When I started working for my parent’s rental
store in 1980, we didn’t have a computer
system. In fact, rental management software
hadn’t even been invented yet! Everything was
done by hand. We didn’t know where our items
were, how much return on investment we had
on each unit, when maintenance was due or
whether something was available next Friday.
But most of all, we didn’t even know that we
didn’t know those things!
Then in 1984, we found out that one of our
employees was stealing equipment and selling
it out of his garage. My dad decided that
we needed to solve the problem and these
new computer systems were just the way
to do it. Ultimately, he purchased a Point-of-
Rental system. To be exact, he was the 13th
store owner to purchase one. My dad is not
necessarily an early adopter, but he is a good
businessman with a need and saw the solution.
I am amazed that we continue to talk to
prospective customers who are still managing
their rental business manually. Today, while
most people will say they are computerized,
it’s rather compartmentalized with only email,
QuickBooks or Excel. Today, this is comparable
to using a tow behind concrete mixer to
pour the foundation for a house! While it is
technically feasible, it is not efficient! When you
start to build your house, the cracks and poor
foundation will cause you a lot of problems. In
the same way, without using a software product
a problem to solve in their own rental business.
Now, we have almost 50 employees with a
Those 50 employees spend their entire time
working on ways to help rental stores grow their
business. It is amazing looking back 30 years
at what Point-of-Rental did compared to what it
does now, but even more amazing is just looking
back 5 years. With Internet connectivity, mobile
Point-of-Rental
Welcomes
Cloud Product
By: Alexa Mihalick, Marketing Coordinator, Point-of-Rental Software
In 2014, we introduced a second tier to the Point-of-Rental software family to help serve a broader
range of customers seeking easy, on-the-go rental and inventory software. Released in March, Pointof-Rental
CLOUD, a web-based platform, is available by a monthly subscription and has the flexibility
and ease-of-use that we have built into our software for more than 30 years. This new division includes
a special team of developers and designers to make this an industry best-in-class product.
Unique Product Features
Several features make Point-of-Rental CLOUD unique from
competitors. CLOUD is the only rental software built from the
ground up using the Google Angular Framework, and its singlepage
technology speeds load times to mere microseconds.
Additionally, updates are automatically delivered every two
weeks, enabling customers to always have the latest features
at their fingertips. By using 2D barcode readers, users can also
easily add items to a transaction with the item’s barcode, or
create and find customers by simply scanning a driver’s license.
The real beauty of CLOUD is that there is no additional
hardware needed to run the software. It only requires a web
browser to access its suite of standard and optional features.
3
Figure 1: Item Detail
Figure 2: Day at a Glance
CLOUD makes inventory management a breeze. Users can
upload photos to track equipment condition, process credit
cards, and easily access the integrated online storefront system
which empowers customers to reserve items and pay online
with a few clicks. Equipped with QuickBooks exports, CLOUD
supports easy integration with existing accounting software.
Several other features include: integration with Stripe, credit
card processing, Google Analytics for your online storefront,
Facebook and WordPress. In addition to the ability to track
maintenance and associated costs on inventory, CLOUD
provides automatic rental price calculations for day of the week
or seasonal prices.
New transactions can be created with a simple-to-follow wizard,
and existing transactions can by modified at any point. With
many pre-defined filters available, the CLOUD Workbench
shows active transactions at a glance and highlights any
overbookings. Its easy-to-use design is the answer for all
businesses that don’t require the complex functionality of our
Enterprise product. It’s flexible enough to be implemented with
any sized business and easily communicates between multistore
locations.
Businesses like the NBA are turning to CLOUD to manage
their extensive and diverse event inventory. Adi Wilk, Director
of Events for the National Basketball Association (NBA), said
“We are extremely happy with how easy it is to use and more
important, the quality of customer support we have received.”
Point-of-Rental Software and Positek RFID Launch Industry’s
FIRST RFID INTEGRATION WITH RENTAL
INVENTORY MANAGEMENT
Bart Nye, President of Prime Time Party Rental of Dayton,
Ohio summed it up best when he said, “When three
visionaries like Point-of-Rental, Positek RFID and Prime
Time Party Rental combine their strengths, the industry
takes notice.”
Nye first approached Positek about tagging linens with RFID
tags over four years ago. “Since then,” he said, “the technology
enhancements in RFID have made that dream a reality and with
all my assets tagged, I now know truly where all my losses are.”
5
POINT-OF-RENTAL.COM / SPRING 2015
Point-of-Rental® Software and Positek RFID are together
announcing the first fully integrated RFID solution for inventory
management software in the rental industry during the ARA
The Rental Show.
By integrating Positek RFID with Point-of-Rental inventory
management software, asset counts are automated, giving rental
businesses the unique ability to update inventory based on RFID
scans.
Applying this technology to the linen business, Prime Time Party
Rental, a long time Point-of-Rental customer, served as the betatest
site for the new service. Utilizing either stationary or fixed
RFID readers with Positek tagged items, instantaneous counts
are added to Point-of-Rental software to validate contracts, plus
charge for missing or damaged items.
Prime Time Party Rental was the perfect customer to test the
RFID capabilities. The company has a proven track record of
excellent customer service and top-notch rental products to meet
and exceed the expectations of clients. Nye is exuberant about
where RFID can go in the rental industry. “My drivers love RFID!
They love the assurance of getting the right items to the right
customer.”
“Even more,” he enthused, “having asset history per item gives
rich ROI on each individual item and I now have the ability to
write off a linen at its true usage in the cycle.”
In the rental industry, linens are returned in bags and then handcounted.
This manual process is fraught with errors and results
in missing and wrongly classified linens, which can negatively
impact customer relations.
With RFID, multiple orders can be checked in immediately
and accurately with the click of the RFID reader. “With rental
inventory so deep and wide, it’s imperative to keep track of
everything in real-time, second by second, and now, with the
click of a button, I can,” said Nye.
Bobby Olsen, Senior Applications Analyst for Point-of-Rental,
was instrumental in driving the programming to ensure the
integration between Point-of-Rental and Positek RFID. He said,
“This is an exciting time for our company and our customers.
Our rental stores can now eliminate or reallocate huge amounts
of labor spent counting, and even more importantly, they can
improve customer service by knowing if any items are missing at
pickup and which customer should be billed for missing items.”
CEO of Point-of-Rental Software, Wayne Harris said, “Adding
these best-in-market RFID capabilities to our software gives
our customers the ability to reduce labor and asset costs, and
increase customer satisfaction.”
The Internet of Things is a growing conversation in the rental
industry, as more and more equipment is dispatched with
embedded devices, telemetry and GPS, this technology will
become more essential and less of a nice-to-have.
“A number of technology trends have started to affect the rental
industry,” said Harris. “These changes have come through the
use of rental mobile apps on smart phones, tablets and the
expectation of connecting to your business 24/7.”
Harris says that linen and party markets are a great first test of
RFID and that tool and equipment markets can also have big
benefits with these new RFID capabilities. Trends in the tool
rental industry may be less concerned with tracking assets in
the field and more concerned with easy dispatch using RFID
and capturing customer signatures for deliveries and pickups.
Jason Albus, Director of Application Development for
Integrations and Internal Software at Point-of-Rental, also
emphasizes the critical importance of these technology trends
in the rental industry. He said, “Across the board, Point-of-
Rental recognizes the potential of mobile apps (including our
Mobile Workforce app) for real-time processing, which pushes
business systems further into the yard and field with less
reliance on paper and eliminates the errors inherent with
re-keying information.”
Positek RFID was formed in 2001 to provide process
improvement solutions based on RFID. The company has been
a technology vendor in the textile maintenance industry since
1973, serving thousands of rental customers in uniform, linen,
party, medical, tuxedo, dry cleaning, hospitality and more. “We
are excited to partner with Point-of-Rental to open new markets
to the exclusive capabilities of RFID in the rental industry,” said
Jeff Markman, President of Positek RFID.
Positek RFID’s UHF and unique reading and software solutions
provide the ability to read large quantities of tagged items, even
hundreds of pieces of laundry instantaneously. “In addition,”
Markman said, “the new interface between our companies’
software products gives rental companies a seamless and
complete RFID solution.”
The three companies, Point-of-Rental, Positek RFID and Prime
Time Party Rental will host a press conference to showcase
RFID capabilities for the rental industry during The Rental Show
2015 on Tuesday, Feb. 24 from 11 a.m. to noon in Room 274 at
the Ernest M. Morial Convention Center in New Orleans, LA.
Attendees at the ARA The Rental Show can also see a
demonstration of the RFID capabilities in the Point-of-Rental
booth #5109, Feb. 23-25, 2015 at the Ernest N. Morial
How Temp-Power, Inc. is Saving
TIME &
MONEY
with the AEMP Telematic Integration
By: Chris Crafton, President, Temp-Power, Inc. & Heather Benac, Marketing Manger, Point-of-Rental Software
Those in our rental industry who supply heavy equipment are familiar with the
challenges associated with tracking equipment usage hours and the actual
equipment locations at any given time. However, thanks to advances in
technology for equipment metering and GPS, many of these struggles are only
remnants of the past.
7
POINT-OF-RENTAL.COM / SPRING 2015
By accessing accurate usage hours
from the office, rental stores are able
to schedule with confidence necessary
maintenance. This remote management
saves time by cutting out in-person
meter readings, or more catastrophic,
equipment failure due to lack of proper
maintenance scheduling. Plus, it helps
ensure accurate rental usage billing.
The GPS location is also easily
accessible directly through the counter
system. The driver can effortlessly pull
up the contract, select the option to
view the current location on a map, and
generate the present coordinates directly
on the pickup request for the driver. This
empowers the driver by providing current
data for precise pickup routes.
Why the Need for the AEMP
Telematic Integration?
While metering and GPS tracking
solved many challenges, new ones
arose in its wake. Each provider of the
telemetric and GPS tracking provided
the data in their own format, rendering
it virtually impossible for software
providers to maintain compatibility for
the many manufacturers and providers
of data. That was the status quo
until the collaborative efforts of AEM
and the Association of Equipment
Management Professionals (AEMP) set
forth the Telematic API Standard. This
regulation now includes standardized
communication protocols allowing the
transfer of telemetric information to end
user business enterprise systems. It also
enables the end user to employ their own
business software to collect and analyze
asset data from mixed equipment fleets
without the need to work across multiple
telematics provider applications.
Point-of-Rental Enterprise has been
compatible with GPS providers for
awhile, and now offers an entirely new
level of convenience and accuracy with
the AEMP Telematic integration.
Point-of-Rental’s AEMP integration
provides easily accessible data for
heightened precision and time-saving
innovation.
Many rental businesses today are
beginning to adapt this time and money
saving integration. One of these is Temp-
Power, Inc., a Point-of-Rental customer
based in Manassas, Virginia.
How Temp-Power Began
In response to the exploding home
building market, Temp-Power, Inc.
opened its doors in 2005. Specializing in
generator rentals, the company serves
the Virginia, Maryland and Washington
D.C. markets. Over time it has developed
markets for residential and commercial
construction, as well as powering events
such as weddings, festivals, concerts
and more. In just nine years, their fleet
has grown from eight towable generator
sets to over 85 at the end of 2014.
Making the Switch to
Point-of-Rental Software
Once the business was firmly established
they were faced with the need to
upgrade their existing system or replace
it altogether. With recommendations from
two local competitors they began looking
at Point-of-Rental’s Enterprise software.
The upgrade of the old system would
have been 50% of the cost of Enterprise
but the company still would have been
on their out of date, clumsy software.
Temp-Power, Inc. chose Point-of-Rental
Enterprise because of its ease of use
for new and existing employees. Their
former system required many more
steps to perform frequently used actions
and also did not integrate well with
their accounting software. Enterprise
has been an excellent solution for
the company; offering many advanced
features while increasing efficiency and
profitability.
Moving to the AEMP Integration
The primary goal with the AEMP
integration for Temp-Power, Inc. was
maintenance tracking. The cost of
monthly monitoring is less than half that
of physically visiting the machines to
check hours. With equipment usage time
updating to the Point-of-Rental Enterprise
software hourly, the maintenance due
reports are always current allowing
Temp-Power, Inc. to efficiently schedule
services and reduce down time. They
can now also verify that hours are correct
on contracts, see if a machine is in use
and confirm its location.This information
is used to sell their service to customers.
Also having hours and location at their
fingertips speeds up closing tickets and
“With hours updating to our Point-of-Rental
Enterprise software hourly, our maintenance due
reports are always current allowing us to efficiently
schedule services and reduce down time.”
makes outgoing tickets more accurate, all
part of providing great customer service.
It is still too early for hard numbers as to
how the integration has improved Temp-
Power, Inc. operations since they are still
equipping their fleet with tracking units.
At this time they have 20 installed and
hope to have all completed by the end of
the first quarter. After the initial cost for
hardware, the monitoring is roughly $15
per unit.
Looking to the Future
Temp-Power, Inc. is working to go
even further with tracking equipment to
monitor real-time performance data such
as engine RPM, temperature and oil
pressure. P
THE
Point-of-Rental Offers Flexible Training Classes to fit any Schedule!
By: Alexa Mihalick, Marketing Coordinator, Point-of-Rental Software
9
Over the past 30 years, our experienced Point-of-Rental
trainers have happily traveled hundreds of thousands of
miles across the world to help rental businesses like yours
transition to our powerful software as seamlessly as possible.
Point-of-Rental employs six trainers whose sole focus is to ensure
our customers know how to best implement and use their new
software. Our customers know Earl Sherman, Scott MacKay, Lynne
Law, Joe White, Sean Konys, and David Jensen by name, voice
and face, but they may not realize this hard-working team could
star in their own version of Planes, Trains and Automobiles! From
frequent flyer miles, to countless rental cars and a few slip-andslide
moments in inclement weather – this team knows the number
one priority is the customer.
We have one motto about training here at Point-of-Rental:
everyone needs it!
“The reality is that, even if you’ve used another rental management
software, it takes time to become truly comfortable with a new
system,” shared Earl Sherman, Customer Support Service
Manager. “Truly knowing how to use the software is of utmost
importance for appreciating all of its features.”
Picture this: You buy a 1,000 piece jigsaw puzzle and someone
threw the box away, leaving you with no photo to look at. You then
decide that, by trial and error, you will attempt to fit every piece of
the puzzle together. Unfortunately, without a visual reference, it
ends up taking you six months of trial and error to complete instead
of the one-week of enjoyment you could have had.
The same goes for training. You have made the best decision with
your purchase of a software system to help grow your business.
And, while Point-of-Rental Software is Windows-based for ease
of use, the software is very rich and robust with thousands of
features for you to fully incorporate into your business. To expedite
the process, our trainers are the real-time instruction manual you
need to help navigate the Point-of-Rental puzzle together. Training
is essential to your success. And that’s exactly why we have a
team of experienced professionals ready to assist you. You’ll see
immediate benefits, such as your rental counter personnel writing
contracts in minutes.
Training Time
The right amount of training depends on the size and the depth of
the system capabilities required for your business. A rental store
with 2-10 employees at a single location might be trained in only
two days, whereas a larger rental store requires more time due to
the complexity and demands of an operation with more employees
and multiple locations.
Learning the nuances of rental and sale transaction
processing─such as sales, quotes, billing, purchase orders and
reservations─generally requires about eight hours of training.
Understanding and adopting features like accounts receivable,
inventory controls, and database management, could require an
extra additional training days.
Selecting the Best Training Format for You
In addition to the highly recommended on-site training options,
we also offer training online, at our headquarters office in Grand
Prairie, TX, at our annual conference, and at the ARA The Rental
Show.
On-site: This is the most valuable and personal training option.
We will send at least one trainer to your store(s) for training and to
migrate your former system to Point-of-Rental. While this option
requires an additional fee, the benefits include the ability for the
trainer to see your operation live, understand how you do business,
and then make specific recommendations based on these
observations. Our trainers will provide highly customized training
sessions in response to your in-store needs, and every employee
who will be using the software will have the opportunity to attend
this training.
Our offices/online: At least two days of training are included with
your Point-of-Rental Software base license. One or more of your
employees will come to our Texas-based headquarters office, and
we will configure the software with your database loaded onto it.
You will receive hands-on experience, and one of our trainers will
be available to answer all of your questions.
Annual conference/The Rental Show: Every year, we invite each
of our customers to attend our annual training conference (read
more on page 13) to learn about software updates, get refreshed
on techniques to elevate the use of the system, and to network with
other professionals in the rental industry. The Regional Training
held after The Rental Show training is a condensed, one-day
version of the annual conference.
“What it comes down to is this: we believe training helps ensure
success,” said David Jensen, Director of Training. “When you adopt
a software program as robust as Enterprise, it is imperative to learn
how to use it effectively, efficiently and properly for the ROI of the
hundreds of features that Point-of-Rental software has to offer.” P
A Tool Shed Celebrates
One Millionth Contract
Using Point-of-Rental Software
By: Lauren Harris, Marketing Associate, Point-of-Rental Software
This past fall, A Tool Shed Equipment Rentals wrote their one-millionth rental contract using
Point-of-Rental Enterprise. This tool and equipment rental company, established in 1945, is
a family-owned business with six locations throughout northern California. Since 2004, they
have been using Point-of-Rental to manage their rental inventory more efficiently.
In anticipation of the event,
Point-of-Rental created a
customized contract, that read:
“CONGRATULATIONS! You are our
ONE-MILLIONTH customer.” The lucky
customer signing the contract received
a free rental from A Tool Shed.
“The customer was thrilled,” said
Alfredo Rameriz, the branch manager
who wrote the winning contract (shown
at right with the customer). “He even
called his wife to come down to the
store to take pictures! They couldn’t
believe they were the timely customers
who would be getting a free rental.”
To help celebrate the milestone, Pointof-Rental
had pizza delivered to each
of the stores and a cake
that Robert Pedersen,
CEO of A Tool Shed,
brought to the location
that wrote the millionth
contract.
“We wanted to recognize
this accomplishment and
show that we appreciate
A Tool Shed’s hard work,”
Point-of-Rental CEO,
Wayne Harris said. “We
think of our customers
as partners; we design our software
to increase their success, and
their success increases ours. Their
company has grown and developed
significantly over the years and we are
excited to have grown and partnered
with them as they continue to provide
excellent customer service. We look
forward to celebrating their tenmillionth
contract in years to come!” P
Star Rentals Selects Point-of-Rental Software to
Take Them to the Next Level of Their Business
By: Heather Benac, Marketing Manager, Point-of-Rental Software
Established as a family-owned
business in 1900, Star Machinery
has made impressive strides from
their first machine shop. Now
Star Rentals is the 51st largest rental
store in the U.S. according to RER
100, and the largest rental store on the
Pacific Coast with 18 locations. Even
with their immense history and growth,
Star Rentals continues to honor their
original commitment of supplying the
finest industrial equipment and delivering
expert service based on a thorough
understanding of their customer’s needs.
While growing their business at such an
exciting stride, Star Rentals was faced
with a system that could not keep pace
with the growth required to manage
their rental and inventory equipment.
They required a new system that would
provide regular software updates,
and also convert all of their historical
data electronically. With all these
requirements checked off, Star Rentals
selected Point-of-Rental Software for
their 30+ year history and reputation of
innovation and excellence in the rental
industry.
Gary Anderson, Network Administrator
of Star Rentals said, “We are pleased
to move forward in our operations
with Point-of-Rental. They are forward
thinking, consistent, and reliable, making
them a perfect match for Star Rentals.”
CEO of Point-of-Rental Software, Wayne
Harris said, “We are very excited to
welcome Star Rentals to the Pointof-Rental
family. We look forward to
providing Star Rental with the same level
of excellence that we have provided our
customers for more than 30 years.”
Point-of-Rental’s highly sophisticated
rental software provides real-time
data and automation to increase the
productivity and bottom line of any rental
business. For more information, visit
InternationalConference2014
By: Alexa Mihalick, Marketing Coordinator & Lauren Harris, Marketing Associate, Point-of-Rental Software
It was a record year in attendance for this year’s International
Conference. Hosted at the Sheraton Hotel in the heart of
downtown Dallas, this location was quite a change from the
Point-of-Rental offices in Grand Prairie the two years prior. This
venue shift gave attendees the chance to experience a bit of
Dallas culture and see for themselves some of what our great
city has to offer. From October 15-17, we presented a wide
variety of classes primarily focused on utilizing the Point-of-
Rental software to enhance a customer’s experience and their
bottom-line. In addition to these classes, engaging evening
events gave attendees the opportunity to network with other
rental industry professionals and Point-of-Rental employees,
while enjoying delicious Texas cuisine and entertainment.
With three specialized tracks offered, attendees were able
to customize their days to best suit the unique needs of
their business. Curriculum ranged from data management,
accounting best practices, purchasing procedures, to marketing
techniques, and more. During the conference, attendees were
also presented with valuable rental industry information from
sponsor presentations and a Rental Advisory Panel. This was
the inaugural year for the Advisory Panel, which featured seven
industry professionals who offered recommendations, insights,
and answered questions from the audience based on their
expertise.
Robert Copley, Director of Facilities and Finance at Event
Essentials mentioned that he would, “…recommend this
conference to anyone! It is very informative and a great way to
learn new shortcuts and techniques from your peers.”
Several evening events gave attendees a chance to unwind
after a long day of training, presentations, and roundtables. The
first night everyone enjoyed a Texas-style barbeque dinner and
a private tour at the famed JFK Museum in Dallas. The second
night was hosted at DRAFT sports bar within the hotel where
attendees enjoyed food, table pool and karaoke.
“The conference is a great way for us to interact with our
customers,” Wayne Harris, CEO of Point-of-Rental, said.
“We truly view our customers as our partners. This event is
the perfect opportunity not only to provide them with helpful
information and techniques on the software, but also to gain
valuable feedback and suggestions to better our software in the
future.”
At the conclusion of the conference, attendees had time to
suggest and discuss software update ideas and order additional
services from sponsor booths. Sponsors included
TSO Mobile, USI Affinity Rental Specialties, In-A-Bind,
ClearView Financial, Harland Technology Services, VeriFone,
and Latino & Associates, P.C.
Planning for the 2015 conference has already begun─with a
new location, curriculum for every industry, and exciting evening
events, we’re sure that this will be the best conference yet! For
more information, to sign-up, or become a sponsor for the 2015
conference, please visit www.point-of-rental.com/events.
From the voice of our clients:
“The information provided on “New” items are priceless. That
information alone was well worth the trip.” - Jimmy Allen,
Champion Rentals
“I’ve only been using POR for about 6 months. This was a
great tool to expand my knowledge and give insight to other
aspects of the software. Great instructors who were very
knowledgeable. Will definitely ask my company to continue
sending me to these.” - Steven Goetter, George’s Tool Rental
“My second year as an attendee and the refresher courses
as well as new software implementation classes are great!” -
