Financial aid<br />

For students anticipating financial aid (Pell Grant, student<br />

loans, Native American scholarships, etc.) to pay educational<br />

costs, awards must be in accepted status to avoid<br />

being dropped for non-payment. To ensure financial aid<br />

will be in place by the established drop date, January 4,<br />

<strong>2013</strong>, all appropriate financial aid applications and required<br />

documents must be complete by December 1,<br />

2012. Students should monitor their financial aid status on<br />

WebAdvisor on a regular basis.<br />

New or incomplete applications received after December 1,<br />

2012, will continue to be processed but awards may not<br />

be finalized by the drop date. It is the student’s responsibility<br />

to make arrangements for payment by the semester<br />

drop date if financial aid is not in place.<br />

Work-study financial aid awards are not considered as<br />

an arrangement of payment toward tuition and will not be<br />

used to hold classes.<br />

Students who have accepted financial aid and are held<br />

in classes but decide not to attend SJC must officially<br />

withdraw. For information on refund of tuition and fees<br />

refer to the refund schedule on this page. Students are<br />

responsible for all charges on their account regardless of<br />

financial aid awards.<br />

Financial aid disbursement and refunds will be mailed<br />

beginning February 8, <strong>2013</strong>. Refunds are processed and<br />

mailed every Friday thereafter as needed. Disbursements<br />

are pro-rated based on enrollment. Students will only be<br />

paid for classes already started. Payments for late-start<br />

classes will be made after those classes begin. Students<br />

should ensure their mailing address is correct with the<br />

Enrollment Services Office.<br />

What if a sponsor is paying for the student’s<br />

books and tuition?<br />

• An authorization from the sponsor must be received<br />

by the Business Office before January 4, <strong>2013</strong>, to<br />

ensure payment of tuition, fees, and bookstore<br />

charges for sponsored students.<br />

• It is the student’s responsibility to verify with the<br />

Business Office that the authorization was received.<br />

If authorization is not received by the deadline the<br />

student may be dropped from classes for nonpayment.<br />

• Upon processing of the authorization, a copy is sent<br />

to the Bookstore to allow charges for books and<br />

supplies. Check the Bookstore schedule on page 47<br />

for the dates charges are allowed on student accounts.<br />

Refunds<br />

Refunds for tuition and fees depend on the start date, length<br />

of the course and the date the student dropped the course.<br />

• Student accounts are credited at the time the<br />

drop occurs.<br />

• Disbursements of credit balances on student accounts<br />

will take place beginning February 8, <strong>2013</strong>.<br />

• Refunds for credit card payments are placed back<br />

on the credit card.<br />

• All other disbursements are mailed to students at<br />

their address. Address corrections should be completed<br />

through Enrollment Services office.<br />

• Dropping courses after January 8 may result in<br />

refunds of less than 100% of tuition and fees (see<br />

table below.) Students are responsible for any and<br />

all charges incurred on their student account if refund<br />

of tuition and fees is less than 100%.<br />

Canceled classes<br />

SJC cancels classes occasionally due to insufficient enrollment.<br />

Every attempt is made to notify enrolled students when<br />

a class is canceled. If a class is canceled, students may enroll<br />

in another class or receive a refund. Contact the Financial<br />

Aid Office or the student’s sponsor immediately if a course<br />

cancellation reduces the student’s course load below twelve<br />

(12) credits or does not fulfill the requirements of the sponsor.<br />

Center (clock tower building). Monday, Wednesday and<br />

Friday 8 a.m. 5 p.m., Tuesday - 8 a.m. to 7 p.m.,<br />

and Thursday - 9 a.m. to 5 p.m.<br />

East and West Campuses – Advisors are available<br />
