Back in February, the Fund Section held a mini-leaning event to brainstorm ways to<br />
streamline the reimbursement application intake process. As a result, we developed new<br />
application forms that incorporate many of the required affidavits that document different<br />
applicant types. We also developed a new form that will present the costs requested for<br />
reimbursement, called the Reimbursement Cost Request (RCR). The RCR replaces three<br />
different cost request forms that applicants were previously required to submit. In addition,<br />
we worked with Steve Noel and Herb to modify the software that uploads cost information<br />
into the EFS Tracking Database.<br />
We presented the new process to a select group of Stakeholders in July. We asked two<br />
consultants to help us with alpha testing by submitting two reimbursement applications<br />
using this new format. Based on their feedback, we resolved several minor issues and<br />
updated the RCR accordingly.<br />
In October, we moved on to the beta testing effort and asked the larger consultant<br />
stakeholder group to begin submitting reimbursement applications using the new format.<br />
Thus far, we have had very few problems and have only received positive feedback.<br />
We will be conducting a training session on December 12 to show all of the consultants<br />
how to complete the RCR. By March 2018, we will only accept applications in the new<br />
format.<br />
It has been an exciting year getting this new process in place with much effort by Fund<br />
staff, Steve Noel and Herb.<br />
