Coaches<br />

We only use approved executive coach companies,<br />

<strong>and</strong> we use coaches on most of our <strong>tours</strong> to take<br />

school parties from area to area. Coach pick-ups can<br />

also be arranged.<br />

Drivers’ hours<br />

All itineraries are planned to ensure that the strict<br />

EU regulations governing driving hours are observed<br />

at all times.<br />

Channel crossing<br />

For travel to France, Belgium <strong>and</strong> Germany we<br />

use either the Channel Tunnel or a ferry service –<br />

whichever best suits your tour itinerary.<br />

Air travel<br />

For <strong>tours</strong> in Italy, Germany, Pol<strong>and</strong> <strong>and</strong> beyond, we<br />

recommend flying to the airport closest to the tour’s<br />

starting point. We will supply the choice of times,<br />

costs <strong>and</strong> airlines that best suit your needs <strong>and</strong> budget.<br />

Public transport<br />

<strong>Travel</strong> within cities may be quicker <strong>and</strong> cheaper using<br />

public transport – we will discuss this with you when<br />

planning your trip.<br />

accommodation<br />

Hotels<br />

We use reliable 2 or 3 star hotels <strong>for</strong> school <strong>tours</strong>.<br />

We have used many of them be<strong>for</strong>e, <strong>and</strong> generally<br />

choose known chains to ensure they meet the<br />

required st<strong>and</strong>ards. Students will be expected<br />

to share rooms <strong>and</strong> room allocation will be the<br />

responsibility of the teacher leading the tour. We<br />

supply risk assessments <strong>for</strong> hotels upon request.<br />

Hostels<br />

If you would prefer to stay in a hostel, this is available<br />

in some countries – we can provide in<strong>for</strong>mation <strong>and</strong><br />

make the booking at your request.<br />

Evening activities<br />

After a day’s learning <strong>and</strong> discussion, everyone will<br />

benefit from a relaxing evening. We can help you put<br />

together an evening programme that might include<br />

activities from quizzes <strong>and</strong> games to bowling <strong>and</strong><br />

eating out at a local restaurant.<br />

We underst<strong>and</strong> you may need to visit your chosen<br />

destination be<strong>for</strong>e taking your group there, so you can<br />

study your itinerary <strong>and</strong> complete any necessary risk<br />

assessments of your accommodation <strong>and</strong> programme.<br />

PassPorts <strong>and</strong> visas<br />

It is the responsibility of the group Leader to ensure<br />

that all members of the group are in possession of valid<br />

passports <strong>and</strong> visas if necessary. Holders of non-British<br />

passports should check with the embassy or consulate<br />

of the country the group are travelling to or through.<br />

eUroPean health insUrance card (ehic)<br />

We would also strongly recommend that everyone<br />

takes with them an EHIC. This card will allow you to<br />

receive free or reduced-cost emergency health care<br />

while abroad. It will also reduce the risk of you having<br />

to pay <strong>for</strong> treatment ‘on the spot’ <strong>and</strong> then make a<br />

The safety <strong>and</strong> security of our clients is of<br />

paramount importance to us. As such, we have<br />

The School <strong>Travel</strong> Forum is a group of leading school<br />

in school travel. All Assured Members of the STF<br />

Management St<strong>and</strong>ards <strong>and</strong> are externally verified<br />

each year by suitably qualified independent Health<br />

Choosing an STF Assured Member ensures teachers<br />

<strong>and</strong> <strong>schools</strong> are meeting the requirements of DfES<br />

<strong>and</strong> Scottish Executive guidelines <strong>and</strong> that they can<br />

delegate important tasks with confidence.<br />

During the course of developing the STF Code of<br />

Practice, <strong>and</strong> in addition to liaising with the DfES, advice<br />

has been sought from all leading educational Unions<br />

<strong>and</strong> Associations. The STF initiative is welcomed by<br />

the Outdoor Education Advisors Panel (OEAP) <strong>and</strong><br />

the DfES. It has the support of the ASCL, NAHT,<br />

ATL, NUT, PAT <strong>and</strong> the NASUWT advises members<br />

wishing to organise school trips to use companies<br />

that have this type of scheme.<br />

the QUality badge<br />

The Learning Outside the Classroom Quality Badge<br />

is a nationally recognised benchmark that brings<br />

together all existing safety <strong>and</strong> quality badges into<br />

one easily identifiable mark of quality. The Quality<br />

Badge makes it easier <strong>for</strong> teaching professionals to<br />

organise LOtC activities by helping them to identify<br />

organisations providing good quality LOtC activities,<br />

reducing paperwork <strong>and</strong> red tape.<br />

The Quality Badge is awarded to organisations which<br />

have pledged to engage in an ongoing process to<br />

sustain good-quality learning outside the classroom<br />

<strong>and</strong> have demonstrated that they meet six quality<br />

indicators. These indicators show the provider:<br />

1 has a process in place to assist users to plan the<br />

learning experience effectively;<br />

2 provides accurate in<strong>for</strong>mation about its offer;<br />

3 provides activities, experience or resources which<br />

meet learner needs;<br />

4 reviews the experience <strong>and</strong> acts on feedback;<br />

5 meets the needs of the users; <strong>and</strong><br />

6 has safety management processes in place to<br />

The flight-inclusive <strong>tours</strong> we sell are financially protected<br />

by the Air <strong>Travel</strong> Organisers Licence scheme. We hold<br />

an ATOL Licence (ATOL 10277) granted by the Civil<br />

Aviation Authority. When you pay you will be supplied<br />

with an ATOL Certificate. Please check it to ensure<br />

that everything you booked (flights, accommodation<br />

<strong>and</strong> other services) is listed on it. In the unlikely event<br />

of our insolvency, the CAA will ensure that you are<br />

not str<strong>and</strong>ed abroad <strong>and</strong> will arrange to refund any<br />

money you have paid to us <strong>for</strong> an advance booking.<br />

hoW to book<br />

Once you have chosen your tour, simply contact<br />

us to discuss availability. We will hold a provisional<br />

booking <strong>for</strong> 14 days, giving you time to advertise the<br />

trip <strong>and</strong> collect initial deposits.<br />

dePosit schedUle<br />

14 days after making your provisional booking, we<br />

will require your completed booking <strong>for</strong>m <strong>and</strong> a<br />

deposit of £30 per paying passenger <strong>for</strong> coach <strong>tours</strong><br />

or a deposit of £100 <strong>for</strong> air <strong>tours</strong>. The final balance<br />

will be due 8 weeks prior to departure.<br />
