Arrange for the rally calendar to be published in <strong>Contours</strong> magazine.<br />
Receive booking forms from members, process them and pay monies into the Club<br />
bank account, inform Treasurer of what has been paid in.<br />
Inform members by an appropriate method (email/letter/telephone) that their<br />
booking has been received and that they have a place reserved for the rallies booked.<br />
Inform rally marshal of who is attending their rally, send joining instructions to<br />
members two weeks prior to the rally by appropriate method (email/letter).<br />
Inform Pennant maker how many pennants needed for the rally & the address where<br />
they should be sent.<br />
Deal with queries from members by request with regards to rallies or gatherings. Any<br />
other duties which may from time to time be agreed by the Committee.<br />
Promotions Officer<br />
The post entails liaising with various organisations outside the club, as well as<br />
committee work. Computer literacy skills are essential. In brief the post includes:-<br />
Committee matters – attend three committee meetings a year and the AGM.<br />
When required arrange for a marquee for the AGM.<br />
Liaise between the committee and the producer of the magazine to ensure it is produced<br />
on time and includes all the necessary reports and the correct advertisements. The<br />
timing of the magazine before the AGM is particularly important.<br />
Members Insurance.<br />
Liaise with Pennine Outdoor Leisure and the Pennine Owners Club.<br />
NEC Shows. When space can be found for the club at the show arrange for the club<br />
to be represented and ensure that promotional material is made available.<br />
Arrange for the production of and upkeep of the club website – this could be carried<br />
out by another person or organisation.<br />
Regional Co-ordinators<br />
The Regional Co-ordinator is responsible for the co-ordination of activities in their<br />
defined area ensuring that rallies/gatherings do not clash. They will also work with the<br />
adjacent co-ordinator to ensure there is no unwarranted overlap between areas. They<br />
should liaise with the Site Secretary regarding rallies in their area. They are expected<br />
to promote the view from the field of members at committee meetings. Their role is to<br />
ensure the activities of the Club in their area are carried out to the current Club Rules<br />
and to carry out any other duties that are passed by the committee associated with<br />
the position. Storage of the regional party tent and arrangement of its movement<br />
between rallies may also be necessary. The co-ordinator should therefore have<br />
sufficient time and skills for this position and be able to attend three Committee<br />
meetings a year to represent the area concerned.<br />
Do think seriously about coming on the Committee we need people to come forward/<br />
be nominated. We need a Committee to run the club, sort out the rallies and discuss<br />
our survival and the future. Apart from the AGM we only meet a couple of times<br />
during the year and all expenses are paid. We do need to fill these vacant positions.<br />
