OCTOBER BOARD MiNUTES by Matthew Deter, 2012 Secretary EMAiL BUSiNESS In order to expedite the publishing of minutes in the Drifter, final minutes are approved by email instead of waiting until the following month’s board meeting. The final September meeting minutes were reviewed by the board and approved by email vote on September 18th. Email Voting: Frederick Rauch, Steven Barker, Eduardo Ortega, Jr., Bob Peake, Mike Willis, Bob Jacobson, John Murphy, Kirk Bradford, and Matt Deter. CALL TO ORDER President Frederick Rauch called the meeting to order at 7:11 PM. Attending: Frederick Rauch, Matt Deter, John Murphy, Bob Jacobson, Bob Peake, Eduardo Ortega Jr., and Rik Larson. OLD BUSiNESS Vice President Calendar Review: Steve Barker submitted the calendar for review by email since he was absent this month. The only change was to add the CAM Tree Decorating event. Note that the November board meeting is off-cycle and will be on November 20th. NEW BUSiNESS Wine Glasses: Prior to the board meeting, Kirk Bradford submitted a proposal to the board that the club provide complimentary wine & glasses at the Christmas Party this year. The board reviewed the proposal by email and agreed on the 17 ounce glass. Bob Peake made a motion to approve the purchase of 216 17-ounce wine glasses (18 boxes of 12) for approximately $800 as well as 1 bottle of wine per 4 people at the Christmas dinner. Excess glasses will be made available for sale. Bob Jacobson seconded. The motion was unanimously approved. Auto Museum Fund Raising Ad: The board discussed the previous month’s advertising policy decision regarding annual advertising contracts for commercial ads. Discussion affirmed support of the previous month’s decision. Nominating Committee: The nominating committee is so far unable to locate willing candidates for president. The search continues! Please contact the committee with any nominations. October Dinner Meeting: Bob Peake made a motion to amend the dinner meeting budget with an increase of up to $200 to pay for a live music band. Bob Jacobson seconded. The motion was unanimously approved. Dinner Meeting meetings: Frederick Rauch made a motion that monthly dinner meetings shall include a time when board members and new members are introduced, and upcoming events are discussed. John Murphy seconded. The motion was unanimously approved. Publishing Software: The club’s current publishing software is out of date. Several ideas were discussed for software which could meet the needs of publishing the Drifter. Bob Jacobson moved to recognize that Rik Larson will investigate publishing software options for the Drifter and report back to the board. The motion was unanimously approved. Autocross Budget: In light of the excellent autocross season to date, Bob Peake made a motion to subsidize the lunch fee for all drivers at the October 21st autocross, as well as lunch and entry fees for the 7 key event staff who attend every event early, stay until the end to pack the trailer, and perform many other duties throughout the day as well. Bob Jacobson seconded. The motion was unanimously approved. BOARD MEMBER REPORTS Charity (Ruth Stark): No report. New Members Group (Lee Deter): No report. Competition: Autocross (Bob Peake): Bob is planning to submit a season wrap-up article to the Drifter. The September event was sold out. Anticipating October will be another sell out. Concours (Kent Brandon): No report. Drivers Education (Frederick Rauch): SVR is still planning to host a DE at Laguna Seca on December 21 if there is interest. The date will be released if advance registrations are not sufficient. The deadline is 45 days prior. Rallye (Rik Larson): No report. Advertising (Frederick Rauch): Elephant Racing contacted Frederick and he sent them an advertising application. Drifter (Bob Jacobson): Kyle Gong will not be doing the layout of the Drifter beyond December’s issue. Bob Jacobson and Rik Larson are seeking a third member of the club to assist them with the layout tasks. The Drifter ad will be revised to reflect the need for layout help. Treasurer (Kirk Bradford): Kirk submitted the financial report to the board by email. Goodie Store (Cookie Anderson): Cookie reports by email that she has sold an additional 3 anniversary T-shirts since the event. Membership (Mike Willis): Via email, Mike reports that SVR has 588 primary members, 403 family members, 63 affiliate members, plus 8 dual members for 1062 total. Social (Eduardo Ortega Jr.): Chops was a good time, and the event broke even. See you at Beermanns! Technical (Lisa Thomas): No report. Webmaster (John Murphy): The PCA National server space is again available and John is using it for SVR archival information or files considered too large for our local server. He can use this space to load video, so if you have some - please send it to him. Vice President (Steve Barker): See calendar review. President (Frederick Rauch): No report. Secretary (Matt Deter): No report. Meeting adjourned: 9:59 PM Mountain Daylight Time (MDT) Next meeting: RPM Wednesday, November 20th, 2012 at 7:00 PM PDT Note from the Secretary: It is a long standing tradition to end the board meeting at a time which corresponds to a Porsche model number. In order to ensure this important tradition continues, great liberty is taken with the time zone notation. Hence the use of Mountain Time this month, because 8:59 is not a Porsche model number!
