Dear parents and caregivers<br />

Our thoughts are very much with the people of Christchurch as they<br />

come to terms with the earthquake which has caused so much tragedy<br />

and destruction.<br />

A key question we are asking to students at the moment is Who is in<br />

control of your remote? Proactive people recognise that they can’t<br />

control everything that happens to them, but they can control what they<br />

do about it. They take charge of their lives, know that they are<br />

responsible for their own actions and think before they act. They keep<br />

the ‘remote control’ of their lives in their own hands.<br />

Reactive people on the other hand, often act on impulse. If life shakes<br />

them up a bit, or they don’t like what another person does, they react<br />

without stopping to think of the consequences. When they react, it’s like<br />

allowing another person to take charge of their remote control, allowing<br />

someone else to push their buttons.<br />

In River time, we are asking students to reflect on their learning goals<br />

and be proactive in terms of working toward them. Setting goals is the<br />

easy bit, the hard bit is making the choices every day to achieve them.<br />

Success comes in small steps and so does failure. Failure is not a single<br />

event; we usually don’t fail overnight or on a single test day. For much of<br />

the time, not succeeding is nothing more than a few poor choices<br />

repeated every day.<br />

Why would we do this, repeat the same poor choices every day?<br />

Because we don’t think it matters. One more TV programme, a couple of<br />

hours on Facebook, skipping homework – these don’t usually result in an<br />

instant and measurable impact. More often than not, there are few<br />

immediate consequences so we repeat our poor choices every day, week<br />

after week, month after month. Before long the day of reckoning comes<br />

and the prices must be paid for those poor daily choices.<br />

Proactive people take small steps every day towards achieving what they<br />

have set out to do. They firmly keep the remote control of their lives in<br />

our own hands.<br />

This year, a group of year 13 students will be<br />

giving up one or two of their studies a week<br />

to help out in junior classes. This<br />

programme aims to offer support to<br />

students and give extra help in the<br />

classroom.<br />

This programme will hopefully start in the<br />

next fortnight.<br />

Motivating Learning within our school<br />

(from the Academic Leaders)<br />

This year we have further developed the 2:12<br />

award. The 2:12 award used to recognise the<br />

best work, but now has been modified to<br />

recognise the students that make a continuous<br />

outstanding effort or improvement, to produce<br />

the best work that they can. The 2:12 award<br />

now recognises students of all ages and abilities<br />

and not necessarily those who are the most<br />

academic. Teachers award the student(s) they<br />

think have made the most outstanding effort or<br />

improvement with a slip and this student goes<br />

to Mrs Harris’s office at 2:12pm during their<br />

lunch break, with their work to receive a small<br />

reward (cookie or pen). Before every assembly,<br />

all 212 awards nominations will be considered<br />

by Mrs Harris and the Academic leadership<br />

team, who will choose the most outstanding.<br />

This student will receive the new Best Work<br />

badge and will be put in a draw to win a laptop.<br />

All other nominees will receive a certificate.<br />

The laptop prize will be drawn at the end of the<br />

year and is completely random as to who<br />

receives it. The most outstanding student from<br />

the whole year will receive a trophy at prize<br />

giving.<br />

O.P.C. (Outdoor Pursuits Centre) Applications<br />

On Tuesday the applications to attend both the Year 12 OPC camp at Tongariro (60 places) and<br />

the Year 13 OPC camp at Great Barrier Island (30 places) were made available.<br />

The applications close for both camps on Friday the 4th March. Make sure the HPC Consent,<br />

Method of Payment, OPC Medical and Consent forms are fully completed and handed in with the<br />

deposit.<br />

This year because the Gear Hire is now incorporated into the cost and the increased cost of travel<br />

the cost of the Year 12 OPC Experience is $540. The cost to attend the Year 13 camp is $652.<br />

Mrs Uerata has been working very hard in The<br />

Hub covering all the new books, the smiles<br />

from the kids when these books go on the<br />

shelves is second to none.<br />

The chess tournament is well under way for<br />

this term and with 32 players we have a few<br />

games to get through for the 1st round. Lovely<br />

to see the Year 9’s competing and some even<br />

teaching themselves through books so they<br />

can join. I hope to be hosting another<br />

tournament inviting outside schools to<br />

compete with Chess Kids some time in the<br />

near future.<br />

The Hub as per usual is buzzing at lunchtimes<br />

even though the heat has been extreme at<br />

times. It doesn’t seem to worry the kids<br />

“chilling out”, mingling and meeting new<br />

people.<br />

I have also managed to grab a deal on a new<br />

set of World Books (encyclopaedias) for half<br />

price. Ours are well used and eight years old,<br />

the good news is that we get to donate the old<br />

set to Hockey for their book fair to sell, so a<br />

win-win situation which is always a good<br />

thing.<br />

Please remember we are always looking for<br />

old newspaper and magazines for all<br />

departments at school, we never seem to<br />

have enough, our arms are always open for<br />

these.<br />

NCEA Endorsement Recognition Evening<br />

An evening to recognise those students who have achieved<br />

NCEA with Merit or Excellence will be held on Tuesday 1<br />

March 7pm in the college hall. To achieve an endorsement<br />

takes a lot of hard work and deserves this recognition.<br />

Parent / Caregiver Involvement<br />

It was great to see so many parents at our Year 9 evening. We have a number of further events<br />

happening this term which parents are welcome to attend.<br />

An NCEA Information evening for Year 11 parents will be held on Tuesday 15 March . This will provide<br />

an opportunity for parents to learn more about how NCEA works, ask questions in an informal forum<br />

and also learn some helpful tips in terms of how to best help your child with NCEA ahead.<br />

Parent Council is on the term calendar for Monday 28 March at 7pm in the Hub. This is an informal<br />

opportunity for parents to ask questions, bring concerns, suggest ideas or give feedback regarding any<br />

school matter. Please don’t think that because you attend you will be given a job to do! The forum is<br />

simply to give an opportunity for parents and caregivers to meet with Senior Management and a BOT<br />

member so that parents feel informed and listened to.<br />

Sports Council operates to enable a consistent approach for the numerous sporting codes represented<br />

at HPC. If you are interested in being involved in a sporting code or for more information email Bill<br />

Cooksley, Sports Co-ordinator (sport@haurakiplains.school.nz)<br />

Athletic finals are happening on the college fields on Wednesday 2 march. If your child says parents<br />

don’t come to watch, don’t believe them! Was wonderful to see so many parents pop along to the<br />

recent swimming sports and athletic prelims. Athletics is always a colourful event so would be great to<br />

see parents along.<br />

full-swing, offering our students a FREE , and<br />

CONFIDENTIAL health service.<br />

Attendance Information<br />

Expected Absences – Students throughout the<br />

course of the upcoming year will be repeatedly<br />

encouraged to be proactive about their absences.<br />

This is in keeping with the key competency of<br />

managing self and also serves as a means of<br />

preparing themselves for life after school. If a<br />

student has prior knowledge of an impending<br />

absence (i.e. for a specialist appointment or a<br />

specific family commitment) they are expected to<br />

forewarn the school of the day(s) that they will be<br />

absent for. In the case of ill health or a recent<br />

development that requires a student to be absent<br />

then it is expected that the school is notified at<br />

the earliest practicable time.<br />

Legitimate Absences – The start of the year is a<br />

timely occasion to remind all that it is the Ministry<br />

of Education not the school that deems certain<br />

absences as “explained but unjustified”.<br />

Legitimate reasons for student absenteeism<br />

include the following situations: reasons of poor<br />

health, attending out of school exams,<br />

doctors/dentists appointments, to attend court,<br />

bereavement leave or in cases of exceptional<br />

family circumstances. Any other absences (e.g. a<br />

holiday, working, missed transport, etc) are<br />

deemed as unjustified. In some cases the<br />

Principal of a school may grant discretionary leave<br />

for things such as overseas trip or representative<br />

sporting commitments, but any such applications<br />

should be made in writing to Mrs Harris.<br />

Work Commitments – Many school students have<br />

part time jobs and balancing the commitments of<br />

work, school and a social life can be a tricky task.<br />

Parents & employers are reminded that work<br />

obligations are not permitted to interfere with<br />

their school commitments; this means that they<br />

are not permitted to absent themselves from<br />

school for the purpose of travelling to work and<br />

that being in paid employment during normal<br />

school hours is actually illegal and carries a<br />

substantial fine. HPC operates an extensive<br />

Gateway work experience programme & this is the<br />

only legitimate means for a student to be at work<br />

during the school day. Should you wish to<br />

discuss/arrange work experience for your student<br />

please contact Mr Keith in the careers centre.<br />

Not Required to Attend School<br />

This is a common reason that is given by<br />

students when they have been absent from<br />

school, particularly when there is an activity<br />

such as a camp or a sports event on. It is very<br />

rare for students to be “not required to be at<br />

school”; exam leave and teacher only days are<br />

two of the few examples of this. When this<br />

situation does occur, families will receive ample<br />

notification via newsletters and notices home<br />

and the school encourages parents/caregivers to<br />

contact the school should they have any queries<br />

pertaining to such a situation. With Athletics<br />

days coming up in Term 1, please note that even<br />

if your child is not involved they are still required<br />

to attend school on these days.<br />

concerns or queries pertaining to their child they<br />

should contact the relevant Dean or Mr Rob<br />

Jolly, Deputy Principal.<br />

Contact Details:<br />

A new school year has seen many of the same<br />

old issues around contacting home still in place.<br />

The <strong>College</strong> generally seeks to contact a parent<br />

or caregiver for reasons of student well being,<br />

absences/attendance or to pass on information<br />

about special school events. This is becoming<br />

increasingly more difficult with the large number<br />

of out of date/disconnected phone numbers and<br />

a lack of cell alterative contact details. Parents<br />

& Caregivers are again urged to keep the school<br />

informed of any changes in their contact details,<br />

in particular phone numbers. This will become<br />

even more important as later this term the<br />

school begins to use the School-Links early<br />

notification and message system. This will allow<br />

the <strong>College</strong> & caregivers to communicate with<br />

regards to student absences, but will also be an<br />

effective means of communicating important<br />

school notices and information.<br />

The Attendance Officer, who regularly contacts<br />

caregivers, has been asked to record the names<br />

of students for whom there are no valid contact<br />

details. These students will be issued a contact<br />

details form to take home & update with one<br />

school week.<br />

Changes to the Consequence System:<br />

The HAURAKI WAY sets out our expectations for student conduct. We encourage students<br />

to take responsibility for their behaviour and to understand that choices have consequences.<br />

Late in 2010 a review of the consequence system at the time was conducted. This involved<br />

taking note of concerns that both staff & students had around the old system. The challenge<br />

lay in devising a system that:<br />

is a deterrent to unacceptable behaviour,<br />

it just and fair,<br />

seeks to restore or maintain positive student/teacher relationships,<br />

doesn’t cause student resentment or disengagement.<br />

The end result led to the refinement of the existing system, the rebranding of several<br />

consequences, amending what students were doing during their time in consequences, and<br />

most importantly a drive to see staff manage low level poor behaviour in class through a<br />

restorative process involving mini-chats and a behaviour contract. The following table<br />

breaks down the type of consequence that a student may incur and why, then when it will<br />

be held and what they will be doing during their time in that consequence.<br />

On the topic of consequences; a reminder that the <strong>College</strong> will be continuing with the<br />

practice of contacting the parents/caregivers of students if they are withdrawal from class.<br />

Students are most commonly removed from a class for incidents of continual low level<br />

misbehaviour, on-going unacceptable behaviour, defiance or safety concerns. The phone<br />

call that a parent/caregiver receives serves as a way of advising home of issues at school, the<br />

student centre staff who make this call have little information to hand other than the<br />

withdrawal form. If further clarification is sought then contact should be made with a<br />

student’s Dean the following day. This allows the Dean the opportunity to investigate the<br />

decision to withdrawal a student from class and allows caregivers the opportunity to discuss<br />

the incident with their child.<br />

You may (or may not) have heard that I will be finishing my<br />

job as the Sport and Recreation Coordinator at HPC on the<br />

4th March of this year. I would just like to take this<br />

opportunity to personally thank ALL of those staff members,<br />

parents, caregivers and community volunteers who have<br />

made my job that much easier over the past 4 years. To take<br />

part in sport is in every kiwi kids blood, however the<br />

opportunity for the students to take part is due in large to the<br />

commitment of the adult population to stick their hand up<br />

and say ‘yep – I’ll coach or manage that team, or wash that kit<br />

or do the scorebook or umpire or ref’.<br />

It has been said before – but it needs to keep being said –<br />

sport just wouldn’t happen without volunteers. My request to<br />

you is to just keep doing what you are doing so that our<br />

young people can thrive in the sporting world.<br />

I’m sure that the new Sport and Recreation Coordinator will<br />

get the same level of support that I have had from the HPC<br />

‘family’. After all – excellence is out tradition. Thank you.<br />

At this time of year there are a lot of winter sports codes and<br />

teams looking to start their pre-season trainings, trials and<br />

musters. Whilst the actions of coaches and trainers to get<br />

their teams physically ready for the demands of the particular<br />

winter sport should be commended – it must be remembered<br />

that if a student has a commitment to a summer sport then<br />

this takes precedence over any winter sport trials, trainings<br />

and meetings. Should a student need to be in 2 places at once<br />

then they are to go to the summer sport first and then catch<br />

up with the staff member concerned with regards to the<br />

winter sport. If any students are unsure of who this is then<br />

there is a list of the Teacher’s in Charge on the sports<br />

noticeboard. A list is also printed in this newsletter for staff.<br />

HPC Swimming Champs<br />

Another beautifully fine day on the <strong>Hauraki</strong> <strong>Plains</strong> greeted the<br />

whole junior school as well as those keen seniors for the<br />

annual HPC Swimming Champs on Tuesday 8th February. It<br />

was great to see the increase in students entering the<br />

championship events which makes for some great racing as<br />

well as Hapu rivalry. Congratulations to all who took part –<br />

particularly to those students who aren’t that keen on<br />

swimming but still managed to get at least a point for your<br />

HAPU through participation – well done.<br />

Congratulations to all of our<br />

champions.<br />

With regards to the HAPU points for the HW Hayward<br />

Cup, Tikapa – through greater participation numbers and<br />

some great relay swimming – managed to retain the cup<br />

with a total of 695 points, Ohinemuri accumulated 617<br />

points, Waihou were third on 393 and<br />

Piako fourth with 388 points.<br />

Recent Achievements<br />

Shooting<br />

Gavin Wenham has continued his success from 2010<br />

into this year with more success at the Thames Club<br />

Championships and the North Island DTL Club<br />

Championships.<br />

At the Thames Club Champs he gained the High<br />

Overall in the Ball Trap. At the North Island DTL<br />

Champs he was the High Overall Junior in the Triples<br />

as well as the High Overall Junior over the 2 days.<br />

He was also selected for the North Island Junior<br />

Team for the North / South match that will take<br />

place at the nationals in March.<br />

Hockey Representatives<br />

Congratulations to Zoe Summers, Danielle Bath and<br />

Kayla Povey for their selection for the Midlands U15<br />

summer camp squad. As a result they played in a<br />

curtain raiser to the Blacksticks game that was<br />

played in Hamilton on the 18th February. – well<br />

done girls.<br />

Triathlon<br />

Sophie Pulford has shown her emerging talent<br />

at the recent Contact Triathlon series in<br />

Taupo. Competing in the womens 3:9:3 race<br />

(300 metre swim, 9k bike and 3 k run) she<br />

outclassed the opposition to win by over a<br />

minute in a time of 34 mins 21 seconds.<br />

Sophie also recently competed in the ‘Bev<br />

May 2 day Cycle Race in Morrinsville and won<br />

the U15 grade by 46 seconds.<br />

Volleyball<br />

Lunchtime volleyball is operating every<br />

Tuesday and Thursday in the school gym for<br />

the remainder of this term. Any students<br />

wanting to take part just turn up – you must<br />

be wearing PE gear though.<br />

Cricket<br />

Congratulations to the Junior Boys team who have<br />

progressed to the next round of the NZCT NZ<br />

Secondary Schools Junior Boys T20 competition<br />

after defeating Te Aroha last Monday (21st<br />

February). Chasing a good score of 123 set by Te<br />

Aroha, Craig Richards and Richard Tucker set the<br />

platform with an opening stand of 89 – Craig<br />

eventually going out for 39. Richard then<br />

continued to anchor the innings and, with good<br />

support from Maddy Aislabie, hit the winning run<br />

to bring up his50 not out.<br />

Well done boys – a great all round team effort<br />

from everyone involved.<br />

The Boys 1st XI had their first round of the Gillette<br />

cup on the 24th February but at the time of writing<br />

this article the game has not been played. The girls<br />

play their first round in Te Aroha on the 28th<br />

February.<br />

All 3 teams have started their respective ‘league’<br />

competitions with the boys 1st XI notching up a<br />

couple of good wins. In the first week they<br />

defeated Thames to win back the Sheppard Trophy<br />

- Nathan Kane scoring 68 not out. He then<br />

continued this form into the next week scoring a<br />

century and was ably assisted by Thomas Prescott<br />

(76) and Jordan Walker (39). Well done boys and<br />

here’s hoping this form continues for the rest of<br />

this term.<br />

Ngatea Adult Social Badminton<br />

Starts Tuesday 1 March 7 – 9pm in the <strong>Hauraki</strong><br />

<strong>Plains</strong> <strong>College</strong> Gymnasium. Everyone welcome.<br />

Tennis Coaching<br />

Tennis coaching, Wednesdays 5:30pm-6:30pm, for<br />

6 weeks. All lessons are taken by a qualified tennis<br />

coach, Shannon Paki. Approx. $5 pp each week. All<br />

Rugby <strong>Newsletter</strong><br />

The rugby season of 2011 is nearly hear. We have<br />

just had our muster and the numbers are looking<br />

good. It is looking likely that we may field five<br />

teams again this year. All players must register<br />

with the Thames Valley and NZRU to play. Players<br />

will be selected for teams once the coaches have<br />

been decided and players are sorted. Good Luck<br />

to all those playing.<br />

Fees:<br />

The rugby fees for this season are set at $75.00.<br />

Players can organise to pay this to the office once<br />

the teams are announced. If this is a problem,<br />

please contact the teacher in charge, Matua<br />

Anderson. All fees are due to be paid by the 17th<br />

May.<br />

Rugby Meeting:<br />

If you are interested in coaching a 4th Grade or<br />

Development squad this year we have a meeting<br />

on the Wednesday 2nd March at <strong>Hauraki</strong> <strong>Plains</strong><br />

<strong>College</strong>. This will be held a 7pm in the HUB. We<br />

are possibly looking at two 4th Grade and two<br />

Development squads. Look forward to seeing you<br />

there.<br />

Fun Run:<br />

Good luck to the Gold Coast touring squad who<br />

are running around the bays in Auckland on the<br />

We will be hosting the Targa Rally for their lunch break from 11:25 am until 2:30 pm on Sunday 13<br />

March 2011.<br />

Come along and see the cars and enjoy the atmosphere of the Targa Rally. Great fun for the whole<br />

family. They will be displayed on the fields off the Hayward Road entrance. Please do not bring<br />

private cars onto the school grounds.<br />

The First XV Australian Tour Group will be catering for the drivers and intend to have other food<br />

available for sale on the day, they would appreciate any support you can give.<br />

I have posted off 27 entries to the Western<br />

Heights Tournament for Friday April 8th which<br />

is absolutely awesome, so our whole team will<br />

be competing for <strong>Hauraki</strong> <strong>Plains</strong> <strong>College</strong>. The<br />

Broxy training camp will be happening in March<br />

over 2 days in preparation for Western Heights<br />

and our MX Tournament to be held on Friday<br />

May 6th. Our MX tournament to be held at<br />

Patetonga is causing huge excitement amongst<br />

the schools and entries are already flowing in. If<br />

you know any students who ride and would like<br />

to compete for their school they can download<br />

all the information from www.silverbullet.co.nz<br />

under <strong>Hauraki</strong> <strong>Plains</strong> <strong>College</strong> MX Event.<br />

We are able to purchase most of our tools for<br />

the MX trailer thanks to Southern Trust giving<br />

us $2000, so the trailer will be fully equipped to<br />

look after any bikes that need maintenance on<br />

the day! Michael Pou has been busy working on<br />

the trailer which looks to be finished hopefully<br />

next month.<br />

I am sure the kids realise now after doing the<br />

Valley Champs that the Marshalls job is<br />

extremely important and is the lifeline to the<br />

riders if they fall – good job done by all and as<br />

in most sports codes fundraising is necessary<br />

whether we like it or not. We are extremely<br />

lucky to have this fundraising opportunity.<br />

TIC Cycling<br />

The team and their supporters have also been<br />

busy throughout the Xmas holidays and<br />

February doing marshalling at the Patetonga<br />

MX Club which has certainly helped out the<br />

team. I’d like to take this opportunity to thank<br />

everyone who have put their hands up,<br />

although not a very nice job, it is a great<br />

opportunity for the kids to watch and learn<br />

while doing the job of marshalling. Also a big<br />

thank you to the Year 12 & 13 Building team<br />

and Mr Carpenter who are going out to put up<br />

shelter at the track so our Marshalls won’t get<br />

burnt or wet for future engagements.<br />

COMPLAINTS AND CONCERNS GUIDELINES<br />

RATIONALE:<br />

In its role as a good employer, the Board of Trustees is required to ensure that a safe<br />

environment is provided through personnel practices which maintain proper<br />

standards of integrity and conduct (Good Employer Policy 1.2).<br />

PURPOSES:<br />

1. To ensure there are clear procedures which allow complaints and concerns to<br />

be resolved in a manner which is fair to all.<br />

GUIDELINES:<br />

1.1 All concerns, issues, complaints must be referred to and discussed in the first<br />

instance with the person concerned.<br />

1.2 The Principal will decide whether a complaint will be dealt with under the<br />

following procedure.<br />

Complaints of an Educational Nature - Appendix 1<br />

(ie student learning) teacher-learner relationships / teaching, school<br />

management<br />

Complaints of a Disciplinary Nature - Appendix 2<br />

(relating to breach of discipline by staff member or misconduct)<br />

1.3 Should the Principal feel any complaint is unresolved in Appendix 1, then the<br />

B.O.T. Chair will advise the employee either verbally or in writing. Should the<br />

matter concerned be serious enough to warrant a question of competency,<br />

then the STA Field Officer/Unions and Insurers must be contacted and the<br />

relevant procedures according to the employment agreements followed.<br />

1.4 Should the Principal / BOT feel any complaint is justified and warrants further<br />

action in Appendix 2, then the B.O.T. is to be advised as soon as possible.<br />

STA Field Officer/Unions must be contacted for advice and Insurers must be<br />

notified. Relevant procedures according to employment agreements followed.<br />

1.5 Complaints dealt with by the Principal (or his or her representative) will be<br />

recorded in a complaints file, stored securely in the Principal’s office.<br />

1.6 Complaints dealt with by the BOT will be documented in “In committee<br />

minutes” and kept in a BOT complaints file.<br />

This policy will be reviewed according to the BOT’s triennial programme<br />
