2.2 Responsibilities <strong>of</strong> a Records Keeper<br />
Records- keeper is responsible for<br />
The record<strong>in</strong>g <strong>of</strong> all animal transactions and related data<br />
Assign<strong>in</strong>g local ID numbers and creat<strong>in</strong>g record files for new accessions<br />
The guaranteed security <strong>of</strong> <strong>records</strong> by safe – <strong>keep<strong>in</strong>g</strong>, necessary duplication<br />
and computer back-ups, and restricted access for data entry<br />
Obta<strong>in</strong><strong>in</strong>g as much accurate <strong>in</strong>formation as possible about specimens and<br />
mak<strong>in</strong>g additions or corrections to <strong>records</strong> as necessary<br />
Dispers<strong>in</strong>g <strong>in</strong>formation to other appropriate areas <strong>of</strong> the <strong>in</strong>stitution (e.g.<br />
veter<strong>in</strong>ary staff, curators, keepers, etc) and to other <strong>in</strong>stitutions as required.<br />
Provide <strong>in</strong>formation for surveys and questionnaires, federal/sate/local permits<br />
or licenses, studbook and loan updates<br />
Prepare animal transaction forms<br />
Prepare reports (e.g. <strong>in</strong>ventory, statistics)<br />
Act as <strong>in</strong>stitution rep representative/ liaison for ISIS<br />
Ma<strong>in</strong>ta<strong>in</strong><strong>in</strong>g medical or other animal related <strong>records</strong><br />
Assist<strong>in</strong>g <strong>in</strong> the updat<strong>in</strong>g and publication <strong>of</strong> studbooks<br />
Ma<strong>in</strong>ta<strong>in</strong><strong>in</strong>g a file <strong>of</strong> animal related publications.<br />
The Recognition <strong>of</strong> <strong>Zoo</strong> Rules 1992 has recommended the follow<strong>in</strong>g rules with<br />
respect to Records Keep<strong>in</strong>g <strong>in</strong> Indian <strong>zoos</strong>.<br />
Ma<strong>in</strong>tenance <strong>of</strong> Records and Submission <strong>of</strong> Inventory to the <strong>Central</strong> <strong>Zoo</strong><br />
Authority :<br />
1. Every zoo shall keep a record <strong>of</strong> the birth acquisitions, sales, disposals and deaths<br />
<strong>of</strong> all animals. The <strong>in</strong>ventory <strong>of</strong> the animals housed <strong>in</strong> each zoo as on 31st March <strong>of</strong><br />
every year shall be submitted to the <strong>Central</strong> <strong>Zoo</strong> Authority by 30th April <strong>of</strong> the same<br />
year.<br />
2. Every zoo shall also submit a brief summary <strong>of</strong> the death <strong>of</strong> animals <strong>in</strong> the zoo for<br />
every f<strong>in</strong>ancial year, along with the reasons <strong>of</strong> death identified on the basis <strong>of</strong> postmortem<br />
reports and other diagnostic tests, by 30th April <strong>of</strong> the follow<strong>in</strong>g year.<br />
3. Every zoo shall publish an annual report <strong>of</strong> the activities <strong>of</strong> the zoo <strong>in</strong> respect <strong>of</strong><br />
each f<strong>in</strong>ancial Year. The copy <strong>of</strong> the said annual report shall be made available to the<br />
<strong>Central</strong> <strong>Zoo</strong> Authority, with<strong>in</strong> two months, after the end <strong>of</strong> the f<strong>in</strong>ancial year. The<br />
report shall also be made available to the general public at a reasonable cost.<br />
