EXECUTIVE SUMMARY<br />
The year <strong>2001</strong>/02 was one of mixed fortunes for the <strong>Library</strong>. While recurrent funding<br />
levels were not adequate to sustain demand for services and materials, a major grant of<br />
public/private finance cleared the way for a significant physical expansion in the<br />
future. The year saw a welcome renewal of development projects to improve access to<br />
collections, and the <strong>Library</strong> continued to adopt a strong user-driven approach to service<br />
planning and provision.<br />
SPACE<br />
The continued dramatic growth in customer numbers, volume of stock, and volume of<br />
demand for services in the <strong>Library</strong> has increased pressure on the limited space<br />
available to the <strong>Library</strong>, particularly on the Main Campus. While additional new space<br />
will be available in 2-5 years at Brookfield and on the main campus, in the short-term<br />
the immediate release of space within the Boole Complex is required to improve access<br />
to IT facilities and to accommodate developments in Special Collections, including<br />
accommodation for the Archives Service.<br />
FINANCE<br />
During <strong>2001</strong>/02 UCC spent proportionately less on library services than most other<br />
Irish Universities. Continued annual increases in the costs of acquiring journals in the<br />
Science, Technology, Engineering and Medical areas forced further cancellations of<br />
the <strong>Library</strong>'s subscriptions in these disciplines. The annual increase in the average cost<br />
of research journals acquired by UCC in 2000/<strong>2001</strong> was 12%. A significant increase<br />
to the <strong>Library</strong>’s non-pay budget is required to restore services and acquisition levels to<br />
national standards.<br />
UCC earns more in research income than any other <strong>University</strong> in the State. The <strong>Library</strong><br />
strives to actively support this activity across a range of areas. However, no link exists<br />
between <strong>Library</strong> resources and the income generated by research at UCC. As a result,<br />
the <strong>Library</strong> cannot adequately support the growing level of research at UCC. The<br />
Committee recommends that a fixed percentage of overheads taken by the <strong>College</strong><br />
from allowable research grants be allocated to the <strong>Library</strong> in order to support library<br />
services and materials for research.<br />
In summary, the <strong>Library</strong> Policy Committee recommends that the following key actions<br />
be taken to sustain the development and provision of library services at UCC:<br />
1. the <strong>Library</strong> non-pay budget be increased by 20% to keep pace with rising costs<br />
and increased user demands;<br />
2. a fixed percentage of overheads taken by the <strong>College</strong> from allowable research<br />
grants be allocated to the <strong>Library</strong> in order to support library services and<br />
materials for research;<br />
3. additional library space be provided to the <strong>Library</strong> in the short term by<br />
relocating existing retail activities in the Boole Complex. The Committee<br />
welcomes the award of significant funding through the PRTLI Programme for<br />
new library space. The allocation of improved facilities for off-site storage of<br />
library materials at the leased premises in Pouladuff is also warmly welcomed.<br />
However, it will be essential to provide for incremental expansion of library<br />
storage facilities at this site in the future and for the <strong>University</strong> to seriously<br />
consider acquiring or constructing a custom-designed repository.<br />

OVERVIEW OF DEVELOPMENTS <strong>2001</strong>-<strong>2002</strong><br />
Continued annual increases in operating costs, particularly in research journal<br />
subscriptions forced restrictions upon levels of funding to academic departments for<br />
the acquisition of books and journals during <strong>2001</strong>/02. However, physical development<br />
plans received a very welcome boost of £22.6M through the PRTLI programme,<br />
including £13.5M from private sources. In addition, the year closed with a<br />
commitment of a significant increase to the <strong>Library</strong>’s recurrent non-pay funding for<br />
<strong>2002</strong>/03. Amid these financial vicissitudes, the <strong>Library</strong> continued to work successfully<br />
towards meeting the aims of its current Strategic Plan of February 2000.<br />
SERVICES<br />
Additional professionally-qualified subject specialist library staff were appointed<br />
during 2000. These included a Part-time Nursing Librarian and an Engineering, IT and<br />
Food Science Librarian. A full-time professional post was re-assigned to the <strong>Library</strong><br />
Store. Further extensions to opening hours were introduced, most notably the<br />
extension of evening opening during September <strong>2002</strong>.<br />
The newly introduced fee-based External Information Service reported a healthy first<br />
year income.<br />
As in other years the Introductory <strong>Library</strong> Tours held in early October were a marked<br />
success. This success was repeated in the evening Introductory <strong>Library</strong> Tours<br />
conducted throughout the month of October and comprehensive user orientation to<br />
non-traditional user groups throughout the first term.<br />
Service levels were maintained throughout the <strong>Library</strong> (with some pressure on reshelving<br />
from February to May) despite a reduction of library staff costs through a cut<br />
in Student Help staff numbers, and the freezing of some part-time library assistant<br />
posts.<br />
Significantly, UCC ranked as the most intensive user of the two major national<br />
electronic information services: the ISI Web of Science citation database and the<br />
Elsevier Science Direct collection of 1,300 electronic journals. This was boosted by<br />
the introduction of a system allowing remote access by UCC <strong>Library</strong> users to UCC’s<br />
library databases.<br />
COLLECTIONS<br />
The <strong>Library</strong> continued to allocate approximately 90% of its budget to the acquisition of<br />
electronic and print materials. A feature of the period was the acquisition of a growing<br />
volume of journal and reference material in electronic form. Unfortunately, the<br />
potential savings afforded by electronic production and distribution have not been<br />
passed by publishers to consumers. As a result, electronic versions continue to cost as<br />
much as, and in some cases more than their print impressions. For the second time,<br />
the CHIU Libraries formed a consortium and tendered as a unit for the supply of<br />
research journals over the next 3 years.<br />
The decision of the Faculty of Arts to jointly fund a major cataloguing project covering<br />
all of the <strong>Library</strong>’s 61,000 Special Collections, offers the prospect of online access to<br />
the records of these hitherto unrecorded collections.<br />

The <strong>Library</strong> received a number of significant donations during the year, including part<br />
of the <strong>Library</strong> of the Mercy Convent, Kinsale (kindly facilitated by Prof. Eleanor<br />
O’Leary), and the working papers of Elizabeth Friedlander, gifted by Dr. Gerald<br />
Goldberg. A selection of the Dáil Debates since 1951 was donated by Canon JLB<br />
Deane. The capital grant towards a new Postgraduate Research <strong>Library</strong> was<br />
accompanied by a privately-donated grant of approximately €500,000 for acquisitions<br />
of sources and commentaries relating to the Greek and Roman classical traditions.<br />
A dedicated staff member was allocated to pursue the <strong>Library</strong>’s entitlements under<br />
legal deposit.<br />
FINANCE AND BUDGETING<br />
The <strong>Library</strong> non-pay budget remained at last year’s level.<br />
As in the past, further cancellations of relevant print subscriptions were necessary. The<br />
information needs in the Science, Technology, Engineering and Medicine areas are not<br />
adequately satisfied by the diminishing purchasing capacity of affected departments.<br />
There was a continued increase in demand for library services by the UCC research<br />
community, now employing approximately 400 people. However, the lack of financial<br />
benefit to the <strong>Library</strong> from research overhead income continues to hinder the<br />
development of services for this important sector.<br />
It is anticipated that the introduction of the Euro will remove the instability caused by<br />
subscriptions in formerly held third currencies.<br />
UCC participated in a CHIU-backed proposal to the Board of the Science Foundation<br />
Ireland to fund access to electronic scientific information for the wider Irish higher<br />
education and public<br />
BUILDINGS AND PHYSICAL DEVELOPMENT<br />
Significant progress was made in moving library materials to the new <strong>Library</strong> Store at<br />
Pouladuff, although the year closed with a significant number of journal titles still<br />
inaccessible in temporary storage. The commissioning of the new store has been<br />
possible through the re-use of significant quantities of old library shelving.<br />
The Boole and Medical Libraries saw no major development in the period. However,<br />
the decision to develop a new medical library in Brookfield was welcomed and the<br />
relevant <strong>Library</strong> staff commenced planning and design for this new facility.<br />
The <strong>University</strong>’s proposal for new library space submitted to the HEA under the<br />
Programme for Research and Development in Third Level Institutions (Cycle 3)<br />
proved successful. A group visited selected US Libraries and three recently<br />
constructed Irish <strong>University</strong> libraries as part of the extensive planning and consultation<br />
process. Significant time was devoted to the exploration of site options available to the<br />
<strong>University</strong> for new library space and it was found that the overwhelming preference<br />
was for an addition to the existing Boole <strong>Library</strong> building. It is anticipated that a<br />
design team will be appointed to this project in early 2003.<br />
Notwithstanding the success of the PRTLI application, short term demands for oncampus<br />
storage of archives, additional staff accommodation (particularly for the<br />
Special Collections Cataloguing Project), and space for 50 additional IT workstations,<br />

all point to the need for the <strong>Library</strong> to occupy the space vacated by the bank and<br />
bookshop on Boole Q-1.<br />
The <strong>Library</strong> Policy Committee recommends that additional library space be provided<br />
in the short term by relocating existing retail activities in the Boole Complex.<br />
OTHER DEVELOPMENTS<br />
The <strong>Library</strong> continued its collaboration with the IRIS project. This project involves all<br />
of the <strong>University</strong> Libraries in the State and aims to produce an integrated online<br />
catalogue of the collective holdings of these libraries with an interlibrary lending<br />
function integrated in the user interface.<br />

The Customer Services Division offers the first level of customer support through the<br />
services of the Information Desk, Lending Services, Inter-<strong>Library</strong> Loans, <strong>Library</strong>Plus<br />
(external readers and fee-based service) Security Services, UCC <strong>Library</strong> News, patron<br />
care and customer surveys.<br />
The year saw continued diversification of the user community and a demand for<br />
greater access both to UCC collections and to other national collections. A number of<br />
new initiatives and developments were undertaken during the year.<br />

The Information Desk continues to be a focal point and “first port of call” for<br />
students, particularly non-traditional students who require guidance through the<br />
challenges of using a modern library. The trend towards independent learning has<br />
heightened the need for this service. An extension of the service to Saturdays was<br />
very welcome and allowed staff to plan targeted Information Skills Training and<br />
guided tours to many groups of part-time and distance users. Average monthly<br />
enquiries during the year (term time) was 820.<br />
Inter-<strong>Library</strong> Loan applications show a small increase over this period. The British<br />
<strong>Library</strong>, UCC’s main supplier of ILLs increased its charges by an average of 60%<br />
without warning in August <strong>2001</strong>, forcing the <strong>Library</strong> to plan for an increase from €8 to<br />
€13 per request from early 2003. In view of the size of increase (and the probability of<br />
more to come), a review of ILL services was initiated. This will identify areas of<br />
potential cost saving and will recommend a more equitable allocation of funding to<br />
academic departments.<br />

This was the first year of the External Research Services (fee-based). With the new<br />
Manager of this service in place the service went from initial start-up process to full<br />
implementation. <strong>Library</strong>PLUS is the working name given to this service. Realistic<br />
goals were set for the service bearing in mind issues like copyright and balancing the<br />
ethos of “free access” to information/libraries with the added-value dimension of this<br />
service. Work is underway with the Chemistry Department, UCC, to develop<br />
commercial links with the relevant industries in the region.<br />
The extension of the Academic Libraries Co-Operating in Ireland (ALCID) scheme<br />
to UCC opened up the other Universities in Ireland to our users. This scheme was<br />
availed of by 144 users in this period: 57 full-time academic staff, 24 doctoral students,<br />
51 masters students and 12 academic related staff.<br />
Longer opening hours were offered during September to facilitate early start students.<br />
The <strong>Library</strong> will continue to work towards extending the service beyond traditional<br />
working hours, particularly on Saturdays in the first term and during the summer<br />
months. From October the <strong>Library</strong> is open twelve hours per day with week-end<br />
opening hours increasing after Christmas. The peak periods during the day are<br />
between 12-2 with over 600 Users coming into the <strong>Library</strong> every hour. These numbers<br />
continue to rise with the full implementation of modularisation across Departments.<br />
The greatest transgression of library rules was of Rule 10 of <strong>Library</strong> Rules &<br />
Regulations - Noise Control, due in particular to the use of mobile phones. A<br />
representative Noise Group has been set up in the <strong>Library</strong> to look at the issues and to<br />
see what we can do to alleviate this problem.<br />
Circulation Services: Internal reorganisation of the Circulation Desk allowed for<br />
better work flow practices with the Lending Team. The Examination Papers were again<br />
sorted and bound according to module code. Despite technical difficulties with the<br />
Self-Issue machine, usage is still steady throughout the week with high use on<br />
Saturdays.<br />
A number of important projects were undertaken during the year:<br />
• The project for relabelling books continued throughout the year. This involves<br />
replicating the barcode of the book and placing the barcode on the front cover.<br />
This is to facilitate the issue of books on the self-issue machine.<br />
• Two copies of the Summer Examination papers were photocopied by the<br />
Printing Office. The papers were organized by the module code of each paper<br />
by the Issue Desk Staff. Papers were then sent for binding, then catalogued and<br />
placed on Desk reserve.<br />
• We created a list of outstanding holds placed before July <strong>2002</strong> and cancelled<br />
holds placed prior to may <strong>2002</strong>.<br />
• Patrons whose membership had expired were removed from the database.<br />
Books purportedly still on loan were checked and marked “missing” where<br />
necessary.<br />
• This year Customer Services reviewed publications within the <strong>Library</strong> and redesigned<br />
the <strong>Library</strong> logo and banner. This was carried through in the library<br />
newsletter, UCC <strong>Library</strong> News and is now used in all the subject guides. The<br />
new style will also be featured in our new look web pages to be launched next<br />

year. This initiative is designed to increase the quality and effectiveness of the<br />
<strong>Library</strong>'s communication with its primary customers, namely faculty and<br />
students, and to apply a distinct branding to communication by the <strong>Library</strong>.<br />

TECHNICAL SERVICES DIVISION<br />

Technical Services is the division responsible for the selection and acquisition of<br />
library material, for materials budget administration and for the organisation and<br />
preparation of material for library users.<br />
Book Acquisitions<br />

As has been the pattern in recent years there were severe cutbacks in the <strong>2001</strong>/<strong>2002</strong><br />
bookfund as a result of spiralling periodicals costs. A number of academic<br />
departments, mainly in the areas of Science & Technology and Medicine reveived<br />
small amounts for book purchases as has been the case in recent years. Some academic<br />
departments transferred amounts from their departmental funding to the <strong>Library</strong><br />
bookfund to enable the <strong>Library</strong> to fund their book purchases. The largest transfer was<br />
of €101,600 (in two stages) from the Dept. of Nursing Studies.<br />
Under the programme PRTLI Cycle 3, the <strong>Library</strong> was allocated €461,940 in August,<br />
<strong>2002</strong> for the acquisition of <strong>Library</strong> Materials in the area of the Humanities.<br />
The 30th September, <strong>2002</strong>, marked the end of another two year period after which any<br />
unspent credit balances in bookfunds, excluding Supplementary and Special Funds and<br />
<strong>Library</strong> General Funds, were due to revert to the <strong>Library</strong>. The overall credit balance in<br />
the bookfund at August 1 st , <strong>2002</strong>, was €240,050. This figure represented approx. 80%<br />
of the total expenditure for the year 2000/01.<br />
During the year a total of 2,097 books, dating back to 1999, was requested under the<br />
terms of the Copyright Act, 1963, Section 56 which will continue to govern the legal<br />
deposit scheme pending the implementation of Section 198 of the Copyright and<br />
Related Act, 2000. Out of a total of 1,577 books received, approx. 8% was sent<br />
unsolicited, with approx. 620 requested items still outstanding. Many small or<br />
independent publishers seem to be unaware or only vaguely aware of their obligations<br />
under the terms of the above Copyright Act and the <strong>Library</strong> regularly sends them<br />
explanatory letters.<br />

The role of the Cataloguing section, that of classifying, cataloguing and processing<br />
incoming materials in readiness for access on the open shelves continues to be a vital<br />
part of the <strong>Library</strong> service. In addition to ongoing accessions, the section undertook a<br />
much needed re-classification project in the Social Sciences during the year.<br />

The Catalogue<br />
Catalogue clean-up and outstanding re-cataloguing projects were again postponed due<br />
to demand by ongoing accessions. The problems associated with database transfer in<br />
1997 are still outstanding. These include incorrect indicators creating mis-filing, field<br />
tagging errors causing filing anomalies, and lack of authority control. Within the<br />
Boole <strong>Library</strong>, the major areas that still need to be re-classified are Education, Public<br />
Administration and Religion. Cataloguing of the library purchased from the<br />
Vincentian Monastery in the early summer was continued. Among the donations to<br />
the <strong>Library</strong> which were catalogued this year was the <strong>Library</strong> of Vincent Tucker.<br />
Further contributions to the John de Courcy Ireland and Humour Collections were also<br />
catalogued<br />
Electronic Journals<br />
The number of serials titles in the catalogue with a direct link to the full text online<br />
journal site continues to increase. The number increased from last year (590) to 823<br />
titles.<br />
Re-Cataloguing & Projects<br />
The re-cataloguing of the Official Publications Centre continues. The main divisions -<br />
IRL, EDC, UK and INT have been completed. A reference collection, together with<br />
some small groupings, remains to be done.<br />
Selected items from the collection were exhibited for the biennial conference of the<br />
Early Books Society held in U.C.C. in mid-July.<br />

INFORMATION SERVICES DIVISION 1<br />
Head of Division: Ms. Margot Conrick<br />
The Information Services Division aims to further the <strong>University</strong>’s academic, research<br />
and outreach goals by providing quality, comprehensive information resources and<br />
services, in a traditional and digital or ‘hybrid’ context.<br />
Inflation of research journal subscriptions continued to force cancellations in many<br />
departments.<br />
Modularisation, the increased divisional emphasis and effort put into orientation and<br />
information skills teaching/training and wider access to user focused electronic<br />
resources, resulted in much greater use of materials in all areas.<br />
A number of newly appointed Assistant Librarians took up their posts on the 1 st<br />
October, <strong>2001</strong>. Richard Bradfield took up the new role of Engineering, Food Science<br />
and IT Librarian while Catherine Clehane embraced the new role of Part-Time Nursing<br />
and Paramedical Studies Librarian. Olivia Fitzpatrick was appointed to the vacant post<br />
of Arts & Humanities Librarian. Unfortunately, due to staff cuts, the approved post of<br />
Business & Economics Librarian was not filled.<br />
The division implemented an agreed ‘new model’, whereby each Subject Librarian is<br />
empowered to exercise their professional functions to a greater degree and to become<br />
more of a “Faculty Librarian”. To achieve this the day-to-day supervisory role has<br />
been delegated, to a much greater extent, to the Senior <strong>Library</strong> Assistant. The Subject<br />
Librarian assumes a more active role as liaison with students, academic and research<br />
staff. In addition, each Subject Librarian assumed an additional, special responsibility,<br />
catering for hitherto poorly accommodated service aspects. Each Subject Librarian<br />
was allocated an area of special responsibility from the following list:<br />

Advantages accruing from this change include much more successful participation in<br />
the research process, not only at Assistant Librarian level but also at <strong>Library</strong> Assistant<br />
level. Information Services staff have responded well to the daily challenges being<br />
posed by the continually changing hybrid environment and are well placed to function<br />
as guides to vast information resources within and beyond UCC.<br />

QI/QA continued with Departmental Quality Reviews scheduled for <strong>2001</strong>/<strong>2002</strong>.<br />
Peer Review Groups made site visits and met with staff members as follows: 28 th Feb<br />
English to Q+3, 5 th March Food Business to Q+2 & Q+1, 8 th March Geography to<br />
Q+3, 13 th March Ancient Classics to Q+3, 15 th March Computer Science to Q+1 &<br />
Q+2, 21 st March French to Q+3, 27 th March Chemistry to Q+2. The division<br />
welcomed the opportunity to work with the teams, identifying closely with the aims of<br />
the exercise that of delivering high quality services to students and staff of the <strong>College</strong>.<br />
It is worth noting that in most instances the relevant head of department reverted to the<br />
<strong>Library</strong> for advice on the implementation of recommendations.<br />
As in other years Subject Specific Information Skills Training was offered by each<br />
Information Services section, during normal working hours. However, as is the case<br />
with orientation, the need for such training by ‘non-traditional’ users, outside of<br />
‘normal’ working hours, continues to grow. The only option currently available, for<br />
face-to-face programmes, is payment from each individual department or from Adult<br />
and Continuing Education, if the course is registered with that department. A national<br />
group was set up to consider Information Skills at each member institution. Many<br />
Subject Librarians attended Teaching and Learning Portfolio Seminars organized by<br />
UCC. As the need for web-based programmes is rapidly growing, Subject Librarians<br />
have also been encouraged to attend the various programmes being offered on the<br />
Blackboard software now adopted for use by the <strong>College</strong>.<br />

Innopac (the relevant software module has already been purchased).<br />
Section Reports<br />
Social Sciences (Subject Librarian: Mr. Patrick O'Connell)<br />
The delivery and availability of services in the Social Sciences area was greatly<br />
enhanced with the appointment/transfer of new staff. Throughout the year this team<br />
struggled with the burgeoning growth of users, the continued diversity of user groups<br />
and consequential demand for services outside of traditional opening hours.<br />
Law (Subject Librarian: Ms. Helen Mulcahy)<br />
The diversity of user groups availing of this service continues to expand and in<br />
addition to Law students includes B.Sc. Accounting, B.Sc. Government & Public<br />
Policy, B.A. European Studies, B.Soc. Science. and M.Soc. Science, B.E Civil &<br />
Environmental Engineering, Dip. in Nursing. The Law <strong>Library</strong> continues to support<br />
the BAILII project by providing a current awareness service of 15 Irish journals.<br />

Science, Engineering, and Food (Subject Librarians: Ms. Úna Ní Chonghaile, Mr.<br />
Richard Bradfield)<br />
In October <strong>2001</strong> Richard Bradfield took up his appointment as Engineering, Food<br />
Science and IT Librarian. The successful support provided by the Q+2 staff to the<br />
information services provided to the Engineering, Food Science and IT departments<br />
and the resultant mutual liaison with the Subject Librarian, are a good example of the<br />
new model of information service in action.<br />
All major areas in the Sciences were yet again affected by journal inflation with even<br />
more periodical titles being cut. The relevant Subject Librarians worked closely with<br />
academic staff in identifying and costing titles for cancellation and in endeavouring to<br />
secure alternative, electronic access where possible. Usage of all electronic resources<br />
increased.<br />
Humanities (Subject Librarian: Ms. Olivia Fitzpatrick)<br />
Plans were agreed for a major reorganization of the floor, including a proposal to move<br />
the information desk to the North window. It is envisaged that this move will provide<br />
a better working environment and open up the A/V area and resources. This change is<br />
in response to user demand for greater access to this material.<br />
Official Publications Centre (Subject Librarian: Ms. Valerie Fletcher)<br />
The section made much progress in the areas of copyright acquisition, binding, and<br />
information skills training.<br />
<strong>Cork</strong> <strong>University</strong> Hospital <strong>Library</strong> Service (Subject Librarians: Ms. Rosarii<br />
Buttimer, Ms. Catherine Clehane)<br />
On 1 st October Catherine Clehane was appointed to the part-time post of Nursing &<br />
Paramedical Librarian, based in the hospital at Wilton. Physical improvements to the<br />
<strong>Library</strong> were carried out by UCC and the Southern Health Board. Problems continue<br />
with the <strong>Library</strong> PCs to the extent that at times only 1 out of 8 will connect to the<br />
Internet. Security issues are also unresolved despite many efforts to address them.<br />
The immediate installation of a swipe card access system has been recommended.<br />
External Services<br />
1. Mercy Hospital <strong>Library</strong><br />
On the 15 th October <strong>2001</strong> Joe Murphy was appointed to the post of Assistant Librarian<br />
at the Mercy Hospital, to provide a joint library service to Mercy Hospital and UCC.<br />
THE <strong>Library</strong> was successfully renovated in April. The new <strong>Library</strong> is a huge<br />
improvement in every aspect and users have expressed their delight with the new<br />
facility.<br />
2. South Infirmary/Victoria Hospital<br />
On the 1 st October, <strong>2001</strong>, Anita Wilcox was appointed to the post of Assistant<br />
Librarian at the SIVH, to provide a joint library service to the South Infirmary/Victoria<br />
Hospital and UCC. Usage of the library has greatly increased as is evidenced by<br />
available statistics. Problems remain, in particular with regard to storage and the need<br />
to update IT equipment. The role of the <strong>Library</strong>, as central to the needs of the hospital<br />
in particular in the area of Clinical Diagnosis and Research, needs to be recognized in<br />

order to sustain the momentum gained in the past year. The SIVH management<br />
continues to provide excellent support to the <strong>Library</strong>.<br />
3. Cope Foundation <strong>Library</strong><br />
Since UCC <strong>Library</strong> no longer enjoys any formal association with the Cope Foundation<br />
(Catherine Clehane’s secondment ended on 30 th September, <strong>2001</strong>.) cataloguing,<br />
classification and processing of material has all but ceased. Only 56 items from<br />
existing stock were processed.<br />
4. Bon Secours Hospital <strong>Library</strong><br />
UCC <strong>Library</strong> no longer enjoys any formal links with the Hospital <strong>Library</strong>.<br />
It should be noted that St. Mary’s Orthopaedic Hospital, St. Patrick’s<br />
Hospital/Marymount Hospice, St. Patrick’s, Upton have each signalled their wish for<br />
staff to be seconded for short periods. UCC <strong>Library</strong> has offered assistance with<br />
recruitment as all qualified staff are required by UCC.<br />

LIBRARY IT SERVICES DIVISION<br />

The IT Services Division currently manages over 120 PC's, 21dedicated terminals,<br />
multiple servers (using NT, Linux and Unix), networked and local printers and a host<br />
of peripheral devices. The Division is responsible for the installation, maintenance,<br />
security and delivery of software for library systems, electronic databases, CD<br />
databases, electronic journal access, ILL, NT public access, desktop applications, the<br />
<strong>Library</strong> website and the <strong>Library</strong>'s intranet. The user population includes the <strong>Library</strong><br />
staff, entire campus population of faculty, staff and students as well as remote users.<br />
The equipment maintained by the Division are located in the Boole <strong>Library</strong>, the CUH<br />
Medical <strong>Library</strong> and the Pouladuff <strong>Library</strong> Storage Facility.<br />
The Division finally attained full staffing levels in November of <strong>2001</strong>. This has meant<br />
that a very high level of response and a quality service have been available to <strong>Library</strong><br />
staff during the past year. We have been able to move forward in several important<br />
areas.<br />
The IT Services Division is still impacted by the lack of a Head of Technical Services<br />
in the <strong>Library</strong>. This continues to mean that certain efficiencies in Technical Services<br />
can not be realised. The <strong>Library</strong> software package, Innopac, is not being used to its<br />
potential.<br />
Service Delivery<br />
Day-to-day service cover was maintained to the fullest possible extent. The most<br />
significant advance in this area was the working out of a proposal to outsource the<br />
photocopy service. This proposal was approved and implemented beginning 1<br />
September, <strong>2002</strong>. Because this is a dedicated service by the vendor, the <strong>Library</strong><br />
benefits from an improved quality of service, improved up-time for the photocopiers<br />
and better use of staff resources in IT Services and throughout the <strong>Library</strong>. This is also<br />
considered by the Procurement Office to be a pilot project for the eventual outsourcing<br />
of document management services for the entire UCC campus. The initial<br />
implementation has met with approval by staff and users alike. We will continue to<br />
monitor and fine tune the service.<br />
A new microfiche reader/printer was put in place in Special Collections. This replaces<br />
a very old machine and much improves the quality of print services for microfiche and<br />
microfilm products in this area.<br />
Implementation of the Euro proceeded throughout the final months of <strong>2001</strong> and the<br />
beginning of <strong>2002</strong>. In January, the vending machines for the photocopy cards were<br />
converted to Euro. The transition period went smoothly.<br />
Public Access IT Environment<br />
A new server for Booleweb was purchased and installed along with 2 network cards<br />
and a backup power supply. This has improved response time, increased disc space<br />
for future needs and greatly increased security for this essential public access point.<br />

Staff Access IT Environment<br />
A new networked photocopier was purchased and installed in Technical Services. All<br />
the PCs in T.S. are now networked to this photocopier so that it can be used as a printer<br />
as well as a copier. Staff have found this to be an efficient way to print large jobs and<br />
it also reduces the need for local printers. Wand bar code scanners were purchased for<br />
cataloguing staff to increase efficiency and reduce errors.<br />
A review of anti-virus updates was made on all staff and public PCs to ensure that we<br />
are current in this area. A number of staff PCs were replaced at the information desks<br />
on all floors of the <strong>Library</strong>.<br />
A new system printer for the Computer Room was purchased and installed.<br />
Innopac Development<br />
Implementation of the Millennium modules had to be delayed again this year due to<br />
staff shortages. We are current with our installation of software releases for Innopac.<br />
Access to Web Resources<br />
The Exam Papers Database continues to be a great success with users. Procedures for<br />
loading and scanning papers were reviewed and made more efficient.<br />
The Booleweb Working Group was formed with one representative from each<br />
Division/location in the <strong>Library</strong>. The Working Group has been meeting on a regular<br />
basis and has been very successful in drafting a new <strong>Library</strong> homepage and banner.<br />
Various sections of the Booleweb website are being reviewed for updating and<br />
revision. The new Booleweb should be available in the new academic year.<br />
Meanwhile, the current version of Booleweb has been kept up to date.<br />
Remote access to databases was launched successfully. Staff attended training classes<br />
in helping users with the instructions for access, pages were added to Booleweb and<br />
procedures for dealing with queries from users were put in place.<br />

together comprise a distinct division of the library, under the co-ordination and<br />

Increased demand for access to UCC theses prompted a reassessment of the<br />
appropriate location for a collection that was always regarded as having<br />

• Removal of all remaining stock (over 200 pallets) from the Cooperage building,<br />
Irish Distillers site to transit storage at Victoria Cross;<br />
• Removal of book stock (14 pallets) from the Aula Maxima to temporary storage<br />
at Victoria Cross;<br />
• Removal of backlogs of relegated stock from the Boole <strong>Library</strong> to the<br />
Depository and Victoria Cross;<br />
• Transfer of ex-Cooperage journal stock from Victoria Cross to the Depository<br />
and the shelving of 70% of this;<br />
• Purchase and installation of c8,500 linear feet of shelving for journals storage at<br />
the Depository;<br />
• The expansion of shelving for DDC stock using existing resources resulting in<br />
a gain of over 3,000 linear feet.<br />

Working in accordance with the <strong>Library</strong>’s mission, the primary purpose of the<br />
Archives Service is to support <strong>University</strong> <strong>College</strong> <strong>Cork</strong>’s research and teaching<br />
programmes by providing access to archival collections and facilities which have been<br />
developed to satisfy the research and information needs of the <strong>Library</strong>’s users.<br />
Development of the service continues to be hampered by the lack of infrastructure. No<br />
suitable storage area has been made available to the service, and these spatial<br />
restrictions will pose difficulties for the accessioning of any major collections in the<br />
near future.<br />
Staff activities have concentrated on the listing of collections with the Bantry House<br />
Collection nearing completion. Work has begun on the listing of the Nancy McCarthy<br />
Papers, which it is hoped will form part of a major exhibition to commemorate the life<br />
of Frank O’Connor planned for September 2003.<br />
Collections Accessioned<br />
An active collecting repository, the Archives Service accepts deposits of material<br />
which meet its approved accessions policy. Because of the lack of storage space only<br />
very small collections were accessioned in <strong>2001</strong>/<strong>2002</strong>. These include:<br />
BL/SC/01/4 Maura Twomey Collection (c. 1971 –1999) 46 items<br />
Correspondence relating to the experience of Irish emigrants in Britain, donated by<br />
Mrs Maura Twomey.<br />
BL/P/TMD Thomas Mac Donagh Collection (1903 – 1916) 30 items<br />
Transcripts of letters from Thomas Mac Donagh to his long-term friend Pádraig Mac<br />
Suibhne, donated by Dr. Denis Wilson. The McDonough Collection is fully listed and<br />
open to researchers.<br />

EXHIBITIONS<br />
The <strong>Library</strong> continues to provide one of the main exhibition facilities for the <strong>College</strong>.<br />
This role is welcomed and actively managed by the <strong>Library</strong>. However, the challenge<br />
of providing a public exhibition space within a busy academic library can limit the<br />
effectiveness of the area for exhibition purposes. Active collaboration between the<br />
<strong>Library</strong>'s Exhibition Officer, Ms. Carol Quinn, and the Heritage Office, as well as the<br />
support of the Buildings Office has ensured that a number of important events and<br />
exhibitions have been facilitated in this space.<br />
Exhibitions are not held during October to facilitate <strong>Library</strong> tours and information<br />

24 April <strong>2001</strong>: Delivered a lecture on “The Cathedral Lkibraries of Waterford and<br />
<strong>Cork</strong>” to the Waterford branch of Probus.<br />

6 May <strong>2001</strong>: Delivered a lecture in Christ Church Cathedral, Waterford, on the life<br />
and work of John Roberts, architect (1714-1796).<br />
16-17 July <strong>2001</strong>: Delivered a lecture on early printed books in the Boole <strong>Library</strong> to the<br />
Early Books Society during their conference in UCC. With the assistance of Carol<br />
Quinn (Archivist) and Amanda Belshaw (English postgrad), I set up an exhibition to<br />
run in conjunction with this conference, entitled “Early books at the Boole”.<br />
10 September <strong>2001</strong>: Submitted to the New Dictionary of National Biography the<br />
fourth of five articles requested. Subject: Richard Power, first Earl of Tyrone (d.1690).<br />
