Additional Requirements
• Admittance is not allowed before or after your
rental period:
- Include set up and take down time in
your rental.
- Adhere to your rental times; your insurance
covers your rental period only, and there may
be other rentals before or after your time slot.
• Advise facility booking staff if you will be
using caterers.
• After the event, please leave the room in the
same condition as when you arrived.

a few people to large gatherings with
up to 300 guests, we can
accommodate your social
and business needs
– both indoors and
outdoors.
Services and amenities
Let our friendly staff help you plan the most
enjoyable function possible. Think of us as your
advisors in planning your event.
A variety of amenities are available, depending on
the facility being rented, which may include:
• Coffee-making equipment
• Microwave, stove, fridge
• Bar
• Audio-visual equipment (TV, VCR, DVD player,
screen, overhead projector, in-house PA system)
• Stage and dressing room
• Tables and chairs (included free of charge)
Room set up
Set up of tables and chairs is included free of charge
at some of our facilities. Please ask facility booking
staff for details.
Wheelchair accessible
Most Town facilities are wheelchair accessible.

Smoking regulations
All Town of Milton indoor facilities are non-smoking,
according to The Smoke-Free Ontario Act, which took
effect May 31, 2006. This legislation ban is enforced
by the Halton Region Health Department.

Insurance
Insurance for your event is important as it will cover
the participants with regard to legal liability for bodily
injury to, or damage to property of others (such as
spectators, passers-by, property owners and others),
resulting from your activity.
The Town of Milton requires permit holders to carry
general liability insurance in the amount of $2 million,
naming the Town of Milton as “additional insured,
inclusive of bodily injury and property damage per
occurrence.” Permit holders must provide a Certificate
of Insurance, which must state the following:
• If alcohol will/will not be served (see page 8)
• Estimated attendance
• Date, time, location, and type of event
Facility booking staff in our Community Services
Department can help you acquire the required
insurance, if needed.
Cancellations
• The Town of Milton Community Services
Department reserves the right to cancel a permit
if there is a break in the Terms and Conditions or
if the facility is being used for a purpose for
which it was not permitted.
• Requests for refund must be received with at
least 14 days notice prior to the booking date. No
refunds will be given within 14 days of the
booking date.
• Refund requests for special events (swim meets,
trade shows, sport camps/tournaments and full
weekend events) must be received at least three
months prior to the booking date. No refunds will
be given for special events within three months
of the booking date.
• Administrative fees apply to all refunds and
include a $10 cancellation fee and a $20 cheque
issuance fee (if applicable).
• Cancellation timelines are different for block
bookings; please review this information with
facility booking staff.

Rental Rates
Our fees are based on rates approved by Town
Council; our standard pricing is indicated in the
insert. We also offer affiliated pricing, which could
make reduced rates available if your organization
is working in support of leisure activities in the
community. To apply for affiliated status, please visit
www.milton.ca and select “Affiliation Program” from
the site index.
Terms and Conditions
Please read and take note of the detailed terms and
conditions in your copy of the rental permit.
Please also note the following:
• There are additional terms involving admittance
requirements for pool rentals, which will be
noted in your permit.
• Piñatas are not permitted in our facilities.
• Inflatable air bouncies are permitted, but must
be TSSA approved and are subject to approval
by facility booking staff to ensure the rental
venue can accommodate
according to size, height and
other safety considerations.
Payment Details
• To finalize your rental,
payment is due no later than
seven days after you first
request your booking.
• A refundable damage deposit cheque is required
for all rentals. See insert for damage deposit
amounts.
• Payment methods include:

- Cheque - MasterCard - Debit

Last Minute
Book & Save Program
Take advantage of space available at Town of
Milton facilities by booking rentals on short
notice at a 50% discount for:
• Meeting, activity, and banquet rooms
• Leisure and competition pools (subject to
availability of life guarding staff; discount applies
only to pool rental rate and does not apply to
fees for life guarding staff)
• Rinks (ice/floor)
Book by 3:00 pm, and no more than 48 hours before
your rental time, for a 50% reduction in your rate.
Please note:
• If you have an existing permit, you cannot
cancel it and then reschedule with “Last Minute
Book & Save” rentals.
• Due to time limitations in obtaining special
occasion permits from the LCBO, this discounted
rental program does not apply to events where
alcohol will be served.
• If you cancel a reduced-rate booking, no refund
will be issued.

Playing Music
All events where music is played are subject to
a SOCAN fee (Society of Composers, Authors &
Music Publishers of Canada), as required under
federal legislation.
The Town collects the fee, on behalf of SOCAN, for
all bookings involving music. See insert for SOCAN
fees.

subject to approval
by facility staff.

Serving Alcohol
The Town of Milton has an Alcohol Risk
Management Policy:
• You will need to obtain a Special Occasion
Permit, issued by the Liquor Control Board of
Ontario.
• To obtain a permit for renting one of our facilities,
you must pick up a copy of our Alcohol Risk
Management Policy and sign the Alcohol Permit
Agreement.
• Only Smart Serve trained personnel are
permitted to serve alcohol in Town facilities; copies
of Smart Serve certificates must be
provided to facility booking staff. (Smart Serve
Ontario is an organization that provides training
for responsible alcohol beverage service.) On
behalf of Smart Serve, the Town lends out Smart
Serve training kits and stocks manuals for
purchase. To obtain these materials, call
905-875-5393, ext. 2601. Or, use online
certification available at www.smartserve.ca. See
insert for training kit deposits and manual costs.
• If you need a qualified server, we can provide
you with names of Smart Serve trained
personnel available in the community.
• Your certificate of insurance must indicate if
alcohol will/will not be served.

School Facility Rentals
The Town of Milton, Halton District School Board and
Halton Catholic District School Board share an
agreement for the community use of facilities.
Community groups meeting defined criteria may
contact the Town to reserve school classrooms, gyms
and cafeterias with a stage for meetings or activities.
Schools are available from 6:00 pm to 10:00 pm,
Monday to Friday, and during the day on Saturdays
and Sundays. Please make arrangements at least four
weeks in advance of your desired date. Appropriate
liability insurance coverage of $2 million is required.
