S. Myers moved to approve Company D, 33 rd Virginia Infantry conditional membership in the N-SSA Conditional member status was<br />

denied. Probationary status stands. Company D, 33 rd Virginia Infantry will stand for re-inspection at the Board of Directors meeting,<br />

Thursday, October 6, 2011.<br />

S. Myers moved to approve the <strong>The</strong> Dulany Troop, 7 th Virginia Cavalry, Potomac Region. S. Myers reported that there was a change in<br />

the paperwork and the 7 th Virginia Cavalry should be the 6 th Virginia Cavalry. J. Robey moved to amend the motion to grant probationary<br />

status to <strong>The</strong> Dulany Troop, 6 th Virginia Cavalry, Potomac Region if corrected paperwork is provided to the IG by September 1,<br />

2011. Amended motion accepted.<br />

After action: Corrected paperwork was submitted prior to September 1, 2011 deadline.. <strong>The</strong> BoD voted via email and it was approved to<br />

grant probationary status to the Dulany Troop, 6 th Virginia Cavalry.<br />

S. Myers moved to rescind the board action of August 2009, and reinstate Uniform and Small Arms as independent committees within<br />

the N-SSA. Motion accepted.<br />

Paymaster’s Report – <strong>The</strong> report included the statement of income for the period of January 1 through July 15, 2011, balance sheets as<br />

of July 15, 2011, statement of restricted funds as of July 15, 2011, Statement of cash balances as of July 15, 2011 and the budget vs. actual<br />

for the period January 1 thru July 15, 2011. Due to the extensive rain and flooding that took place this year we incurred a number of<br />

expenses for maintenance and repair. One item that has increased drastically is latrine pump outs, which is included in the Budget vs.<br />

Actual report. Several items had to be purchased including target materials, cardboard, wire and revolver paper targets. In each case,<br />

the cost has gone up requiring an increase in the sale price. Due to the change in the FCC requirements, the N-SSA must replace 35 radios<br />

prior to January 2013. Revenue from the sponsorship fund could pay for one half of the radio replacements. J. Baird recommended<br />

approving the adjustments to the budget including the replacement of the radios ($7750.00) and the latrine pump outs.<br />

S. Myers made motion to replace 24 of the association’s radio this year and replace the Potomac and Allegheny Region radios in 2012.<br />

J. Roby amended the motion to purchase 35 radios for the association. Motion accepted<br />

P. Spaugy made motion to accept the amended paymaster’s report. Motion accepted<br />

Executive Secretary’s Report – J. Stoneburner reported that the organization currently has 3,274 active members. So far this year, we<br />

have added 75 new members, this number does not reflect inactive members renewing their membership. During the 2010 skirmish year,<br />

158 new members were added. A graph was provided to the Board showing the number of new members, by year for the last ten years.<br />

A listing of inactive members will be sent to regions to review. J. Stoneburner reported on the poor condition of the secretary’s records<br />

that are currently housed in the secretary’s office at the fort. A sample of a Records Retention & Disposition schedule was shared and an<br />

explanation as to why it would beneficial to use a Certificate of Records Destruction form. It was determined that the records will be<br />

removed from the cabin and relocated to a more secure area and any legal papers, deeds, etc. would be placed in the safety deposit box.<br />

J. Malarkey moved to approve one locking file cabinet for the secretary’s office and the approval to use the Certificate of Records Destruction<br />

form NSSA-RD1. Motion accepted<br />

After Action: A locking file cabinet has been donated to the secretary’s office and will be delivered prior to Fall Nationals at no cost to the<br />

organization.<br />

J. Stoneburner reported that she and J. Baird met with the sales manager of the Reston-Sheraton Hotel to negotiate better terms for the<br />

2012 conferences. <strong>The</strong> outcome of the conference was very favorable for the organization.<br />
