TASK FORCE CYCLE OF WORK WORK SESSION/PROGRESS REPORTS Work Session at Conference: The Task Force meets during the conference to develop the forthcoming year's "Action Plan." The Task Force should be chaired by the incoming chair when possible. The Action Plan is an amplification of the Task Force responsibilities and assigned tasks. The Task Force activities must be numbered and described so that members and the Board of Directors will know what and how each major activity is to be done, when it will be completed, how much it will cost, and who will be responsible for the item. Care should be taken to schedule work steadily throughout the year. Avoid the May to September time laps that vacation breaks may be encouraged. Use the PL-1 to record the Action Plan. Completed Action Plans should be submitted to the incoming Past-President by the conclusion of the annual conference. First Quarter Progress Report: By June 15, transmit to the Past-President a report on the Committee's Action Plan. Use the Progress Report form PL-2 to expedite communications. Provide attachments and letters as appropriate. Between March and June 15, the Task Force Chair should be completely organized. Each person should have acknowledged assignments and confirmed their willingness to serve on the Task Force. It is important to be prepared and become active during the first 3-month period. Mid-Year Progress Report: Transmit to the Past President by September 15 the second quarter or mid-year progress report on the Action Plan. This report is especially significant because it is completed 6 months before the upcoming conference and it provides the summary of information the Board of Directors must have for decision making at their Fall Board meeting. Between June 15 and September 15, the chairs must maintain momentum while many Members have vacation. Third Quarter Progress Report: Transmit to the Past-President a report of progress to date on the Task Force Action Plan. The period between September and December must be productive for the year's activities to be successful. Identify recommended changes in Task Force tasks or responsibility by this reporting period. The Task Force should have tentative ideas for resolutions to be submitted at the annual conference. Annual Report of Accomplishments at Conference: Transmit to the Past-President (by March 1) the fourth quarter progress report using form PL-2. Requests for action by the Board of Directors should accompany this yearend report (use "Task Force Request for Board of Directors Action" form HB-6). Prepare 20 copies of a narrative report highlighting Task Force accomplishments for the year and present to the Past-President for dissemination at the conference. These reports will be distributed at the Board of Directors meetings and the Task Force Hearing session during the annual conference. Give a short oral presentation at the Task Force Hearings highlighting the Task Force activities for the year. This may be a summary of the narrative report prepared for distribution at the Task Force Hearing session. Transmit proposed resolutions to the Past-President before the beginning of the annual Conference. PL-1 17
