Informaon Session Checklist<br />

1. Student Contact Info Sheet<br />

‐ Circulate contact sheet for students names, email addresses, etc…<br />

2. Student Eligibility Criteria<br />

‐ Academic requirements <strong>and</strong>/or prerequisites to parcipate in your program course (s).<br />

‐ Physical dem<strong>and</strong>s <strong>and</strong> potenal health issues associated with the program.<br />

3. Academic Informaon<br />

‐ Course tle, credits <strong>and</strong> academic content.<br />

‐ Global <strong>and</strong> cross‐cultural/internaonal components of the course.<br />

‐ Administrave process for independent study course (if applicable to your program).<br />

‐ Bring course syllabus.<br />

4. Financial Informaon<br />

‐ <strong>Program</strong> cost <strong>and</strong> budget for spending money (what is <strong>and</strong> what is not included in program cost).<br />

‐ Explain if tuion is/is not included in program cost <strong>and</strong> that it is due (if applicable) with last program cost installment.<br />

‐ Bring copy of payment schedule <strong>and</strong> cancellaon policy, go over important points such as non‐refundable deposit, cancellaon process...<br />

5. Financial Aid<br />

‐ Strongly advise students to consult with their financial aid advisor PRIOR to applying to your program.<br />

‐ Explain to students that they are contractually responsible for total program cost regardless of actual financial aid disbursement<br />

6. Country Entry Requirements<br />

‐ Strongly advise for early passport applicaon.<br />

‐ Go over visa requirements <strong>and</strong> how they may differ for different naonalies.<br />

‐ Make note to internaonal students to check with Natalie Best in OIED for re‐entry paperwork <strong>and</strong> possible visa requirements.<br />

7. Health Issues<br />

‐ Go over the country desnaon’s specific health issues <strong>and</strong> immunizaon requirements.<br />

‐ Strongly advise students with pre‐exisng medical condions or disabilies to consult with their doctor prior to applying <strong>and</strong> to disclose<br />

their condions to you in confidence should they sign up, so that accommodaons, if available overseas, are planned for in advance.<br />

‐ Strongly advise all students to see the University Travel Services nurse or other medical professionals EARLY, no later than 12 weeks prior<br />

to departure unless otherwise needed.<br />

‐ If your desnaon requires very early medical preparaon, invite the University Travel Nurse to come talk to your student group.<br />

8. Issues with Graduaon Date Preceding Departure Date<br />

‐ Alert graduang students of the need to maintain enrolled status with Appalachian during your program <strong>and</strong> of related administrave<br />

opons.<br />

9. Early Alert about Course Registraon Process<br />

‐ If OIED cannot register students for the course linked to the program for various reasons (including financials holds on student accounts,<br />

OIED lacking independent study paperwork, overload permissions not obtained...) students will be dropped from the program at full cost.<br />

10. AOEP Applicaon Packet<br />

‐ Bring a copy of the packet <strong>and</strong> emphasize the contractual nature of the applicaon, especially the Parcipant Agreement, the AOEP<br />

Student Conduct Code <strong>and</strong> the Courses, Payment Schedule <strong>and</strong> Cancellaon Policy forms.<br />

‐ Distribute the “AOEP Applicaon Process” flyer (see Appendix C) or explain where to find the packet online at:<br />

11. AOEP Student <strong>H<strong>and</strong>book</strong>: Remind students it is posted online, to read it <strong>and</strong> share it with their family, along with the applicaon forms.<br />

12. Export Controls Regulaons: Share informaon about the impact of export controls regulaons on your program.<br />
