motion was passed 18 Yes/0 No.
Bob Bright referred to the growth of Leadership Summits on page forty-four. Bobby
Hart gave an update on the new additions. Alabama/Georgia will add a summit in the
Fall, South Carolina will have a one day summit in Spartanburg, and Tennessee will
add a Spring summit.
The Indiana Summit will not be held any longer.
Mr. Bright also informed the Board of name changes for convention competitions to
align with a curriculum and academic focus.
He also stated that Mexico City is interested in the competitions of convention. China
has contacted Beta, as well, interested in adapting our marketing materials to
Chinese. Beta would be compensated for the use of the materials and a pilot program
could be established in China.
Dennis Campbell made the motion to change the fifth grade officer for the 2018-2019
from Fifth Grade Representative to Elementary President and the fourth grade officer
for the 2018-2019 from Fourth Grade Representative to Elementary Vice President.

These candidates would give a speech and have a one minute skit during the
Campaign Rally. The motion was seconded by Jerry Newton. There was discussion
concerning fifth graders serving when they were in the sixth grade. The motion
passed 18 Yes/0 No.
Mr. Bright stated that for the 2018-2019 Convention year some states will be
awarding five trophies at the awards portion of the convention. The number of
members attending the state conventions will determine if the top three or the top
five will be awarded plaques.
A pilot program will be developed to have local Beta Officer Training at some of the
Leadership Summits.
Infuse 3.0 will be held during the Fall Board meeting on October. The meeting will be
at the Gaylord Opryland in Nashville. Tennessee. Board members will arrive on
October 17 and depart on October 20. There will be group meetings on October 18
and the Board meeting will be October 19.
Dennis Campbell requested a copy of the Constitution and Policy be available for the
Board at the October meeting.
Bob Bright referred to the state posters concerning growth in each of the eighteen
convention states. The states of Arkansas, Illinois, Oklahoma, and Texas will have a
blitz to promote growth.
The Motivosity Program for staff was explained. The cost for that program is $5,000.
Mr. Bright stated that the first Alumni Banquet will be held in Savannah, Georgia
during the National Convention. Eighty registered to attend the banquet.
Stan Long made the motion that the Board accept the Interview Committees
recommendations for the two National Sponsors. The motion was seconded by Keith
Leger. The motion passed 18 Yes/0 No.
The Board will meet at 6:00 PM to meet the new National Sponsors in the Jasper
Room.
Glenn Barger made the motion for Mr. Dale Hughes and Mr. Herman Williams be
made Emeritus Board Members. Clarke Scott seconded the motion. The motion
passed 18 Yes/0 No.
Donna Wear presented Dr. Rita Carter a Louisville Slugger Bat to thank her for
hosting the 2018 National Convention.

Dr. Carter welcomed the Board to Savannah and presented them with a basket of
gifts from Georgia.
Mr. Campbell thanked Mr. Mark Conley for serving as the Board Chair and Mr. Pat
Stout for serving as the Liaison.
Mr. Conley and Mr. Stout thanked everyone for the opportunity to serve.
Stan Long made a motion to elect Troy Hickey to serve as the Board Liaison for the
2018-2020 term. It was seconded by Donna Wear. Motion passed 18 Yes/0 No.
Pat Stout motioned to elect Clarke Scott as the Board Chair and Sabrina Runyon as
the Vice Chair. Gwen young seconded it. Motion carried 18 Yes/0 No.
2018 Quarterly
Board Report
July - September

Growth and Development
1 2
The Sales Team is comprised up of 4
people. The team members are Erin
Emory, Chantella Crosby, Kelly
Phelps, and Roxanne Schledwitz.
GROWTH is the focus for the
organization this year. In May and
June, the team began tackling
growth for the 2018-2019 by
dissecting their assigned states.
3 4
The sales team members traveled to
various states to market Beta. So far
they have traveled to Oklahoma,
Texas, Mississippi, Alabama, Arkansas.
Additionally, several team members
will be traveling to Kentucky and
Missouri. We believe that personal
outreach builds relationship and thus
increases sales.
The total sales goal that the team is
trying to reach this year is 32,001
new member by June 30, 2018,

Planning to Succeed!
THE PROCESS
1 2 3
The Break Down
Each team member broke their
states into convention and nonconvention
states. Then we
dissected them into the following
areas:
a. Demographics-total
members reactivated and
new, make-up of the state
( population, rural vs. urban
areas, educational initiatives
in the state, poverty vs.
affluent)
b. Growth from 2016-17 and
2017-18 within the state.
c. Set goals for FY'19 for the
state using data
Work in Action
After the Break Down phase, as
a team we looked at setting a
plan in motion to reach our goal.
The next phase included:
a. Action plan- plans to travel
to the area, set target area
and schools to visit, acquire
contact information, market
to areas( FACEBOOK)
prior to arrival in area.
b. Accountabilitymeasurement
of growth per
month per state.
c. Communication- Sending
new school information to
State Sponsors and Elects,
Board Members, and
Convention department.
Is It Working
We will assess our results by
looking at the following:
a. Time Management and
Resources- what areas do
we need to spend
additional time in,
reaching out to contacts
meet during travel who
have not chartered.
b. Benchmarks- 6 months-
January to reset or tweak
goal for the remainder of
the year.
c. Update state resource
notebooks monthly (kept
in Sales department
