When I started working for my parent’s rental<br />

store in 1980, we didn’t have a computer<br />

system. In fact, rental management software<br />

hadn’t even been invented yet! Everything was<br />

done by hand. We didn’t know where our items<br />

were, how much return on investment we had<br />

on each unit, when maintenance was due or<br />

whether something was available next Friday.<br />

But most of all, we didn’t even know that we<br />

didn’t know those things!<br />

Then in 1984, we found out that one of our<br />

employees was stealing equipment and selling<br />

it out of his garage. My dad decided that<br />

we needed to solve the problem and these<br />

new computer systems were just the way<br />

to do it. Ultimately, he purchased a Point-of-<br />

Rental system. To be exact, he was the 13th<br />

store owner to purchase one. My dad is not<br />

necessarily an early adopter, but he is a good<br />

businessman with a need and saw the solution.<br />

I am amazed that we continue to talk to<br />

prospective customers who are still managing<br />

their rental business manually. Today, while<br />

most people will say they are computerized,<br />

it’s rather compartmentalized with only email,<br />

QuickBooks or Excel. Today, this is comparable<br />

to using a tow behind concrete mixer to<br />

pour the foundation for a house! While it is<br />

technically feasible, it is not efficient! When you<br />

start to build your house, the cracks and poor<br />

foundation will cause you a lot of problems. In<br />

thrilled to be entering an exciting new year<br />

with all of you! Welcome to this issue of<br />

our refreshed newsletter, where I hope you<br />

will find news that keeps you energized by<br />

the opportunities ahead and very optimistic<br />

about our future together.<br />

During the first quarter of the year, we know<br />

that many of you target business goals<br />

and objectives based on your local market.<br />

Some of you are very busy with carnivals,<br />

fairs, and sporting events. While others<br />

are reviewing reports, counting inventory,<br />

performing necessary maintenance in the<br />

yard, warehouse and shop. If you’re the<br />

lucky one taking a vacation to an exciting<br />

destination, please send us a postcard!<br />

Your support team is well aware that for<br />

many in the rental industry, this is the<br />

busiest time of year. We’d like to remind<br />

you to take a few minutes to plan ahead<br />

and offer these first quarter tips of <strong>2015</strong> to<br />

help you ensure a successful season:<br />

• Update your <strong>2015</strong> calendar with hours of<br />

operation and holiday closings. Having<br />

your calendar up-to-date also helps you<br />

efficiently plan and manage roll times,<br />

and with the integration to your website,<br />

you can help ensure everyone is up-todate<br />

too. Follow these directions:<br />

on Your Server”. NetHelp is a great<br />

source of information for our customers.<br />

Take a quick scroll through NetHelp to<br />

help you master reports, configurations<br />

and parameters. From the Program<br />

Menu, select Help (top left corner of the<br />

screen) and then NetHelp.<br />

• Are you aware of our “Did You Know”?<br />

These are searchable tips from<br />

Point-of-Rental staff that are<br />

created throughout the year (since<br />

2013) and archived.These are our<br />

recommendations for ways to effectively<br />

manage hot topics throughout the year.<br />

In fact, sometimes these ideas come<br />

directly from you! To find the “Did You<br />

Know” area, select Help (top left corner<br />

of the screen) from the Program Menu<br />

and then click on “Did You Know”.<br />

In 2014, we introduced a second tier to the Point-of-Rental software family to help serve a broader<br />

range of customers seeking easy, on-the-go rental and inventory software. Released in March, Pointof-Rental<br />

CLOUD, a web-based platform, is available by a monthly subscription and has the flexibility<br />

and ease-of-use that we have built into our software for more than 30 years. This new division includes<br />

a special team of developers and designers to make this an industry best-in-class product.<br />

Unique Product Features<br />

Several features make Point-of-Rental CLOUD unique from<br />

competitors. CLOUD is the only rental software built from the<br />

ground up using the Google Angular Framework, and its singlepage<br />

technology speeds load times to mere microseconds.<br />

Additionally, updates are automatically delivered every two<br />

weeks, enabling customers to always have the latest features<br />

at their fingertips. By using 2D barcode readers, users can also<br />

easily add items to a transaction with the item’s barcode, or<br />

create and find customers by simply scanning a driver’s license.<br />

The real beauty of CLOUD is that there is no additional<br />

hardware needed to run the software. It only requires a web<br />

browser to access its suite of standard and optional features.<br />

CLOUD makes inventory management a breeze. Users can<br />

upload photos to track equipment condition, process credit<br />

cards, and easily access the integrated online storefront system<br />

which empowers customers to reserve items and pay online<br />

with a few clicks. Equipped with QuickBooks exports, CLOUD<br />

supports easy integration with existing accounting software.<br />

Several other features include: integration with Stripe, credit<br />

card processing, Google Analytics for your online storefront,<br />

Facebook and WordPress. In addition to the ability to track<br />

maintenance and associated costs on inventory, CLOUD<br />

provides automatic rental price calculations for day of the week<br />

or seasonal prices.<br />

New transactions can be created with a simple-to-follow wizard,<br />

and existing transactions can by modified at any point. With<br />

many pre-defined filters available, the CLOUD Workbench<br />

shows active transactions at a glance and highlights any<br />

overbookings. Its easy-to-use design is the answer for all<br />

businesses that don’t require the complex functionality of our<br />

Enterprise product. It’s flexible enough to be implemented with<br />

any sized business and easily communicates between multistore<br />

locations.<br />

FIRST RFID INTEGRATION WITH RENTAL<br />

INVENTORY MANAGEMENT<br />

Bart Nye, President of Prime Time Party Rental of Dayton,<br />

Ohio summed it up best when he said, “When three<br />

visionaries like Point-of-Rental, Positek RFID and Prime<br />

Time Party Rental combine their strengths, the industry<br />

takes notice.”<br />

Nye first approached Positek about tagging linens with RFID<br />

tags over four years ago. “Since then,” he said, “the technology<br />

enhancements in RFID have made that dream a reality and with<br />

all my assets tagged, I now know truly where all my losses are.”<br />

Point-of-Rental® Software and Positek RFID are together<br />

announcing the first fully integrated RFID solution for inventory<br />

management software in the rental industry during the ARA<br />

The Rental Show.<br />

By integrating Positek RFID with Point-of-Rental inventory<br />

management software, asset counts are automated, giving rental<br />

businesses the unique ability to update inventory based on RFID<br />

scans.<br />

Applying this technology to the linen business, Prime Time Party<br />

Rental, a long time Point-of-Rental customer, served as the betatest<br />

site for the new service. Utilizing either stationary or fixed<br />

RFID readers with Positek tagged items, instantaneous counts<br />

are added to Point-of-Rental software to validate contracts, plus<br />

charge for missing or damaged items.<br />

Prime Time Party Rental was the perfect customer to test the<br />

RFID capabilities. The company has a proven track record of<br />

excellent customer service and top-notch rental products to meet<br />

and exceed the expectations of clients. Nye is exuberant about<br />

where RFID can go in the rental industry. “My drivers love RFID!<br />

They love the assurance of getting the right items to the right<br />

customer.”<br />

“Even more,” he enthused, “having asset history per item gives<br />

rich ROI on each individual item and I now have the ability to<br />

write off a linen at its true usage in the cycle.”<br />

In the rental industry, linens are returned in bags and then handcounted.<br />

This manual process is fraught with errors and results<br />

in missing and wrongly classified linens, which can negatively<br />

impact customer relations.<br />

With RFID, multiple orders can be checked in immediately<br />

and accurately with the click of the RFID reader. “With rental<br />

inventory so deep and wide, it’s imperative to keep track of<br />

everything in real-time, second by second, and now, with the<br />

click of a button, I can,” said Nye.<br />

Bobby Olsen, Senior Applications Analyst for Point-of-Rental,<br />

was instrumental in driving the programming to ensure the<br />

integration between Point-of-Rental and Positek RFID. He said,<br />

“This is an exciting time for our company and our customers.<br />

Our rental stores can now eliminate or reallocate huge amounts<br />

of labor spent counting, and even more importantly, they can<br />

improve customer service by knowing if any items are missing at<br />

pickup and which customer should be billed for missing items.”<br />

CEO of Point-of-Rental Software, Wayne Harris said, “Adding<br />

these best-in-market RFID capabilities to our software gives<br />

our customers the ability to reduce labor and asset costs, and<br />

increase customer satisfaction.”<br />

The Internet of Things is a growing conversation in the rental<br />

industry, as more and more equipment is dispatched with<br />

embedded devices, telemetry and GPS, this technology will<br />

become more essential and less of a nice-to-have.<br />

“A number of technology trends have started to affect the rental<br />

industry,” said Harris. “These changes have come through the<br />

use of rental mobile apps on smart phones, tablets and the<br />

expectation of connecting to your business 24/7.”<br />

Harris says that linen and party markets are a great first test of<br />

RFID and that tool and equipment markets can also have big<br />

benefits with these new RFID capabilities. Trends in the tool<br />

rental industry may be less concerned with tracking assets in<br />

the field and more concerned with easy dispatch using RFID<br />

and capturing customer signatures for deliveries and pickups.<br />

Jason Albus, Director of Application Development for<br />

Integrations and Internal Software at Point-of-Rental, also<br />

emphasizes the critical importance of these technology trends<br />

in the rental industry. He said, “Across the board, Point-of-<br />

Rental recognizes the potential of mobile apps (including our<br />

Mobile Workforce app) for real-time processing, which pushes<br />

business systems further into the yard and field with less<br />

reliance on paper and eliminates the errors inherent with<br />

re-keying information.”<br />

Positek RFID was formed in 2001 to provide process<br />

improvement solutions based on RFID. The company has been<br />

a technology vendor in the textile maintenance industry since<br />

1973, serving thousands of rental customers in uniform, linen,<br />

party, medical, tuxedo, dry cleaning, hospitality and more. “We<br />

are excited to partner with Point-of-Rental to open new markets<br />

to the exclusive capabilities of RFID in the rental industry,” said<br />

Jeff Markman, President of Positek RFID.<br />

Positek RFID’s UHF and unique reading and software solutions<br />

provide the ability to read large quantities of tagged items, even<br />

hundreds of pieces of laundry instantaneously. “In addition,”<br />

Markman said, “the new interface between our companies’<br />

software products gives rental companies a seamless and<br />

complete RFID solution.”<br />

The three companies, Point-of-Rental, Positek RFID and Prime<br />

Time Party Rental will host a press conference to showcase<br />

RFID capabilities for the rental industry during The Rental Show<br />

<strong>2015</strong> on Tuesday, Feb. 24 from 11 a.m. to noon in Room 274 at<br />

the Ernest M. Morial Convention Center in New Orleans, LA.<br />

How Temp-Power, Inc. is Saving<br />

TIME &<br />

with the AEMP Telematic Integration<br />

Those in our rental industry who supply heavy equipment are familiar with the<br />

challenges associated with tracking equipment usage hours and the actual<br />

equipment locations at any given time. However, thanks to advances in<br />

technology for equipment metering and GPS, many of these struggles are only<br />

remnants of the past.<br />

By accessing accurate usage hours<br />

from the office, rental stores are able<br />

to schedule with confidence necessary<br />

maintenance. This remote management<br />

saves time by cutting out in-person<br />

meter readings, or more catastrophic,<br />

equipment failure due to lack of proper<br />

maintenance scheduling. Plus, it helps<br />

ensure accurate rental usage billing.<br />

The GPS location is also easily<br />

accessible directly through the counter<br />

system. The driver can effortlessly pull<br />

up the contract, select the option to<br />

view the current location on a map, and<br />

generate the present coordinates directly<br />

on the pickup request for the driver. This<br />

empowers the driver by providing current<br />

data for precise pickup routes.<br />

Why the Need for the AEMP<br />

Telematic Integration?<br />

While metering and GPS tracking<br />

solved many challenges, new ones<br />

arose in its wake. Each provider of the<br />

telemetric and GPS tracking provided<br />

the data in their own format, rendering<br />

it virtually impossible for software<br />

providers to maintain compatibility for<br />

the many manufacturers and providers<br />

of data. That was the status quo<br />

until the collaborative efforts of AEM<br />

and the Association of Equipment<br />

Management Professionals (AEMP) set<br />

forth the Telematic API Standard. This<br />

regulation now includes standardized<br />

communication protocols allowing the<br />

transfer of telemetric information to end<br />

user business enterprise systems. It also<br />

enables the end user to employ their own<br />

business software to collect and analyze<br />

asset data from mixed equipment fleets<br />

without the need to work across multiple<br />

telematics provider applications.<br />

Point-of-Rental Enterprise has been<br />

compatible with GPS providers for<br />

awhile, and now offers an entirely new<br />

level of convenience and accuracy with<br />

the AEMP Telematic integration.<br />

Point-of-Rental’s AEMP integration<br />

provides easily accessible data for<br />

heightened precision and time-saving<br />

innovation.<br />

Many rental businesses today are<br />

beginning to adapt this time and money<br />

saving integration. One of these is Temp-<br />

Power, Inc., a Point-of-Rental customer<br />

based in Manassas, Virginia.<br />

How Temp-Power Began<br />

In response to the exploding home<br />

building market, Temp-Power, Inc.<br />

opened its doors in 2005. Specializing in<br />

generator rentals, the company serves<br />

the Virginia, Maryland and Washington<br />

D.C. markets. Over time it has developed<br />

markets for residential and commercial<br />

construction, as well as powering events<br />

such as weddings, festivals, concerts<br />

and more. In just nine years, their fleet<br />

has grown from eight towable generator<br />

sets to over 85 at the end of 2014.<br />

Making the Switch to<br />

Point-of-Rental Software<br />

Once the business was firmly established<br />

they were faced with the need to<br />

upgrade their existing system or replace<br />

it altogether. With recommendations from<br />

two local competitors they began looking<br />

at Point-of-Rental’s Enterprise software.<br />

The upgrade of the old system would<br />

have been 50% of the cost of Enterprise<br />

but the company still would have been<br />

on their out of date, clumsy software.<br />

Temp-Power, Inc. chose Point-of-Rental<br />

Enterprise because of its ease of use<br />

for new and existing employees. Their<br />

former system required many more<br />

steps to perform frequently used actions<br />

and also did not integrate well with<br />

their accounting software. Enterprise<br />

has been an excellent solution for<br />

the company; offering many advanced<br />

features while increasing efficiency and<br />

profitability.<br />

Moving to the AEMP Integration<br />

The primary goal with the AEMP<br />

integration for Temp-Power, Inc. was<br />

maintenance tracking. The cost of<br />

monthly monitoring is less than half that<br />

of physically visiting the machines to<br />

check hours. With equipment usage time<br />

updating to the Point-of-Rental Enterprise<br />

software hourly, the maintenance due<br />

reports are always current allowing<br />

Temp-Power, Inc. to efficiently schedule<br />

services and reduce down time. They<br />

can now also verify that hours are correct<br />

on contracts, see if a machine is in use<br />

and confirm its location.This information<br />

is used to sell their service to customers.<br />

Also having hours and location at their<br />

fingertips speeds up closing tickets and<br />

makes outgoing tickets more accurate, all<br />

part of providing great customer service.<br />

It is still too early for hard numbers as to<br />

how the integration has improved Temp-<br />

Power, Inc. operations since they are still<br />

equipping their fleet with tracking units.<br />

At this time they have 20 installed and<br />

hope to have all completed by the end of<br />

the first quarter. After the initial cost for<br />

hardware, the monitoring is roughly $15<br />

per unit.<br />

Looking to the Future<br />

Temp-Power, Inc. is working to go<br />

even further with tracking equipment to<br />

monitor real-time performance data such<br />

as engine RPM, temperature and oil<br />

Over the past 30 years, our experienced Point-of-Rental<br />

trainers have happily traveled hundreds of thousands of<br />

miles across the world to help rental businesses like yours<br />

transition to our powerful software as seamlessly as possible.<br />

Point-of-Rental employs six trainers whose sole focus is to ensure<br />

our customers know how to best implement and use their new<br />

Training Time<br />

The right amount of training depends on the size and the depth of<br />

the system capabilities required for your business. A rental store<br />

with 2-10 employees at a single location might be trained in only<br />

two days, whereas a larger rental store requires more time due to<br />

the complexity and demands of an operation with more employees<br />

and multiple locations.<br />

Learning the nuances of rental and sale transaction<br />

processing─such as sales, quotes, billing, purchase orders and<br />

reservations─generally requires about eight hours of training.<br />

Understanding and adopting features like accounts receivable,<br />

inventory controls, and database management, could require an<br />

extra additional training days.<br />

Selecting the Best Training Format for You<br />

In addition to the highly recommended on-site training options,<br />

we also offer training online, at our headquarters office in Grand<br />

Prairie, TX, at our annual conference, and at the ARA The Rental<br />

Show.<br />

On-site: This is the most valuable and personal training option.<br />

We will send at least one trainer to your store(s) for training and to<br />

migrate your former system to Point-of-Rental. While this option<br />

requires an additional fee, the benefits include the ability for the<br />

trainer to see your operation live, understand how you do business,<br />

and then make specific recommendations based on these<br />

observations. Our trainers will provide highly customized training<br />

sessions in response to your in-store needs, and every employee<br />

who will be using the software will have the opportunity to attend<br />

this training.<br />

Our offices/online: At least two days of training are included with<br />

your Point-of-Rental Software base license. One or more of your<br />

employees will come to our Texas-based headquarters office, and<br />

we will configure the software with your database loaded onto it.<br />

You will receive hands-on experience, and one of our trainers will<br />

be available to answer all of your questions.<br />

Annual conference/The Rental Show: Every year, we invite each<br />

of our customers to attend our annual training conference (read<br />

more on page 13) to learn about software updates, get refreshed<br />

on techniques to elevate the use of the system, and to network with<br />

held after The Rental Show training is a condensed, one-day<br />

One Millionth Contract<br />

This past fall, A Tool Shed Equipment Rentals wrote their one-millionth rental contract using<br />

Point-of-Rental Enterprise. This tool and equipment rental company, established in 1945, is<br />

a family-owned business with six locations throughout northern California. Since 2004, they<br />

have been using Point-of-Rental to manage their rental inventory more efficiently.<br />

In anticipation of the event,<br />

Point-of-Rental created a<br />

customized contract, that read:<br />

“CONGRATULATIONS! You are our<br />

ONE-MILLIONTH customer.” The lucky<br />

customer signing the contract received<br />

a free rental from A Tool Shed.<br />

“The customer was thrilled,” said<br />

Alfredo Rameriz, the branch manager<br />

who wrote the winning contract (shown<br />

at right with the customer). “He even<br />

called his wife to come down to the<br />

store to take pictures! They couldn’t<br />

believe they were the timely customers<br />

who would be getting a free rental.”<br />

To help celebrate the milestone, Pointof-Rental<br />

had pizza delivered to each<br />

of the stores and a cake<br />

When did you join Point-of-Rental?<br />

I started as a customer of Point-of-Rental at Weaver’s<br />

Rent-All in Bloomington, IL. After working on the front lines<br />

of the industry for five years, I took the opportunity to join the<br />

Point-of-Rental team in 2013.<br />

About Scott<br />

I was raised in Nevada but went to school in Illinois at<br />

Heartland College. Upon graduation I moved to Texas to<br />

begin my career with Point-of-Rental. I have a loving family<br />

at home—nine year old and three year olds sons.<br />

What do you do?<br />

My primary role at Point-of-Rental is Customer Service. That<br />

includes providing phone support from our office as well as<br />

traveling and setting up new customers around the world.<br />

What do you like to do when you’re not at POR?<br />

My family enjoys camping, boating, playing sports and just<br />

about anything outdoors.<br />

It was a record year in attendance for this year’s International<br />

Conference. Hosted at the Sheraton Hotel in the heart of<br />

downtown Dallas, this location was quite a change from the<br />

Point-of-Rental offices in Grand Prairie the two years prior. This<br />

venue shift gave attendees the chance to experience a bit of<br />

Dallas culture and see for themselves some of what our great<br />

city has to offer. From October 15-17, we presented a wide<br />

variety of classes primarily focused on utilizing the Point-of-<br />

Rental software to enhance a customer’s experience and their<br />

bottom-line. In addition to these classes, engaging evening<br />

events gave attendees the opportunity to network with other<br />

rental industry professionals and Point-of-Rental employees,<br />

while enjoying delicious Texas cuisine and entertainment.<br />

With three specialized tracks offered, attendees were able<br />

to customize their days to best suit the unique needs of<br />

their business. Curriculum ranged from data management,<br />

accounting best practices, purchasing procedures, to marketing<br />

techniques, and more. During the conference, attendees were<br />

also presented with valuable rental industry information from<br />

sponsor presentations and a Rental Advisory Panel. This was<br />

the inaugural year for the Advisory Panel, which featured seven<br />

industry professionals who offered recommendations, insights,<br />

and answered questions from the audience based on their<br />

expertise.<br />

Essentials mentioned that he would, “…recommend this<br />

conference to anyone! It is very informative and a great way to<br />

learn new shortcuts and techniques from your peers.”<br />

Several evening events gave attendees a chance to unwind<br />

after a long day of training, presentations, and roundtables. The<br />

first night everyone enjoyed a Texas-style barbeque dinner and<br />

a private tour at the famed JFK Museum in Dallas. The second<br />

night was hosted at DRAFT sports bar within the hotel where<br />

attendees enjoyed food, table pool and karaoke.<br />

“The conference is a great way for us to interact with our<br />

customers,” Wayne Harris, CEO of Point-of-Rental, said.<br />

“We truly view our customers as our partners. This event is<br />

the perfect opportunity not only to provide them with helpful<br />

information and techniques on the software, but also to gain<br />

valuable feedback and suggestions to better our software in the<br />

future.”<br />

At the conclusion of the conference, attendees had time to<br />

suggest and discuss software update ideas and order additional<br />
