General information & procedures1) Import restrictionsPlease do not send the medicines, cosmetics, cigarettes and similar items to exhibition as we can not import these items forexhibition. We do not recommend that you try to ship foodstuffs or beverage into Vietnam as part of your consignment.These items are very difficult to import and can be purchased in Vietnam. Obviously drug, military ware / equipment andpornography and strictly prohibited.2) Taxes and dutiesAll the cargoes are under temporary import basis and re-exported totally after the show will be taxed free. For any cargoes /items are to giveaway / consumed / abandoned or no return during or after the show are subject to import taxes / duties & VATstipulated by Customs. Vietnamese Customs have a tax rate book and minimum price or market price to calculate tax.Please give us the instruction of giveaway / consumed / abandoned items when shipping cargoes in order for us to calculatethe estimate import Tax & VAT. The exhibitors shall guarantee to us that the full amount of duty should be paid to customs forthose items are not return. JES shall pay on your behalf and bill you (at cost ) after the show. During the show days, theexhibitors have to confirm the give away / consumed / abandoned items for us to apply for permanent import with these items.For giveaway / consumed / abandoned items, the exhibitor should deposit to us the import duty & VAT in advance based onthe estimate tax calculation . After the Customs gives out the concrete amount of tax, the amount balance (if any) shall berefunded. Before the show , if you have final confirm from the exhibitor that consumed items are not return 100%, pleaseinform us for our necessary pre-arrangement.3) Giveaways / consumable itemsBrochures, giveaway and souvenir items are permitted entry into Vietnam but are subject to import duty / VAT as assessed bythe Vietnamese Customs. You must declare the exact quantity of each item on your paperwork. Customs examination is verythorough and they will count each and every item in your shipment. Finally Customs will probably remove two samples of eachtype of promotional handout or souvenir, so we suggest you include at least two more than you actually require.4) Cultural itemsAll the cultural and censorship items such videos tapes, CD, CD Rom, catalogue, brochures and similar items can be includedin your main shipment and commercial invoice & packing list. There is no need to send them separately. However please notethat items will be removed for censorship by the Cultural and Internal Ministries and returned to your stand on the openingmorning of the exhibition. The censorship fee will be billed at cost.7

The ATA Carnet is not an acceptable document in Vietnam.6) Sold cargo procedureThe exhibition venue is a Customs Bonded Area and no cargoes may be removed without the permission of VietnameseCustoms. For sold cargoes or re-exported cargoes, the exhibitor are allowed to sign contract and sell cargoes during or afterthe show. The exhibitor will have 30 days from the date of the show end to find out the buyer or complete the transaction.After this deadline, the shipments have to be re-exported out of Vietnam unless there is an extension permit from Authorizedorganization. Sold cargoes will not be released until all taxes and customs fees have been paid by your buyer. It is likely thatyour exhibits will need to be repacked and removed to the customs bonded warehouse until all necessary domestic customsformalities have been finalized. Occasionally Vietnamese Customs may allow your buyer to collect from the booth howeverthis can only be granted by the examining Customs officer responsible for your exhibition. Sold cargoes pending for importlicense will be delivered to the customs bonded warehouse. All charges will be for the exhibitor account. A sales contract isrequired by the Customs in order to calculate duties / taxes if any.7) InsuranceAs our tariff has been compiled on a weight & volume basis and has no correlation with value of exhibits, naturally noinsurance has been covered in our charges and all work is undertake at owner’s risk. It is the exhibitor’s own responsibility tocover all risk insurance for the round trip transit period. Please bear in mind that your exhibits will be in transit for long periods both to and from the exhibition and thatcartons are not suitable to withstand the constant handling which takes place during transshipment.Shocking and bumping will sometimes be inevitable and cases may be placed in open air storage without cover, thereforeexhibitors must take the necessary precautions against damage and rain. JES will not assume any responsibility for damage,especially when the return exhibits will be repacked with the same used packing materials i.e.) aluminum foil and plasticcovers.10) Stand layout plansIf you are exhibiting equipment which requires the use of a forklift truck or crane to place it in position on your stand, then weask you to supply us with scale layout drawing so that we can position such items early during build up period. The design ofsome of the halls is such that once stand construction is advanced, the use of lifting equipment can be limited. Drawing shouldaccompany your “Packing List”.11) Unpacking or repacking on –siteWe will assist in physical unpacking and installation of exhibits, however exhibitors must supervise and be responsible forthose operations. For this purpose, a representative of the company or authorized agent must be available on-site during themove-in period. If exhibitors arrive on-site late, or instruct us to arrange unpacking or repacking unsupervised on their behalf,we shall handle these operations only at the exhibitors risk.Similarly, during exhibition closing, exhibitors must also supervise the dismantling and repacking of exhibits, especially fordelicate or heavy equipment. When exhibits are repacked with used packing materials, the packing is regarded as no longersuitable to protect the contents against damage and or moisture compared with the original. Exhibitors should therefore bearthe responsibility for any consequences arising therefrom.12) Payment termsCompanies using JES or its appointed agents will be invoiced by them for all services.Companies shipping other than by our offices or agents are advised that full payment must be received by us either on-site atthe exhibition or in Hong Kong before the close of the show.9
