1.6.3. The Bidder’s Conference is planned to include a briefing on the bidding<br />

process; the Bidding Sheets; the prospective contract; and the technical<br />

and project management aspects of the project.<br />

1.6.4. The participation to the Conference is limited to a maximum of three (3)<br />

attendees per Bidder. No exception to this number of attendees will be<br />

made. A detailed agenda for the Bidder’s Conference will be sent to the<br />

participating companies in due course.<br />

1.6.5. Bidders that wish to participate in the Bidders Conference shall indicate<br />

their intention to attend not later than 7 days prior to the date of the<br />

Conference to the Point of Contact stated hereafter. NATO Secret<br />

security clearances are not required for the Bidders Conference. The<br />

interested Bidders shall provide the following relevant data for each of<br />

their (maximum of three) staff wishing to attend:<br />

Name of company,<br />

Name of attendee,<br />

Passport/ ID card number,<br />

Place and date of birth,<br />

E-mail address.<br />

1.6.6. All attendee nominations shall be addressed to the IFB POC specified in<br />

2.5.1 below.<br />

1.6.7. Any questions which the potential Bidders would like to have answered<br />

at the Bidders Conference must be submitted in writing not later than 7<br />

days prior to the date of the Conference to the POC, at the address<br />

mentioned under paragraph ‎2.5.1 “Purchaser Point of Contact”.<br />

1.6.8. The Purchaser will respond to these previously submitted questions at<br />

the Bidders Conference. If any additional questions are asked by the<br />

potential Bidders at the Conference, the Purchaser may attempt to<br />

answer pertinent questions at that time, but any answer that may appear<br />

to amend terms, conditions and/or specifications of the Contract shall be<br />

considered to be formally included in the Invitation for Bid only when a<br />

written amendment to the IFB is issued in writing by the Purchaser.<br />

1.6.9. In any case, a written summary of the Bidders Conference will be issued<br />

by the Purchaser to all potential Bidders after the Bidders Conference.<br />

1.6.10. Notwithstanding the written answers provided by the Purchaser after the<br />

Bidders’ Conference, the terms, conditions and language of the IFB<br />
