ACTION ADDRESSEES (TO)<br />

218. E-mail drafters should carefully select the addressees that are required to take action on<br />

the e-mail content. Only these ‗action addressees‘ are to be included on the ‗To:‘ line of an e-mail.<br />

Where there is more than one action addressee, the body of the e-mail must clearly identify the<br />

actions required from each. The drafter should consider creating separate e-mails for each action<br />

item wherever there might be doubt as to who is responsible for each action.<br />

219. Where possible, only appropriate watch standing or watch keeping role-based addressees<br />

should be used in the From, To, and Cc addresses. Annex B provides a list of agreed role-based<br />

and watch standing/keeping terms for AUSCANNZUKUS nations.<br />

INFORMATION ADDRESSEES (CC/BCC)<br />

220. E-mail drafters should carefully select only the addressees that actually do need to be<br />

informed of the e-mail content. These ‗information addressees‘, who are not required to take any<br />

action, are to be included on the carbon copy ‗Cc:‘ or blind carbon copy ‗Bcc:‘ lines of the e-mail.<br />

Where there are no actions generated by the e-mail, the ‗To:‘ section of the address is to be left<br />

empty.<br />

221. The use of customized in-boxes utilizing ‗rules‘ or ‗agents‘ will improve the user‘s<br />

management of received e-mails.<br />

GLOBAL ADDRESS LISTS<br />

222. The Global Address List (GAL) must be updated routinely to reflect current manning.<br />

Individual units are responsible for ensuring their respective address lists are correct. Short notice<br />

changes prior to the start of any activity make it difficult to establish and maintain GAL coherency.<br />

The IM Plan should promulgate the date by which all address lists should be up to date for the<br />

commencement of the operation or exercise.<br />

223. Coalition GALs can easily become out dated due to personnel changes and a lack of<br />

administrative updates. A local address book maintained by the user and containing key contacts<br />

may be an adequate alternative.<br />

224. Units assigned to operations that necessitate joining an existing Command infrastructure<br />

are to ensure that GAL amendments are passed as early as possible before the promulgated<br />

INCHOP date to the relevant NOC.<br />

ATTACHMENTS<br />

225. To minimize the inefficient use of bandwidth, and therefore maximize network response<br />

time for others, compliance with attachment size limitations specified by the Commander in the<br />

OPTASK IM must be maintained.<br />

226. Pictures, video files, graphics or embedded objects must not be attached to e-mails when<br />

text can adequately convey the intent of the information.<br />
