Priv<strong>at</strong>e, individualized instruction in Associ<strong>at</strong>ion/club facilities is only permitted<br />
during times of low membership usage, or during times th<strong>at</strong> do not preclude facility use by<br />
Associ<strong>at</strong>ion members. The Activities Director must approve all such priv<strong>at</strong>e or individualized<br />
instructions.<br />
9.5.3 Insurance. The Associ<strong>at</strong>ion maintains various insurance policies to<br />
cover general membership activities and programs th<strong>at</strong> take place on Common Areas.<br />
Property purchased by clubs and maintained on Associ<strong>at</strong>ion property becomes the<br />
property of the Associ<strong>at</strong>ion and is therefore covered under the Associ<strong>at</strong>ion’s hazard insurance<br />
policy, subject to the terms, conditions and limit<strong>at</strong>ions of th<strong>at</strong> policy. All personal items<br />
purchased and maintained by club members, even though used in club activities, are not covered<br />
under the Associ<strong>at</strong>ion’s hazard insurance policy.<br />
Liability exposure for club activities on Common Areas is covered by the<br />
Associ<strong>at</strong>ion’s liability policy, subject to its terms. Activities conducted off-sight are personal<br />
assumptions of risk.<br />
Club funds accounts are maintained as a part of Associ<strong>at</strong>ion accounts and are<br />
under the direct supervision of Associ<strong>at</strong>ion officers and/or staff. Club funds accounts are<br />
covered under the Associ<strong>at</strong>ion’s fidelity policy.<br />
Decisions made in good faith by club officers are insured under the Associ<strong>at</strong>ion’s<br />
directors and officers liability insurance policy.<br />
9.5.4 Record Retention Schedule. Record retention will be the responsibility<br />
of the Manager and the Activities Director. The following shall apply to the records of all clubs:<br />

Correspondence and meeting minutes - 3 years.<br />
Financial records - 7 years (prior to current year).<br />
Daily <strong>at</strong>tendance forms - current and prior year.<br />
9.5.5 Club Dissolution. If a club disbands, all club assets (monies and<br />
equipment) shall remain the property of the Associ<strong>at</strong>ion and shall be managed and/or disbursed<br />
for Associ<strong>at</strong>ion activities under the direction of the SAC. If a club’s rights to oper<strong>at</strong>e as a<br />
<strong>Trilogy</strong> club are revoked and the group remains intact as a non-<strong>Trilogy</strong> club, all assets purchased<br />
for or on behalf of th<strong>at</strong> club will remain the property of the Associ<strong>at</strong>ion, and the Board will<br />
determine the amount of club funds th<strong>at</strong> will remain the property of the Associ<strong>at</strong>ion (if any). In<br />
all situ<strong>at</strong>ions, club-approved debts must be s<strong>at</strong>isfied by the club prior to final dissolution. The<br />
Activities Director will assist clubs in efforts rel<strong>at</strong>ing to dissolution.<br />
9.6 Fees and Charges.<br />
9.6.1 Dues. A club’s primary sources of revenue are membership dues and<br />
fundraisers. Additional funds also may be obtained through portions of contract fees collected<br />
from club members for instructional classes. Dues should be set <strong>at</strong> a minimum and sufficient to<br />
