Exhibitors with motorcycles, small generators and similar productsleft displayed outside secured marquees, should have an alarmedsecurity loop through the frames or cages of each product. In orderto steal a product the offender(s) would be required to breakthe circuit and activate the alarm. This could be remotely monitoredon site by site security and responded too immediately.3. Marquees and buildings that can be secured or closed off onsite could have a radio controlled infra-red detector fitted that can beoperated by a hand-held remote and again monitored andresponded to by onsite security. Contact the <strong>Fieldays</strong> officefor further information.4. Every site should have a secure area or unit not accessible to bythe public for securing cash, Exhibitors handbags, computers andcellphones etc not in use. These products left unattended in sitesmay be stolen by the opportunist thief.5. Having sites and products alarmed and monitored will resultin an immediate response to that site in the event of an activationand possible apprehension of the offender(s) by site security.An increase in the use of site security will deter offenders fromtargeting future <strong>Fieldays</strong> events.Eligible productsRefer to Clause 7.0 Exhibits of Exhibiting Conditions for informationregarding eligible products and/or services.All products and/or services on display during the event in thedesignated agricultural area must pertain to the business of agriculture,horticulture or relevant primary production. Products or services of ageneral nature are only accepted in the Rural Living Area. The Societyreserves the right to accept or decline any application for exhibitingrights. Any Exhibitor who subsequently displays material deemed by theSociety to be non-eligible will be subject to the Exhibiting and Removalprovisions contained in the Exhibiting Conditions.!NOTE: Exhibitors must include a complete and detailed listof all products and/or services to be exhibited on their siteapplication form.Food and alcohol on Exhibitor sitesSub-lets(See Clause 13.0 of Exhibiting Conditions.) This is a criticaltool for managing and enhancing your presence at <strong>Fieldays</strong>. Thiscontains information on all the services and facilities available, detailson advertising opportunities, your power and water requirements,information on ticket and vehicle pass allocation, set up and breakdown timetable, night security, accommodation, competitions and theInnovation Centre as well as an A-Z of Exhibitor services at <strong>Fieldays</strong>.The Exhibitor Services Directory Handbook will be available in hard copyformat and sent to your postal address by the end of February 2012.All essential Exhibitor forms will be available to complete online atwww.fieldays.co.nz. Simply log into the Exhibitor Centre with yourallocated user ID and password (available from the end of February2012). Please contact the <strong>Fieldays</strong> office if you require hard copy forms.Exhibitor newsletters will be distributed monthly to your exhibitorcorrespondence email address from February 2012. The Exhibitornewsletter is a vital communication from the <strong>Fieldays</strong> team keeping youup to date with essential exhibiting information. All Exhibitor newsletterswill be in email format. A hard copy of the Exhibitor newsletter will not beposted to Exhibitors.<strong>Fieldays</strong> trademarkThe name FIELDAYS is a registered trademark and accordingly theuse of the logo must conform with the Society’s requirements andauthorisations. A copy of these guidelines can be downloaded fromwww.fieldays.co.nz. All maps and diagrams are copyright to the Society– their use must conform with the Society’s requirements and must beauthorised in writing.!NOTE: If you do not have internet access please contact the<strong>Fieldays</strong> office to discuss other arrangements.• Exhibitors must not sell food or alcohol to visitors and clients(Sale of alcohol by approval in Kiwi’s Best only – conditions apply).• Exhibitors who wish to give away food, tea, coffee or complimentarysamples must obtain written approval from the <strong>Fieldays</strong> officeand operate within the requirements of the Waipa District HealthControl Officer.• There are strict conditions around liquor consumption. If you intendto distribute alcoholic beverages to staff and associates pleaseapply in writing to the <strong>Fieldays</strong> office. Failure to do so could resultin confiscation.Cost of building consentsThe Waipa District Council’s site approval for structures over 30m 2 ismet from your site fee.
