A lot of our events, like Driver Education, take several months to plan. There are many issues to consider. One big one is the event schedule—we have a joint board meeting with AMR in late October to lay out the next year’s schedule. Some dates are pretty well fixed; for example, HPR is such a popular track that we have already had to commit to our dates for next year. Then around that we have to schedule tours, autocrosses, concours, socials, and any other event the members would like to have. We work with AMR to avoid conflicts—we don’t want to have an autocross the same day the AMR is having one. Likewise, we try to avoid tours and track events the same weekend. However, even with the best of intentions, it doesn’t always work out. Then there are the financials to consider, the goal being to break even for all events collectively at the end of the year. There are relatively fixed costs associated with events, such as facility rental and ambulance costs for DE’s, that are pretty well defined. There are other optional expenses like giveaways, water, beer, soda, etc. We all like these things, but the costs have to be covered. Many of the event chairs seek sponsors to pay for the extras. In fact, without our sponsors, our events would cost a lot more. So when you patronize one of our sponsors, thank them for their support. Other regions charge up to $400 a weekend, or $250 per day and an extra $30 for timed runs. Our costs have increased in the past few years—track and venue rental has gone up, and we are adding more amenities to make events more enjoyable. For example, we now pay corner workers at HPR. This helps keep events on time, and we don’t have a corner worker chair going through the pits begging for corner workers. Now that we have scheduled the events, we need to get someone to run them. The Second Vice President is responsible for recruiting event chairs. Our goal is to have a different chair for each event; that way, a member only has to do it once a year. For most events, we try to get two co-chairs to share the load and to pair an experienced chair with a first-timer. We also conduct event chair training in January to go over the procedures for running events. We have an excellent training manual for event chairs. So no excuses—raise your hand and volunteer to help! No experience necessary. Speaking of events, the final event of the year is upon us. That’s right. It is time for the annual holiday party.
