Project management for planners -<br />

standing side by side with the planner<br />

During the redevelopment of the WDR (West German<br />

Broadcasting) film house we were responsible for<br />

coordinating the international main planner team – a<br />

professional organisational approach paying off for all<br />

partners.<br />

As there is only one contact person for all<br />

planning issues, general planning is very<br />

attractive for the constructor. However, for<br />

the architect it may become very stressful and<br />

tricky. In large-scale projects, the coordination<br />

of the different specialist planners requires<br />

great effort. Moreover, there are special<br />

contractual duties as, for example, time and<br />

interface management, cost control and<br />

reporting to the constructor and his project<br />

controller.<br />

Everything but planning – a<br />

high degree of freedom for<br />

architects and engineers<br />

We took over central management tasks for<br />

six specialist planners in the WDR film house<br />

project. This working method has proven itself<br />

to be effective for the constructional project<br />

control.<br />

Planning services as per HOAI (German<br />

fee structure for architects and engineers)<br />

completely remain with the specialist planners.<br />

Our tasks in the general planning team<br />

comprise:<br />

- Internal contracting and cost monitoring<br />

- Calling in the jobs the constructor is<br />

responsible for, i.e. as-built drawings and (very<br />

important) decisions in a timely manner<br />

- Review of the contractual duties and the<br />

service completion<br />

- Ensuring a transparent and coordinated<br />

working method<br />

- Adherence to the overall working time and<br />

economy<br />

- Chairing and reporting of internal meetings<br />

- Strategy development for the planning process<br />

and the handling of modifications<br />

What does this look like for this special project?<br />

The architects’ competition for the WDR film<br />

house in 2015 saw three award winners. One<br />

of them was the architect’s office Buchner<br />

Bründler from Basel. We prepared and organised<br />

the subsequent winners’ competition for the<br />

general planning together with the architect’s<br />

office. We gave advice to the positioning,<br />

compiled the building costing and the feasibility<br />

studies and prepared the general planning<br />

team and the presentation. The project started<br />

in December 2015 after having won the<br />

competition. Since then, two <strong>BMP</strong> employees<br />

have been accompanying the general planning<br />

team.<br />

It has been a really exciting task for us. Matthias<br />

Belke, senior project manager at <strong>BMP</strong> with<br />

experience in supporting general planners has<br />

been telling us about daily business. We have<br />

been members of a team with special tasks, not<br />

the leader. That’s quite different to the project<br />

control for constructors. One of the tasks was to<br />

prepare a detailed, comprehensible costing.<br />

The planners were happy that there is someone<br />

who knows the comprehensive customer and<br />

project controller requirements, as I can follow<br />

them and have them correctly fulfilled.<br />

We aim to speak for and to assist the<br />

planners. Despite their expert know-how in<br />

project management, we can implement the<br />

redevelopment processes with more structure,<br />

more efficiently and more securely, as we<br />

can integrate all the sophisticated structuraltechnical<br />

details. The planners can focus on<br />

their core task – building design. Apart from<br />

this, agreed processes and communication<br />

with the planners ensure that we can provide<br />

adequate communication with the constructor<br />

and his representatives. Sometimes all parties<br />

need to agree on methods and workflows. That<br />

can be a difficult job, but it makes daily business<br />

a lot easier for all participants when proceeding<br />

in this manner.<br />

The architect’s project manager, I as<br />

the management’s project manager, the<br />

constructor’s project controller and the<br />

constructor act as one team on the same level.<br />

We speak one language and can arbitrate<br />

between different points of view. It is a very<br />

effective working method enabling optimum<br />

results in short time.<br />
