Property Tax Imaging/Document Management System<br />
The Exempt Property Section determines the tax status of property owned and<br />
used by nonprofit organizations throughout <strong>Washington</strong>. Over 700 exemption<br />
applications and 9,000 renewal notices are received and processed annually.<br />
Files are maintained on each of the nonprofit organizations that currently have<br />
property exempt from property tax. Property tax auditors, located in Seattle,<br />
Spokane, and Tumwater need access to these files so duplicate files were<br />
maintained by photocopying them and routing copies to each field office. The<br />
new imaging/document management system provides field auditors access to<br />
electronically stored records within 20 minutes of initial receipt.<br />
<strong>Results</strong><br />
★ Filing cabinets and other storage systems are eliminated.<br />
★ Potential loss due to fire/water damage minimized by back-up tapes stored off<br />
site.<br />
★ Almost immediate access to in<strong>for</strong>mation allows quick response to taxpayer<br />
questions.<br />
★ Applications and documents are imaged as they are received, eliminating the<br />
need to photocopy the documents saving $1000 annually.<br />
★ Saves 100 hours annually in time spent photocopying, routing and filing the<br />
documents.<br />
