Ephemeral<br />

Records with no archival value, which may be deleted after disposal authority has<br />

been obta<strong>in</strong>ed from the <strong>National</strong> Archivist.<br />

Executable CD-WORM<br />

Executable CD-WORM disks are disks <strong>in</strong> which the programme needed to access<br />

the content of the disk is recorded on the disk itself.<br />

File plan:<br />

A pre-determ<strong>in</strong>ed logical and systematic structure <strong>in</strong>to which <strong>records</strong> are arranged<br />

and <strong>in</strong>tellectually stored accord<strong>in</strong>g to subjects and subject groups to facilitate<br />

efficient retrieval and disposal of <strong>records</strong>. The fil<strong>in</strong>g plan is used for both current<br />

paper-based and current <strong>electronic</strong> correspondence systems. It usually conta<strong>in</strong>s the<br />

reference number, title, description and disposal authority of files held <strong>in</strong> an office.<br />

Fil<strong>in</strong>g system:<br />

The collective noun for a storage system (like files, boxes, shelves or <strong>electronic</strong><br />

applications and storage systems) <strong>in</strong> which <strong>records</strong> are stored <strong>in</strong> a systematic<br />

manner accord<strong>in</strong>g to a file plan.<br />

Format<br />

The shape, size, style and general makeup of a particular record.<br />

Governmental body<br />

Any legislative, executive, judicial or adm<strong>in</strong>istrative organ of state (<strong>in</strong>clud<strong>in</strong>g a<br />

statutory body) at the national level of government and, until prov<strong>in</strong>cial archival<br />

legislation takes effect, also all prov<strong>in</strong>cial adm<strong>in</strong>istrations and authorities.<br />

Head of a <strong>governmental</strong> body<br />

The chief executive officer of a <strong>governmental</strong> body or the person who is act<strong>in</strong>g as<br />

such.<br />
