Number<strong>in</strong>g boxes<br />

Mark each box number 1-<strong>in</strong>ch-high to <strong>the</strong> left of <strong>the</strong> handhold.<br />

Number boxes <strong>in</strong> consecutive order. The box number may <strong>in</strong>clude an alpha code (such<br />

as AC for account<strong>in</strong>g) and does not have to start <strong>with</strong> "1," s<strong>in</strong>ce you may have<br />

previously sent boxes of <strong>the</strong> same records series to storage. For example, if you sent<br />

three boxes of vouchers to storage <strong>in</strong> September (numbered AC-1, AC-2, AC-3) and you<br />

are send<strong>in</strong>g two more boxes of vouchers to storage <strong>in</strong> October, you may want to<br />

number <strong>the</strong> boxes on <strong>the</strong> October transmittal as AC-4 and AC-5.<br />

Do not duplicate <strong>the</strong> same number on <strong>the</strong> same transmittal.<br />

Do not put <strong>the</strong> box numbers on lids.<br />

Stack<strong>in</strong>g boxes for pick-up<br />

Stack boxes six high or less to prevent crush<strong>in</strong>g of bottom boxes.<br />

Stack boxes <strong>in</strong> numerical order. Boxes must be stacked <strong>with</strong> <strong>the</strong> first or lowest number<br />

as <strong>the</strong> top box. This is required to reduce <strong>the</strong> number of times <strong>the</strong> boxes have to be<br />

lifted and moved <strong>in</strong> order to be accessioned <strong>in</strong>to storage.<br />

Keep boxes for each transmittal toge<strong>the</strong>r <strong>in</strong> one location.<br />

The agency contact person will be called to schedule <strong>the</strong> pick-up of conta<strong>in</strong>ers. Be sure<br />

<strong>the</strong> contact person is available at that time as unresolved questions will prevent <strong>the</strong><br />

conta<strong>in</strong>er from be<strong>in</strong>g picked-up.<br />

Verify<strong>in</strong>g contents of conta<strong>in</strong>ers for storage<br />

The identify<strong>in</strong>g <strong>in</strong>formation on <strong>the</strong> file folders for <strong>the</strong> first and last files <strong>in</strong> each<br />

conta<strong>in</strong>er must match <strong>the</strong> transmittal <strong>in</strong>formation.<br />

Box numbers must agree <strong>with</strong> <strong>the</strong> transmittal <strong>in</strong>formation.<br />

The first/last files and <strong>the</strong> box numbers will be checked by SRC staff as needed to<br />

ensure that <strong>the</strong> correct group of conta<strong>in</strong>ers is be<strong>in</strong>g picked up for storage and that <strong>the</strong><br />

records will be ma<strong>in</strong>ta<strong>in</strong>ed for <strong>the</strong> approved period of time before disposal.<br />

Agency staff must ma<strong>in</strong>ta<strong>in</strong> an itemized list of all <strong>the</strong> files <strong>in</strong> each conta<strong>in</strong>er. If you need<br />

to request <strong>the</strong> return of a file from storage, you must be able to identify <strong>the</strong> conta<strong>in</strong>er<br />

<strong>in</strong> which it is located.<br />
