6. Secretary’s Report.<br />
Steve Miller first informed the meeting that Marion Templeton had very kindly agreed<br />
to be the Club’s Membership Secretary and would in future be responsible for keeping<br />
the membership database up to date and deal with all membership issues including<br />
reminders and renewals. Steve said he was grateful for this offer to take on the task<br />
and it would mean that he could more promptly deal with telephone enquiries and<br />
other matter of the Secretary’s Post.<br />
Steve’s main concern was the falling in membership numbers which could in time<br />
challenge the club’s viability. There were a few members paying at an old rate of £15<br />
but they had not responded to any reminders and did not receive copies of <strong>Contours</strong>.<br />
This is also happening with many members this year not increasing their standing<br />
orders from £20 to £25 and they will be chased up. Steve said that of course the bill<br />
for magazines had dropped but the unit cost per issue was much higher. There was a<br />
long discussion on the Magazine and its viability for the future and perhaps the use of<br />
an e-magazine instead could be considered. This was agreed and this needed to be<br />
discussed at length at the next committee meeting.<br />
Steve also talked about the use of Facebook as a way of attracting new members to<br />
the Club. He stated that we had now nearly 500 Facebook members drawn by the<br />
ease of posing and answering questions and also showing the fun they have with the<br />
club or just with the club at rallies. Not everyone is a fan of Facebook but building on<br />
its popularity it could replace the Forum on the Club site. The Forum is for a number of<br />
reasons unavailable at times, particularly in the evening. The Forum, Steve suggested,<br />
could be a separate Facebook Page just for fully paid Members. The AGM agreed<br />
that this should be discussed by the Committee at its next meeting. The annals of the<br />
current Forum would be available to all members.<br />
7. Site Secretary’s Report<br />
Henry Richbell spoke to his written report. He said he was disappointed with the<br />
numbers of people attending rallies and also in the members of rallies taking place.<br />
The Committee had discussed the problem of rallies he said that in future years the<br />
Regional Co-ordinators will assist in identifying sites for rallies and look for the Rally<br />
Marshalls, This would be primarily in the North and South Regions. He suggested that<br />
Camping and Caravanning Club Sites were difficult for the Club as minimal numbers<br />
are required and often the club could not make these numbers or the price of the<br />
pitches increased to a high price due to diminished attendees. The Committee had<br />
discussed other alternative type of rallies such as used by C&CC and Caravan Club<br />
but they often do not appeal to all. There was a long discussion on this and members<br />
were fully engaged to give suggestions for the Committee to look at.<br />
8. Election of Committee Officers - the Secretary informed the meeting that<br />
there had been no persons proposed for the vacancies.<br />
a) Site Secretary - no persons volunteered for the Post. Henry Richbell agreed to<br />
continue but for one year only<br />
b)Treasurer. Steven Doyle offered his services for the post with Allan Kynes assisting<br />
him in taking over the post. Proposed by Paul Masters and seconded by Kath Prince.<br />
c) Southern Co-ordinator – Dawn Masters volunteered to cover this but would not be<br />
able to attend Committee meetings.<br />
