Portfolios of evidence may be returned to candidates after certification. The <strong>City</strong> & <strong>Guilds</strong><br />

external verifier may however wish to see the portfolio during the visit that follows the award<br />

of the certificate. The centre must tell candidates that their portfolio may need to be retained<br />

by the centre or made available to the centre for this visit. See Ensuring quality for further<br />

details.<br />

Although the evidence belongs to candidates, centres are responsible for the assessment<br />

records and auditable records should be kept for 3 years after certification, see Ensuring<br />

Quality.<br />

Confidentiality<br />

Some candidates may need to provide information on the location of pieces of relevant<br />

evidence instead of placing the actual documents in their portfolio. For example, they may use<br />

confidential work records to provide evidence. To safeguard organisational or client<br />

confidentiality, these records should not be included in the portfolio of evidence.<br />

If evidence is not placed in the portfolio, access to the evidence must be made available to<br />

assessors, Internal Verifiers and, on a sample basis, to external verifiers. The portfolio should<br />

indicate where such evidence is located.<br />

Centres should consult with their external verifier before approving these arrangements.<br />

Evidence recording pages in the <strong>City</strong> & <strong>Guilds</strong> logbook<br />

These are provided for each learning outcome. It must be recorded here how competence<br />

was inferred for each part of the standard. In the columns entitled 1 – 10 the assessor is<br />

required to sign and date that competent performance has been observed. The candidate is<br />

also required to sign each column to confirm their agreement of the record. Wherever<br />

possible the columns should be completed during the observation and signed immediately<br />

after when the feedback is provided (see Appendix D).<br />

Habia has identified the number of observations required for each of the learning outcomes in<br />

the evidence requirements; you will notice that columns are provided; this does not mean<br />

all must be completed only the required amount as specified. Additional columns are<br />

provided in the case where the range has not been covered within the minimum observations.<br />

The required number of observations is also identified by the numbers at the top of each<br />

column, e.g. 1, 2 etc with the remaining columns as spares, if required. If the candidate<br />

requires additional spare columns because a mistake was made or if a formative outcome has<br />

been recorded, a photocopy of the Evidence Recording Page should be used.<br />

Formative performances<br />

While the evidence recording pages and logbook are primarily for recording summative<br />

outcomes, the spare columns may be used to record formative outcomes, if required, eg if<br />

the centre uses this as one of their methods of tracking the candidate’s progress.<br />

Any formative records made must be clearly marked as such and no part of this formative<br />

record can be used to meet the evidence requirements of the unit.<br />

Contingency performance criteria<br />

Some performance criteria are less likely to occur during a normal performance. These are<br />

referred to as contingency PCs and are identified with an asterisk (*).<br />

Assessors should clearly indicate whether contingency PCs have been covered through<br />

performance during an observation or by oral questioning. Contingency PCs are displayed on<br />
