All substantive documentation to be lodged in the public domain will be submitted to the Client for
review prior to circulation.
A Public Participation Report will be compiled, which will provide a full account of the process
conducted for the UDM EMF, and will include:
A description of the strategy and process followed;
Forms of notification and engagement;
A list of issues, comments and concerns raised during the PPP and the responses provided;
A list of the registered I&APs;
Conclusions and recommendations; and
Minutes of meetings and written comments received during the PPP.
In order for the public participation process to be effective all of the above documents will be
prepared in the dominant community language. Specifically trained community members will be
provided at each of the public meetings to ensure that the language and cultural barriers that may
exist between the study team and the community are broken down.
The district has large areas that fall under traditional authorities. Given the institutional setup and
the formal nature of the communication and participation required for these authorities, Nemai
Consulting will approach the public participation in these areas as a separate process, and will
make use of and respect existing communication structures and channels. Meetings held with the
leadership of each Traditional Authority. The first round of meetings will be the Status Quo
Meetings where the project will be explained and the status quo details discussed.
