Meet<strong>in</strong>g at 36 Aust<strong>in</strong> Street, Newstead, on Wednesday, 5 February, 2003<br />

MEETING OPENED: 6.30pm<br />
MINUTES OF LAST MEETING:<br />
M<strong>in</strong>utes of the last meet<strong>in</strong>g 30 December 2002 had been distributed and were taken as read.<br />

BUSINESS ARISING FROM MINUTES:<br />
Re Insurance – see below under F<strong>in</strong>ance<br />

Account from Cor Frederiksen received aga<strong>in</strong>.<br />
FINANCE:<br />
Elna distributed Profit & Loss July 2002 to Jan 2003, Balance Sheet at December 2002, and accounts<br />
1.7.02 to 2.2.03. Detail of the Scand<strong>in</strong>avian Ball was also distributed. This showed $24433 Income and<br />
$28113 Expenses.<br />
Discussion re the Bar Float, etc. Outcome was a $200 float <strong>in</strong> the Bar. Arild had previously returned the<br />
$500 that had previously been held as a cash imprest system by the person handl<strong>in</strong>g the bar purchases.<br />
Arild raised questions re apparent disappearance of some liquors, e.g. Tequila and Rum. Ole proposed<br />
new locks and limited distribution of keys – President and Bar Manager. Also a regular stocktake each<br />
two months, and a Profit and Loss statement. Try to get rid of the more esoteric dr<strong>in</strong>ks and then stock just<br />
the basic most requested dr<strong>in</strong>ks. All this was seconded by Joan Christensen. Ulla will buy a new barrel<br />
and keys, and whatever is needed for the other cupboards, etc., and someone will <strong>in</strong>stall this at Fastelavn.<br />
Agreed.<br />
Ole Andersen moved that the cheques listed on folios 80 and 81 (see attached) be ratified by the<br />
committee. Seconded Elna Jensen. Agreed<br />
Ulla’s Café took $507, Lolly Shop $162 on 31.1.03.<br />
Re Advertis<strong>in</strong>g – Ulla noted that Palle Sorensen, and Jorgen de Voss were both cancell<strong>in</strong>g their Ads. She<br />
also noted a number of advertisers who were await<strong>in</strong>g their accounts before pay<strong>in</strong>g. Elna has noted these<br />
and will send accounts.<br />
Ole reported re Insurance. $4600 quote just for Public Liability from the Government-sponsored<br />
Company. Public Liability $5m. plus Build<strong>in</strong>gs, plus Stock, etc. $3309. Direct Insurance Brokers. No<br />
Burglary <strong>in</strong>surance, no mach<strong>in</strong>ery breakdown, no glass. Discussed by the Committee. Covers Fire,<br />
Storm, Tempest but not Flood<strong>in</strong>g. Ole Andersen moved this be accepted and paid. Arild Nielsen<br />
seconded. Agreed. Decided to f<strong>in</strong>alize this and then check cost if raised Public Liability to $10m.<br />
Ulla distributed emails from the Aussie Music <strong>Club</strong> re possible use of the Hall. This will probably be 3 x<br />
Fridays and Saturdays, 4 Sunday afternoons. <strong>The</strong>y will hold a Cabaret once a month. <strong>The</strong>y will also<br />
supply free of charge musicians for four of our functions each year. It’s a nonprofit <strong>Club</strong>. <strong>The</strong>y will have<br />
associate membership similar to that of the Swiss <strong>Club</strong>. Folk dancers will move to Monday & Tuesday.<br />
Aussie Music <strong>Club</strong> will start from Friday 14 March 2003. Ulla will negotiate with Aussie Music <strong>Club</strong><br />
(Warren Trout) to accommodate any Saturdays/Sundays already committed to the Swiss <strong>Club</strong>.<br />
