DISTRICT GOVERNORS NEWSLETTERDISTRICT 410C, SOUTH AFRICAdearfriends,Wow did we have a great Mid YearConference! We had some fantasticspeakers both those of high caliber who hadthe more detailed information and also somethat really tugged at the heart. If you don’tknow why you’re still a Lion you couldn’thave been at Mid Year. The Saturday evening function was just great! The Port Shepstone club who hosted us dida fine job and can rightly be very proud ofthemselves. We discussed things like the PBO situationand I’m please to report that we arebeginning to get our head around this one. Some clubs have still not begun this processthough and must do so now! This is notsomething that clubs can avoid. There arepeople available to assist you in bothregistration and operation, Charles Reecewill assist you to register and Arnold Clarkewill assist you to ensure that you complywith the regulations on an ongoing basis. The benefits of registration are many andvaried and could open up new avenues toenable you to serve the community.I have charged the Area chairmen withformulating and implementing a plan ofaction to start new clubs. These clubs needto be started wherever possible. Particularlywhere we have no Lions Club. But besidesthat we need to start branch clubs and evenspecial interest clubs. Like it or not this isabsolutely necessary for our survival. Whatwe all need to realise is that our own clubcannot provide all the service that isultimately required by the community andthe more people we can get into Lions thebetter it will be for all concerned. Youpersonally benefit as membership grows asyour costs decrease proportionately.Already some clubs are holding membershipdrives and these are proving successful, whynot do something yourself. If you don’t haveany ideas on what you could do, contactyour area membership chairman or theDistrict Membership Chairman or myselfpersonally and we will assist you. Clubs thathave taken up the challenge are “Making ithappen”! Soon we will have another branchclub and possibly even a special interest club.I am confident we will turn our districtsmembership figures around if we just spend alittle effort on it.Once again thanks to all the clubs thatsupported us at Mid YearBest regardsDG. MAKE IT HAPPENFINANCESWHAT IS ACCEPTABLEAND WHAT IS NOT!It is imperative for the welfare of the Club thatproper accounts are kept.WELFARE ACCOUNT OR CHARITY ACCOUNT:This account is made up from money raised from the public. It will beseparated under the regulations of a PBO into a number of sectors.• Related income(income raised directly and related directly for a specific PBA (Activity))• Unrelated income(income not for a specific project but undertaken on an infrequent basis and purelyby volunteers.• Other income.(Which may not exceed 5% of the total income from all sources. Or 15% if there isno income under sections 1) and 2) or up to R25000 /annum)ADMIN ACCOUNT:The Treasurer must create an admin budgetand this should cover all costs such as: :• District and International dues,• Stationary and postage costs,• Club member expenses which they can claim asper the clubs rules of audit.• Conference costs if allowed under the clubs rules ofaudit.• Other admin costs. The income to this account can be provided by:• Club dues• Funds raised of club members orfriends and family of clubmembers• Donations by club members. It is imperative that accurate and complete records of all accounts and separate projects are kept. It isalso important that club members are aware of the costs they can recover from the projects accordingto the clubs rules of audit. This is to ensure that there are no unnecessary costs to the member beinga Lion. Failure to claim these out of pocket expenses is unwise. Should a member decide they do notwant to be reimbursed they can donate these funds to the admin account.Records of the actual PBA should be recorded on an activities report and kept with the monthlyaccounts. Copies of these accounts should be sent to the Cabinet treasurer, Zone Chairman,Cabinet secretary.2DG Newsletter – November 2004 DG Richard Duncan 2004 - 2005WE SERVE

MAKE IT HAPPENMARKETMARKETYOURSELFYOURSELFI think it was made pretty clear to us at Mid year that clubs must have a designated PRO person. That person should make contact with the different media in their area.Take the editor of the local paper to lunch and introduce yourself.Find out how they need their infoDecide what image your club wants to project and make your own news accordingly. If youare a fun club then create an image in the media of being a fun club. I assure you the mediawill be happy to assist. Just take a leaf out of “Kokstads” book.ROADSIDE SIGNAGEAnd MARKET yourself. If you didn’t send in a photo of your roadside signage we suspect it’s because it needsrenewing! This is the first sign of a Lions club in the area, ensure it’s a good one! Please remember to advise me of all Public relations activities at club level.A Monthly PRO report would be enjoyed and may provide someideas for other clubs to think of.Dee LoveVirginia Lions Club Held a Miss Virginia Pageant. Here are some of Virginia’s most beautiful girls.5DG Newsletter – November 2004 DG Richard Duncan 2004 - 2005WE SERVE
