Examinations,Records, Grades,and Graduation1. ExaminationsFinal examinationsFinal examinations are required in all undergraduatecourses. The <strong>of</strong>ficial dates and timesfor final exams this quarter are stated on page29. No instructor is authorized to change <strong>the</strong>setimes without prior approval <strong>of</strong> <strong>the</strong> UndergraduateCouncil, and you are responsible forarranging your program so that your finalexaminations will not conflict or fall in rapidsuccession. Normally, examinations will bewritten, and a maximum time period for <strong>the</strong>ircompletion will be announced in advance. Youwill not be permitted to exceed this maximum.The maximum time for a final in a nonlaboratorycourse is three hours. Individualexceptions from finals are not permitted.Credit by examinationIf you are enrolled and on regular academicstatus, you may petition to earn credit byexamination during that quarter in an establishedcourse or in a subject appropriate forinclusion in <strong>the</strong> university curriculum. Petitionsare available from <strong>the</strong> <strong>Office</strong> <strong>of</strong> <strong>the</strong> <strong>Registrar</strong>and must be signed by <strong>the</strong> dean <strong>of</strong> your college,<strong>the</strong> administering instructor, and <strong>the</strong> departmentchair, three weeks in advance <strong>of</strong> <strong>the</strong>examination date. RecordsPrivacy <strong>of</strong> Student RecordsThe Federal Family Educational Rights andPrivacy Act (FERPA), and <strong>the</strong> <strong>University</strong> <strong>of</strong><strong>California</strong> Policies Applying to <strong>the</strong> Disclosure <strong>of</strong>Information from Student Records affordstudents certain rights with respect to <strong>the</strong>ireducational records. They have <strong>the</strong> right:1. To inspect and review records pertaining to<strong>the</strong>mselves in <strong>the</strong>ir capacity as students;2. To seek correction <strong>of</strong> <strong>the</strong>ir student recordsthrough a request to amend <strong>the</strong> records or arequest for a hearing;3. To file complaints with <strong>the</strong> Department <strong>of</strong>Education regarding alleged violations <strong>of</strong> <strong>the</strong>rights accorded <strong>the</strong>m by <strong>the</strong> Federal Act; and4. To request that personally identifiableinformation from <strong>the</strong>ir student records bewithheld from disclosure except to <strong>the</strong> extentthat FERPA authorizes disclosure withoutconsent.The following information is designated as“directory information” and normally will bereleased by <strong>the</strong> campus without <strong>the</strong> consent <strong>of</strong><strong>the</strong> student: name, current local and permanentaddress and telephone number, electronic mailaddress, date <strong>of</strong> birth (MM/DD), major, number<strong>of</strong> units currently enrolled in, class level, dates <strong>of</strong>attendance, degree/honors awarded, mostrecent school attended, athletic informationincluding height and weight, and participationin <strong>of</strong>ficially recognized organizations. Studentshave <strong>the</strong> right to restrict <strong>the</strong> disclosure <strong>of</strong> thisinformation. A form to restrict disclosure <strong>of</strong> anyor all <strong>of</strong> this information may be submitted at<strong>the</strong> <strong>Office</strong> <strong>of</strong> <strong>the</strong> <strong>Registrar</strong>. A student requestingsuch restrictions should be aware, however, <strong>of</strong><strong>the</strong> implications <strong>of</strong> such a request.One exception, which permits disclosurewithout consent, is disclosure to campus <strong>of</strong>ficialswith legitimate educational interests. GradesAt <strong>the</strong> end <strong>of</strong> each quarter, <strong>the</strong> <strong>Office</strong> <strong>of</strong> <strong>the</strong><strong>Registrar</strong> will process grades submitted byinstructors. Grades are made available tostudents approximately 10 days after <strong>the</strong> lastday <strong>of</strong> finals.Use <strong>the</strong> GOLD system to review your gradeinformation. Appointments are not necessary.19Quarterly Grade ReportsUse GOLD to print a copy <strong>of</strong> your quarterlygrade record (grade report). The UCSB gradereport includes <strong>the</strong> courses attempted andgrades earned for that term, a cumulative unitsummary <strong>of</strong> your academic record, and quarterlyprobation and honors status. Any non-UCtransferable credit which you have completed islisted separately and is not a part <strong>of</strong> your UCgrade-point average.Incomplete grades• PETITIONING PROCESSThe grade Incomplete (I) may be assigned whena student’s work is <strong>of</strong> passing quality but isincomplete. A completed Petition for anIncomplete Grade must be returned to <strong>the</strong><strong>Office</strong> <strong>of</strong> <strong>the</strong> <strong>Registrar</strong> by <strong>the</strong> last day <strong>of</strong> <strong>the</strong>quarter for an I grade to be placed on astudent’s record. Petitions must be signed by<strong>the</strong> instructor, and are available in <strong>the</strong> <strong>Office</strong> <strong>of</strong><strong>the</strong> <strong>Registrar</strong>. A $5 processing fee will be billedto <strong>the</strong> student’s BARC account.Notification <strong>of</strong> <strong>the</strong> receipt <strong>of</strong> <strong>the</strong> approvedPetition for Incomplete Grade will be sent to <strong>the</strong>dean <strong>of</strong> <strong>the</strong> student’s college and <strong>the</strong> instructor.In <strong>the</strong> absence <strong>of</strong> <strong>the</strong> petition or ano<strong>the</strong>rspecific grade, <strong>the</strong> <strong>Office</strong> <strong>of</strong> <strong>the</strong> <strong>Registrar</strong> willrecord a grade <strong>of</strong> F, NP, or U.• ONE-QUARTER COMPLETION DEADLINEThe grade <strong>of</strong> Incomplete may be replaced by agrade as determined by <strong>the</strong> instructor. You willreceive unit credit and appropriate grade pointsif you earn a passing grade and <strong>the</strong> courseworkis completed by <strong>the</strong> end <strong>of</strong> <strong>the</strong> term following<strong>the</strong> term in which <strong>the</strong> I grade was reported. Youneed not be enrolled for that quarter nor must<strong>the</strong> course be <strong>of</strong>fered to receive <strong>the</strong> final grade.

If notremoved, it will not be changed to an F or NPbut will remain an I grade permanently. At <strong>the</strong>time <strong>of</strong> graduation, an I grade in a course takenfor a letter grade must be utilized in <strong>the</strong>computation <strong>of</strong> <strong>the</strong> grade-point average. Itseffect in that computation is identical to that <strong>of</strong>an F.• GRADE CHANGES TO INCOMPLETEA grade may be changed to an I grade only with<strong>the</strong> approval <strong>of</strong> <strong>the</strong> dean <strong>of</strong> <strong>the</strong> student’scollege or <strong>the</strong> dean <strong>of</strong> <strong>the</strong> Graduate Division, asappropriate, and successful completion <strong>of</strong> <strong>the</strong>above petitioning process.Withdrawal gradeFor undergraduate students, <strong>the</strong> W grade willbe assigned when a student withdraws from <strong>the</strong><strong>University</strong> (or receives approval to drop a courseby exception) after <strong>the</strong> deadline for droppngcourses established by <strong>the</strong> Executive Committee<strong>of</strong> <strong>the</strong> college or school in which <strong>the</strong> studentis enrolled. The W grade will be assigned foreach course affected. Courses in which a W hasbeen entered on <strong>the</strong> student’s transcript will bedisregarded in determining a student’s gradepoint-averageand will not be considered ascourses attempted in assessing <strong>the</strong> student’sGPA for graduation.Grade changesIf a student believes an incorrect grade hasbeen reported, <strong>the</strong> instructor should beconsulted.All grades except I and IP are final whensubmitted to <strong>the</strong> <strong>Office</strong> <strong>of</strong> <strong>the</strong> <strong>Registrar</strong> by <strong>the</strong>instructor subject to <strong>the</strong> provisions given in <strong>the</strong>current UCSB General Catalog. Thereafter, aninstructor may report a correction <strong>of</strong> a gradeonly in <strong>the</strong> case <strong>of</strong> clerical or procedural error.An instructor also may change a grade in <strong>the</strong>quarter following that in which <strong>the</strong> originalgrade was received if <strong>the</strong> basis for <strong>the</strong> change isfound in work previously accomplished in <strong>the</strong>course as a part <strong>of</strong> <strong>the</strong> student’s regularparticipation in class activity. However, suchchanges must not create inequities to o<strong>the</strong>rswhose grades remain unaltered. No final grade(except I) may be revised by re-examination, andno letter grade may be changed to or from P/NP or S/U.A record <strong>of</strong> your academic work is preparedand retained permanently by <strong>the</strong> <strong>Office</strong> <strong>of</strong> <strong>the</strong><strong>Registrar</strong>.
