PROCEDURE FOLLOWED IN THE DEPARTMENT OF EMPLOYMENT ANDTRAINING TO CLEAR THE LETTERS.1) All the letters received from the general public, Government <strong>and</strong> other <strong>of</strong>fices are seen by the Joint Direc<strong>to</strong>r/ Deputy Direc<strong>to</strong>r / Assistant Direc<strong>to</strong>r (Admn) (Important tappals which calls the attention <strong>of</strong> theDirec<strong>to</strong>rare sent directly <strong>to</strong> him). After the initialling by the <strong>of</strong>ficers, the tappals are sent <strong>to</strong> General Inward Sectionwhere the Inward Clerk will allot a running number on the papers.2) From the Inward Section, the tappals are sent <strong>to</strong> the case workers concerned.3) The case workers will enter the subject <strong>of</strong> the letter in their individual register <strong>and</strong>allot numbers as per the <strong>of</strong>fice procedure manual. This number will be allotted <strong>to</strong>the new file.4) The file with the new number alongwith the letter <strong>and</strong> notes will be put up <strong>to</strong> theconcerned <strong>of</strong>ficer for taking decisions.5) Depending upon the circumstances, the file traverses from Assistant Direc<strong>to</strong>r <strong>to</strong>Deputy Direc<strong>to</strong>r <strong>to</strong> Joint Direc<strong>to</strong>r <strong>and</strong> finally Direc<strong>to</strong>r for taking decisions.6) When once decision is taken the file will be returned <strong>to</strong> the case workers forpreparing a draft.7) When once the draft is approved, a fair copy is prepared <strong>and</strong> signature obtainedfrom the authorised <strong>of</strong>ficer.8) Finally the letter will be despatched by the despatch section <strong>to</strong> the concerned.All the records will be maintained <strong>and</strong> destroyed as per the guidelines outlined inthe <strong>of</strong>fice procedure manual.
