Project Team meetings are scheduled twice a year; if possible they are placed two or three months
before each relevant project milestone (review), in order to accomplish the necessary monitoring of
the project and make it possible all relevant corrective actions.
Inter-cluster meetings are also foreseen for each to emphasize the coordination of technical aspects;
their frequency shall be approximately once a year.
A joint Validation (Quality Monitoring)-Hydrovalidation workshop is organized once a year with the
purpose to monitor and assess the status of the Quality Monitoring and Hydrovalidation services.
2.3.8.3 Project Management Team
A Project Management Team is settled, composed by the Project Manager and staff persons
nominated by PM. It will regularly control the ongoing activities comparing the statement of work
with the Master Schedule, to be reported to the Steering Group.
As stated in 2.3.9 and 2.3.10 and in the JOP-OICD (see [RD 3]) Project Management Team is in charge
of the interactions with EUMETSAT Secretariat and with CAF, other SAFs and other external entities
or initiatives.

Furthermore, as staff person nominated by PM, the Financial Officer will perform the activities
related to financial accounting and control, in the framework of the Support Function WP-S 1210
and in coordination with the Project Management Team, the EUMETSAT SAF Project Controller and
the EUMETSAT Accounting Officer. He will accomplish the annual Cost and Asset Reporting,
according to the SAF Financial Status Reporting Procedure [RD 13].

2.3.8.4 Actions Management
Actions agreed during Project Team Meetings, Steering Group Meetings, Reviews Meetings and
bilateral Meetings with EUMETSAT will be tracked by mean of the Action List document, in which
each action will be numbered, assigned to a responsible person or institute, and associated to a date
of completion.
The document will be regularly updated and its presentation and discussion will be in each agenda of
Project Team Meeting , as well as the check on the action closure.
