Record classification system:<br />
A plan for the systematic identification and arrangement of bus<strong>in</strong>ess activities and/or<br />
<strong>records</strong> <strong>in</strong>to categories accord<strong>in</strong>g to logically structured conventions, methods and<br />
procedural rules represented <strong>in</strong> the classification system. The <strong>records</strong> classification<br />
systems prescribed by the <strong>National</strong> Archives and Records Service are: fil<strong>in</strong>g system<br />
for correspondence systems and the schedule for <strong>records</strong> other than<br />
correspondence systems.<br />
Records control schedule<br />
This is the <strong>in</strong>strument to control <strong>records</strong> other than correspondence files, accord<strong>in</strong>g<br />
to which such items are identified, retrieved and disposed of.<br />
Recordkeep<strong>in</strong>g:<br />
Mak<strong>in</strong>g and ma<strong>in</strong>ta<strong>in</strong><strong>in</strong>g complete, accurate and reliable evidence of official bus<strong>in</strong>ess<br />
<strong>in</strong> the form of recorded <strong>in</strong>formation.<br />
Records management application<br />
A system that supports the medium to long term <strong>in</strong>formation needs of an office. It<br />
provides functionality over and above that of an <strong>electronic</strong> document management<br />
system to preserve the security, authenticity and <strong>in</strong>tegrity of <strong>records</strong> to enable the<br />
permanent preservation of <strong>records</strong>. Its primary management functions are –<br />
• to manage a corporate file plan to which <strong>records</strong> are filed;<br />
• ma<strong>in</strong>ta<strong>in</strong><strong>in</strong>g the relationships between <strong>records</strong> and files, and between file series<br />
and the file plan;<br />
• identify<strong>in</strong>g <strong>records</strong> that are due for disposal an <strong>manag<strong>in</strong>g</strong> the disposal process;<br />
• associat<strong>in</strong>g the contextual and structural data with<strong>in</strong> a document;<br />
• construct<strong>in</strong>g and <strong>manag<strong>in</strong>g</strong> audit trails;<br />
• <strong>manag<strong>in</strong>g</strong> record version control;<br />
• manages the <strong>in</strong>tegrity and reliability of <strong>records</strong> once they have been declared as<br />
such;<br />
• <strong>manag<strong>in</strong>g</strong> <strong>records</strong> <strong>in</strong> all formats <strong>in</strong> and <strong>in</strong>tegrated manner.<br />
Records other than correspondence files<br />
Records that do not form part of a correspondence of an office, e.g. m<strong>in</strong>utes,<br />
registers, microfilms, <strong>electronic</strong> <strong>records</strong>, etc.<br />
Record system:<br />
A collection of policies procedures and systems, which capture <strong>in</strong>formation<br />
accord<strong>in</strong>g to a <strong>records</strong> classification system, manage, store and provide access to<br />
<strong>records</strong> and their context over time. A.k.a recordkeep<strong>in</strong>g system<br />
Refresh<strong>in</strong>g<br />
Periodically mov<strong>in</strong>g <strong>records</strong> from one storage medium to another of the same k<strong>in</strong>d.<br />
