order, contact the Alumni Center at (843) 953-7698. <strong>The</strong> Alumni<br />

Center will verify eligibility with the <strong>CGC</strong> office.<br />

Drop/Add and Withdrawals<br />

To drop or add a course from the schedule or to change sections<br />

within a course, a student must come to the <strong>CGC</strong> office and<br />

complete a “drop/add” form or drop/add through Lesesne<br />

Gateway. <strong>The</strong> deadline for changes is listed in the calendar for<br />

each semester. Formal notice of intent to drop or withdraw from<br />

any class is necessary in all cases. After the drop period, students<br />

who choose to withdraw must complete a withdrawal form<br />

available in the <strong>CGC</strong> office or online. <strong>The</strong> dates for dropping<br />

and withdrawing are listed in the term calendar at www.citadel.<br />

edu/graduatecollege. Course withdrawal means a student is<br />

withdrawing from a course after the refund date has passed.<br />

Refunds after the published refund date are granted only under<br />

extenuating circumstances (i.e. death in immediate family, serious<br />

medical issues, deployment.). A grade of “W” will appear on the<br />

student transcript. <strong>The</strong> “W” does not affect the student’s grade<br />

point ratio (GPR).<br />

To withdraw with the grade of “W,” the student must complete the<br />

course withdrawal form obtained from the <strong>CGC</strong> office or online<br />

and return the form to the <strong>CGC</strong> office. Students who do not<br />

follow this procedure will receive a failing grade in the course(s)<br />

which they cease to attend. Ceasing to attend a course does not<br />

constitute an official withdrawal from the course. <strong>The</strong> grade of<br />

“W” will be recorded if a student withdraws on or before the<br />

published deadline. Students should check the current calendar<br />

for the term found at www.citadel.edu/graduatecollege<br />

for deadlines.<br />

Fee Payment<br />

All fees are due and payable at the time of registration. If fees<br />

are not paid by the published date on the term calendar, prior<br />

to classes starting, the student may be dropped from registered<br />

classes. Checks for the amount of charges should be made payable<br />

to <strong>The</strong> <strong>Citadel</strong>. Fees may also be paid with bank cards, however a<br />

service fee is incurred. Electronic check payment is also available<br />

at no charge. Deferred payment plans may be arranged in advance<br />

of a semester through a third party. Forms are available in the<br />

Treasurer’s office. <strong>The</strong> <strong>Citadel</strong> reserves the right at any time to<br />

adjust fees to meet the current cost of operation. Fee schedules are<br />

published each semester on <strong>The</strong> <strong>Citadel</strong>’s web page. <strong>The</strong> <strong>Citadel</strong><br />

Treasurer is responsible for the collection of monies due to <strong>The</strong><br />

<strong>Citadel</strong>. All correspondence concerning fees, payments, and status<br />

of accounts should be directed to that office.<br />

Financial Aid and Scholarships<br />

<strong>The</strong> Financial Aid Office handles student loan applications, grants,<br />

scholarships and work-study programs. <strong>The</strong>ir office is located in<br />

Bond Hall, Room 138 and they can be reached at (843) 953-5187<br />

or by email at financial_aid@citadel.edu.<br />

Forms and Deadline<br />

To apply for financial aid at <strong>The</strong> <strong>Citadel</strong>, all students should file a<br />

Free Application for Federal Student Aid (FAFSA) as soon as possible<br />

after January 1. <strong>The</strong>se forms are available online at http://<br />

FAFSA.ed.gov. Additional information may be requested by the<br />

Financial Aid Office. Students are responsible for checking their<br />

Lesesne Gateway accounts and completing all requested paperwork<br />

and financial aid requirements in a timely manner. Because funds<br />

are limited, those students whose applications are completed after<br />

the deadline dates will receive consideration for aid only as fund<br />

availability permits.<br />

Priority deadline dates are as follows:<br />

Academic year (fall and spring) February 28<br />

Fall only February 28<br />

Spring only October 15<br />

Summer March 15<br />

Applicants with financial aid paperwork not completed by June<br />

30 should not expect to receive notification of awards prior to the<br />

beginning of fall semester. <strong>The</strong>se applicants should be prepared<br />

to pay for their tuition, fees, and other costs at the established fee<br />

payment deadlines. Students will be reimbursed if they are subsequently<br />

determined to be eligible for financial aid.<br />

Determining Financial Need<br />

<strong>The</strong> amount of financial aid is determined based on the FAFSA<br />

form the applicant files after January each year. This form solicits<br />

information about the applicant’s family’s current financial situation<br />

and produces an “expected family contribution”. Adjusted<br />

gross income data from tax forms are used along with current asset<br />

information to determine family resources. Allowances are made<br />

for federal and state taxes, social security, employment (when both<br />

parents work), unusual medical and dental expenses, and family<br />

size. Other factors considered are any unusual expenses and the<br />

number of family members in college. In its simplest definition,<br />

financial need is the difference between what a student will pay to<br />

attend college and the expected family contribution, as determined<br />

by the need analysis. If costs exceed the amount of family contribution,<br />

then the applicant has “demonstrated” financial need.<br />

Dependent or Independent Status<br />

Federal student aid programs are based on the premise that parents<br />

have the primary responsibility of financing their children’s<br />

education. Independent students will fall into one of the following<br />

categories. Students are automatically independent and therefore<br />

not required to submit parental data if:<br />

a. He/she is 24 years old or older by Dec 31 of the award<br />

year<br />

b. He/she is a graduate student<br />

c. He/she is married<br />

d. He/she is currently serving on active duty in the U.S.<br />

Armed Forces for purposes other than training<br />

e. He/she is a veteran of the U.S. Armed Forces<br />

f. He/she has children (or other dependents) and will<br />

provide more than half of their support<br />

g. He/she was in foster care or deemed a dependent or<br />

ward of the court
