Additional Requirements<br />
• Admittance is not allowed before or after your<br />
rental period:<br />
- Include set up and take down time in<br />
your rental.<br />
- Adhere to your rental times; your insurance<br />
covers your rental period only, and there may<br />
be other rentals before or after your time slot.<br />
• Advise facility booking staff if you will be<br />
using caterers.<br />
• After the event, please leave the room in the<br />
same condition as when you arrived.<br />

Smoking regulations<br />
All <strong>Town</strong> <strong>of</strong> <strong>Milton</strong> indoor facilities are non-smoking,<br />
according to The Smoke-Free Ontario Act, which took<br />
effect May 31, 2006. This legislation ban is enforced<br />
by the Halton Region Health Department.<br />

Insurance<br />
Insurance for your event is important as it will cover<br />
the participants with regard to legal liability for bodily<br />
injury to, or damage to property <strong>of</strong> others (such as<br />
spectators, passers-by, property owners and others),<br />
resulting from your activity.<br />
The <strong>Town</strong> <strong>of</strong> <strong>Milton</strong> requires permit holders to carry<br />
general liability insurance in the amount <strong>of</strong> $2 million,<br />
naming the <strong>Town</strong> <strong>of</strong> <strong>Milton</strong> as “additional insured,<br />
inclusive <strong>of</strong> bodily injury and property damage per<br />
occurrence.” Permit holders must provide a Certificate<br />
<strong>of</strong> Insurance, which must state the following:<br />
• If alcohol will/will not be served (see page 8)<br />
• Estimated attendance<br />
• Date, time, location, and type <strong>of</strong> event<br />
<strong>Facility</strong> booking staff in our Community Services<br />
Department can help you acquire the required<br />
insurance, if needed.<br />
Cancellations<br />
• The <strong>Town</strong> <strong>of</strong> <strong>Milton</strong> Community Services<br />
Department reserves the right to cancel a permit<br />
if there is a break in the Terms and Conditions or<br />
if the facility is being used for a purpose for<br />
which it was not permitted.<br />
• Requests for refund must be received with at<br />
least 14 days notice prior to the booking date. No<br />
refunds will be given within 14 days <strong>of</strong> the<br />
booking date.<br />
• Refund requests for special events (swim meets,<br />
trade shows, sport camps/tournaments and full<br />
weekend events) must be received at least three<br />
months prior to the booking date. No refunds will<br />
be given for special events within three months<br />
<strong>of</strong> the booking date.<br />
• Administrative fees apply to all refunds and<br />
include a $10 cancellation fee and a $20 cheque<br />
issuance fee (if applicable).<br />
• Cancellation timelines are different for block<br />
bookings; please review this information with<br />
facility booking staff.<br />

Rental Rates<br />
Our fees are based on rates approved by <strong>Town</strong><br />
Council; our standard pricing is indicated in the<br />
insert. We also <strong>of</strong>fer affiliated pricing, which could<br />
make reduced rates available if your organization<br />
is working in support <strong>of</strong> leisure activities in the<br />
community. To apply for affiliated status, please visit<br />
www.milton.ca and select “Affiliation Program” from<br />
the site index.<br />
Terms and Conditions<br />
Please read and take note <strong>of</strong> the detailed terms and<br />
conditions in your copy <strong>of</strong> the rental permit.<br />
Please also note the following:<br />
• There are additional terms involving admittance<br />
requirements for pool rentals, which will be<br />
noted in your permit.<br />
• Piñatas are not permitted in our facilities.<br />
• Inflatable air bouncies are permitted, but must<br />
be TSSA approved and are subject to approval<br />
by facility booking staff to ensure the rental<br />
venue can accommodate<br />
according to size, height and<br />
other safety considerations.<br />
Payment Details<br />
• To finalize your rental,<br />
payment is due no later than<br />
seven days after you first<br />
request your booking.<br />
• A refundable damage deposit cheque is required<br />
for all rentals. See insert for damage deposit<br />
amounts.<br />
• Payment methods include:<br />

Last Minute<br />
Book & Save Program<br />
Take advantage <strong>of</strong> space available at <strong>Town</strong> <strong>of</strong><br />
<strong>Milton</strong> facilities by booking rentals on short<br />
notice at a 50% discount for:<br />
• Meeting, activity, and banquet rooms<br />
• Leisure and competition pools (subject to<br />
availability <strong>of</strong> life guarding staff; discount applies<br />
only to pool rental rate and does not apply to<br />
fees for life guarding staff)<br />
• Rinks (ice/floor)<br />
Book by 3:00 pm, and no more than 48 hours before<br />
your rental time, for a 50% reduction in your rate.<br />
Please note:<br />
• If you have an existing permit, you cannot<br />
cancel it and then reschedule with “Last Minute<br />
Book & Save” rentals.<br />
• Due to time limitations in obtaining special<br />
occasion permits from the LCBO, this discounted<br />
rental program does not apply to events where<br />
alcohol will be served.<br />
• If you cancel a reduced-rate booking, no refund<br />
will be issued.<br />

Playing Music<br />
All events where music is played are subject to<br />
a SOCAN fee (Society <strong>of</strong> Composers, Authors &<br />
Music Publishers <strong>of</strong> Canada), as required under<br />
federal legislation.<br />
The <strong>Town</strong> collects the fee, on behalf <strong>of</strong> SOCAN, for<br />
all bookings involving music. See insert for SOCAN<br />
fees.<br />

Block Booking Requests<br />
If you would like to rent one<br />
<strong>of</strong> our facilities on a regular<br />
basis, you may arrange a<br />
block booking to reserve<br />
space on an ongoing basis.<br />

Serving Alcohol<br />
The <strong>Town</strong> <strong>of</strong> <strong>Milton</strong> has an Alcohol Risk<br />
Management Policy:<br />
• You will need to obtain a Special Occasion<br />
Permit, issued by the Liquor Control Board <strong>of</strong><br />
Ontario.<br />
• To obtain a permit for renting one <strong>of</strong> our facilities,<br />
you must pick up a copy <strong>of</strong> our Alcohol Risk<br />
Management Policy and sign the Alcohol Permit<br />
Agreement.<br />
• Only Smart Serve trained personnel are<br />
permitted to serve alcohol in <strong>Town</strong> facilities; copies<br />
<strong>of</strong> Smart Serve certificates must be<br />
provided to facility booking staff. (Smart Serve<br />
Ontario is an organization that provides training<br />
for responsible alcohol beverage service.) On<br />
behalf <strong>of</strong> Smart Serve, the <strong>Town</strong> lends out Smart<br />
Serve training kits and stocks manuals for<br />
purchase. To obtain these materials, call<br />
905-875-5393, ext. 2601. Or, use online<br />
certification available at www.smartserve.ca. See<br />
insert for training kit deposits and manual costs.<br />
• If you need a qualified server, we can provide<br />
you with names <strong>of</strong> Smart Serve trained<br />
personnel available in the community.<br />
• Your certificate <strong>of</strong> insurance must indicate if<br />
alcohol will/will not be served.<br />
Ratios for certified personnel to guests<br />
When alcohol is being served in a <strong>Town</strong> <strong>of</strong> <strong>Milton</strong><br />
facility, you must follow these guidelines for the ratio<br />
<strong>of</strong> certified bartenders/servers/monitors/volunteers<br />

School <strong>Facility</strong> <strong>Rentals</strong><br />
The <strong>Town</strong> <strong>of</strong> <strong>Milton</strong>, Halton District School Board and<br />
Halton Catholic District School Board share an<br />
agreement for the community use <strong>of</strong> facilities.<br />
Community groups meeting defined criteria may<br />
contact the <strong>Town</strong> to reserve school classrooms, gyms<br />
and cafeterias with a stage for meetings or activities.<br />
Schools are available from 6:00 pm to 10:00 pm,<br />
Monday to Friday, and during the day on Saturdays<br />
and Sundays. Please make arrangements at least four<br />
weeks in advance <strong>of</strong> your desired date. Appropriate<br />
liability insurance coverage <strong>of</strong> $2 million is required.<br />
