1. Rehearsal<br />

IMPORTANT INFORMATION<br />

(a) Rehearsal will be held on the date and time stated in the graduate’s invitation letter.<br />

(b) All graduating students are invited to attend the rehearsal.<br />

(c) Graduates are required to dress smartly and appropriately for the ceremony. Male<br />

graduates must have short hair.<br />

(d) Graduates are not permitted to wear jeans, slippers and t-shirts during the rehearsal.<br />

(e) Graduates must inform their parents/guests to be smartly and neatly dressed for the<br />

formal ceremony.<br />

2. Convocation Ceremony or Conferral of <strong>UTM</strong> Degree/Diploma<br />

(a) The ceremony will be held on the date and time as stated in the graduate’s invitation<br />

letter.<br />

(b) Registration for Convocation<br />

i) Venue:<br />

Corridor, Level 1, Students’ Association Building, <strong>UTM</strong> Johor Bahru, Johor<br />

according to the date, time and program listed in Table of The Awarding Session.<br />

ii) Required Information:<br />

� Graduate’s Invitation Letter<br />

� Identity Card/MyKad/Graduate’s Passport<br />

iii) Conditions for Registration:<br />

Graduates without the following documents such as invitation letter/identity<br />

card/MyKad/passport will not be allowed to attend the ceremony.<br />

(c) University reserves the rights to bar a graduate from participating in the ceremony if<br />

he/she has not registered for the convocation ceremony.<br />

(d) You must bring the invitation letter when you collect the convocation dress and<br />

register for the convocation as this will facilitate the administrative procedure.<br />

(e) The Slide Card that has the number/arrangement of rows will be given to each<br />

graduate during registration to guide graduates according to the number given during the<br />

procession. Please follow the instructions given by the officer-in-charge.<br />

(f) Graduates will assemble and proceed from the pathway between Students’ Association<br />

Building (SUB) and the Administration Building according to the program and the<br />

number given.<br />

(g) Graduates who are late and and not dressed appropriately according to the dress<br />

code for the convocation ceremony as listed in the Table of The Awarding Session will<br />

not be permitted to participate in the ceremony.<br />

(h) Graduates are reminded not to be noisy during the convocation ceremony as a sign of<br />

respect.<br />

(i) Graduates are advised not to bring the following personal items such as bag, camera,<br />

handphone, pager etc. into the Sultan Iskandar Hall, <strong>Universiti</strong> <strong>Teknologi</strong> <strong>Malaysia</strong>,<br />

Johor Bahru, Johor.<br />

(j) Graduates with special needs (pregnant, disabled or injured) requiring equipment such<br />

as a wheelchair or an assistant need to inform the university when handing in the<br />

confirmation of attendance or inform the officer on duty during the rehearsal.<br />

(k) Graduates are not permitted to leave the hall during the ceremony.<br />

(l) UNIVERSITY AUTHORITY: Graduates must abide by the procdures and conditions<br />

stated above in order to be allowed to participate in the convocation ceremony.<br />

(m) No representative is allowed to represent or replace the graduates during the<br />

conferral of <strong>UTM</strong> Degree/Diploma<br />

A. PROCEDURES AND PAYMENT FOR GRADUATION<br />

1. Application for the convocation ceremony must be done using the Confirmation of<br />

Convocation Attendance Form [<strong>UTM</strong>.E/7-2 (Amendment 2010) as well as enclosing the<br />

Bank-in Slip. The information must be given to the Registrar’s Office (Academic<br />

Management Division), <strong>Universiti</strong> <strong>Teknologi</strong> <strong>Malaysia</strong>, 81310 <strong>UTM</strong> Johor Bahru, Johor.<br />

2. Amount of payment for the convocation is as stated in the graduate’s invitation letter.<br />

3. Graduates who are not participating in the convocation ceremony will have to pay the<br />

same amount as the other graduating students who will be recieving their degree/diploma as<br />

stated in the graduate’s invitation letter.<br />

4. Payment for the convocation can be paid at any CIMB BANK branch using the enclosed bank-in<br />

slip.<br />

5. Graduates are required to hand in the following information to the Registrar’s Office<br />

(Academic Management Division), Graduation Sub-Committee no later than the date<br />

stated in the graduate’s invitation letter:<br />

(a) Confirmation of Convocation Attendance Form [ <strong>UTM</strong>.E/7-2 (Amendment 2010) ]<br />

(b) Copy of the Bank Slip – blue @ <strong>UTM</strong>’s copy<br />

(c) Copy of the Verification slip for the Research on Tracing Graduates of IPTA<br />

B. DRESS CODE<br />

1. Dress Code and Appearance for Male Graduates<br />

(a) Graduates must wear black/dark blue Lounge Suit with a neck tie or a black/dark<br />

blue traditional Malay Costume as well as a black ‘sampin’, black shoe and s socks.<br />

(b) The definition of a Lounge Suit is a black/dark blue black blazer/coat and black/dark<br />

blue trouser, white or light colour long sleeve shirt, black or dark tie, socks and<br />

black shoes.<br />

(c) Diploma graduates must wear a black ‘songkok’ with the Lounge Suit or the<br />

Traditional Malay Costume (‘Baju Melayu’).<br />

(d) Male Sikh graduates are allowed to wear black turban only.<br />

(e) <strong>UTM</strong> Academic Gown and Bonnet/Mortarboard are provided by the university.<br />

(f) Graduates are not allowed the following:<br />

i) Wear a Bow Tie<br />

ii) Wear ear studs and bracelet<br />

iii) Colour their hair<br />

iv) Have long hair (reaching the shirt collar)<br />

v) Wear sandle or sports shoes<br />

(g) You are required to wear clean black shoes appropriate for a formal ceremony.<br />

2. Dress Code and Appearance for Female Graduates<br />

(a) Female graduates must wear the BAJU KURUNG or A LONG DRESS (MAXI) OF ANY<br />

COLOUR. The length of the skirt/dress should reach the ankle and do not have any<br />

slits on the left, right, back or front of dress. The dress must cover the body and<br />

reach the neck as well as having long sleeves reaching the wrists. Dresses made<br />

from transparent materials are not allowed. (Pants are strictly not allowed).<br />

Graduates who do not follow these instructions will not be allowed to participate in<br />

the ceremony.<br />

(b) Female graduates must wear appropriate shoes covering toes and heels (covered<br />

shoes) whereas slippers or sandals are strictly prohibited.<br />

(d) <strong>UTM</strong> Academic Gown and Bonnet/Mortarboard are provided by the university.<br />

d) Graduates are not allowed to :<br />

i) Colour their hair<br />

ii) Wear clothings that cover their faces<br />

iii) Wear the following colours -<br />

� Royal Blue<br />

5. Hire of Convocation Dress<br />

(a) A copy of Bank-in slip/receipt of payment/verified payment slip must be presented during<br />

the collection of the convocation dress.<br />

(b) Graduates are required to collect and return the convocation dress early according to the<br />

schedule for collections and returns as given in Table II.<br />

(c) Graduates may ask a representative to collect and return the convocation dress using the<br />

provision letter Form K3 (Amendment 2010). The form must be brought by the<br />

representative with a copy of the graduate’s invitation letter and a copy of the bankin<br />

slip during collection of the convocation dress.<br />

(d) However, the representative is only allowed to collect two (2) sets of convocation<br />

dress (inclusive of his/her own convocation dress) at any one time.<br />

6. Duration of Hire of Covocation Dress<br />

(a) The Convocation Dress must be returned after the convocation ceremony or within<br />

five days after receiving the award.<br />

7. Penalty for Late Returns of Convocation Dress<br />

(a) A penalty of RM2.00 (Ringgit <strong>Malaysia</strong>: RM2.00) per day will be imposed based on<br />

the number of working days if graduates fail to return the dress within the given time.<br />

The charges will be based on the total number of days until the convocation dress is<br />

returned. If payment is not received by the university, the degree/diploma of the<br />

graduate will be withheld until the payment has been made. Please ensure that<br />

collections and returns of convocation dress should be accompanied by the<br />

respective receipts.<br />

8. Alterations/Loss/Damage to the Convocation Dress<br />

(a) Graduates are not allowed to make any alterations (i.e. sewing the sleeves or length of<br />

the dress) on any of the convocation dress. A fine will be imposed for any alterations<br />

made without the university’s permission.<br />

(b) The minimum charge on any alterations made to the convocation dress is RM50.00.<br />

Higher charges will be imposed depending on the extent of the alterations and<br />

damages. Graduates will be required to settle all outstanding bills before collecting their<br />

degree/diploma.<br />

(c) Damages or loss of the Convocation Dress will incur the following costs:<br />

C. PARENTS/GUESTS & INVITATION CARDS<br />

1. Each graduate will be be given two invitation cards for two parents/guests. The cards are<br />

enclosed.<br />

2. Parents/guests are required to be seated in the hall before 7.30 am (morning session) and<br />

1.45 pm. (afternoon session).<br />

3. Parents/guests are advised to have their breakfast or lunch as well as perform their solat<br />

before participating in at the ceremony. It is anticipated that the ceremony will take a long<br />

time.<br />

4. Parents/guests are required to dress formally according to the following:<br />

(a) Male Guests Dress Code<br />

i) National or<br />

ii) Batik or<br />

iii) Lounge Suit or<br />

iv) Appropriate Formal Dressing (jeans and t-shirts are not allowed)<br />

(b) Female Guests Dress Code<br />

i) National or<br />

ii) Formal dress or suitable dresses (gowns or dresses that are above the knee - short<br />

skirt, sleeveless blouse, t-shirt or trousers are strictly not allowed)<br />

5. During the convocation ceremony, parents/guests are requested to behave themselves and not<br />

make any noise. Parents/guests are also reminded not to leave the hall during the<br />

convocation ceremony.<br />

6. Parents/guests without the invitation cards will not be allowed to enter the hall.<br />

7. Guests under the ages of twelve will not be allowed to enter the hall.<br />

D. RESEARCH ON TRACING GRADUATES OF IPTA<br />

1. The Ministry of Higher Education is conducting a research on tracing IPTA/IPTS graduates as<br />

one of the efforts to maintain high quality in terms of servces and the system of higher<br />

education in the country. Thus, graduates are requested to fill the online survey available<br />

at http://graduat.mohe.gov.my<br />

2. Graduates who have participated in the survey are required to print the confirmation of<br />

participation as well as bring the confirmation of convocation attendance and a copy of<br />

the bank-in slips and send them to the Registrar’s Office (Academic Management<br />

Division).<br />

3. Graduates who are not participating in the convocation ceremony must post their<br />

confirmation of convocation attendance slip with the Form K2 (Amendment 2010) if you require<br />

that the degree/diploma be sent to you by post. If a representative has been assigned to collect<br />

the degree/diploma on the graduate’s’ behalf, the confirmation of convocation attendance slip<br />

must be presented at the time of collection.<br />

4. The graduate’s degree/diploma will be withheld if the graduate has not completed the<br />

online survey.<br />

5. The online survey system will be made available four weeks before the date of the<br />

convocation and will be closed after one week from the date of the convocation.<br />

E. GRADUATE’S TRANSPORTATION<br />

1. Each graduate will be given one (1) car sticker.<br />

2. The sticker must be exhibited on the front screen of the car during the Rehearsal ceremony<br />

and the Convocation. Only cars with stickers will be allowed into the campus.<br />

3. The vehicle will be parked at the area designated by the University. Please follow the<br />

instructions given by the University Authority.<br />

F. BOOKINGS OF CONVOCATION PHOTOGRAPHS<br />

1. The university provides photography facilities for graduates during the convocation ceremony in<br />

the Dewan Sultan Iskandar.<br />

2. Bookings of the photographs can be made after the rehearsal session.<br />

3. For further information, please contact the <strong>UTM</strong> PhotoCreative Club at 017-7628280 or<br />

Students’ Affairs Office (Students’ Development and Activity Unit) at 07-5530251.<br />

4. Graduates, parents/guests are not allowed to take photographs during the convocation<br />

ceremony. Graduates are reminded to inform their parents/guests about this restriction.<br />

1. Collection of Degree/Diploma<br />

G. COLLECTION OF DEGREE/DIPLOMA<br />

(a) Graduates will be given information about the collection of degree/diploma before<br />

the procession into the hall.<br />

(b) Collecting the degree/diploma personally at the counter will require the following:<br />

i) Have returned the Convocation Dress<br />

ii) Have the Confirmation of participation slip of the online tracer survey (if<br />

required)<br />

iii) Bring Identity Card/MyKad/Passport/Matric Card<br />

(without Identity Card/MyKad/Passport/Matric Card: degree/diploma will not be<br />

given to the graduates)<br />

iv) Hand in the return of convocation dress receipt<br />

v) Hand in the bank-in slip (upon request)<br />

(c) Consent for a representative to collect the degree/diploma at the counter. Please do<br />

the following:<br />

i) Fill in the permission form for a representative on behalf of the graduate to<br />

collect the diploma/degree Form K1 (Amendment 2009)<br />

ii) Enclose a copy of the Identity Card/MyKad/Passport/Matric Card<br />

iii) Hand in a copy of Identity Card/MyKad/Passport of the representative<br />

iv) Hand in the return of convocation dress receipt<br />

iv) Hand in confirmation of participationslip of the online tracer survey (if<br />

required)<br />

v) Hand in the bank-in slip (upon request)<br />

** Note: If the Form K1 (Amendment 2010) and copies of Identity Card/ Passport<br />

and Confirmation slip of the online tracer survey are not handed in, the<br />

diploma/degree will not be given to the representative.<br />

(d) Degree/Diploma will only be posted after you have done the following:<br />

i) Fill the forms for requesting the posting of the Degree/Diploma - Form K2<br />

(Amendment 2010)<br />

ii) The forms must be sent to the Registrar’s Office (Academic Management<br />

Department), <strong>UTM</strong>, Skudai one week after the convocation ceremony.<br />

iii) For full-time graduates:<br />

- The cost of postage RM10.00 will be borne by the graduate. You will have<br />

to buy a postal order or money order to be made out to the ‘Bendahari<br />

<strong>UTM</strong>’.<br />

- Return Form K2 (Amendment 2009) to the Registrar’s Ofiice (Academic<br />

Management Department) <strong>UTM</strong>, Skudai.<br />

iv) For part-time graduates (<strong>UTM</strong>SPACE):<br />

- The cost of postage RM10.00 will be borne by the graduate. You will have<br />

to buy a postal order or money order to be made out to the ‘SPACE <strong>UTM</strong>’.<br />

- Return Form K2 (Amendment 2010) to the SPACE Ofiice, Skudai.<br />

v) Hand in the Confirmation of participation slip of the online tracer survey<br />

(e) As stated in the invitation letter, graduates who are not participating in at the<br />

convocation ceremony will be required to pay the convocation fees like all the other<br />

graduates who will be conferred their degree/diploma at the ceremony.<br />

(f) Uncollected degree/diploma will be kept by the university. However, the university will<br />

not be held responsible for any loss or damage to the degree/diploma.<br />

2. Wihtheld Degree/Diploma<br />

Degree/Diploma will not be given to you if you have not done the following:<br />

(a) Have not paid the convocation fees; or<br />

(b) Have not returned the convocation dress; or<br />

(c) Have not paid the tuition fees or arrears/fines to the university; or<br />

(d) Have not returned library books; or<br />

(e) Have not returned equipment or items belonging to any of the departments in<br />

university; or<br />

(f) Have not completed the online tracing survey of IPTA graduates.<br />

If bank-in or return of items has been made, please bring the clearance letter from the<br />

related Unit/Department as evidence.<br />
