Office of Administrative Hearings<br />

Development of Special Case Tracking Database<br />

In FY 1998, the Office of Administrative Hearings received nearly 46,000<br />

referrals of contested case appeals. While the bulk of these cases came from<br />

the Department of Social and Health Services and the Employment Security<br />

Department, approximately 800 were "special" case referrals from a wide variety<br />

of state agencies and local governments.<br />

While OAH has developed automated case tracking systems <strong>for</strong> DSHS and ESD<br />

cases, there has been no systematic way to track special cases. Some<br />

caseloads were tracked through computer spreadsheets; others were tracked on<br />

paper in spiral notebooks.<br />

Using the agency's existing software, a team of OAH employees has developed<br />

an easy-to-use Paradox application that consolidates all special caseloads into<br />

one dynamic database.<br />

<strong>Results</strong><br />

★ Improved ability to track special caseloads <strong>for</strong> timeliness and quality.<br />

★ Improved service delivery by providing more accurate and timely in<strong>for</strong>mation<br />

to client agencies and appellants.<br />

★ Improved efficiency and effectiveness of agency staff by decreasing<br />

paperwork and improving accuracy of case tracking.<br />
