HOW DO I START PLANNING?
For the making meaning sessions to be fruitful, the program lead will have to do quite a bit of planning,
as shown below.
MAKING MEANING OF DATA SESSION PLANNING
Step
Who is responsible/
involved?
What questions should we consider as we plan
for this step?
Part 1: Review and reflect on your data individually and as a team
Plan your MMOD
session
Distribute the data to
the team ahead of time
Implementation team
members should read
the data report(s)
independently before the
MMOD session, and then
review as a team
Host MMOD session
Coordinate meeting with
implementation team to
make meaning of data
Program lead
Entire team
Entire team
• How will you make the best use of everyone’s
time? (Building MMOD into existing meetings,
events, and trainings)
• When will the meeting take place? (Schedule
time as it is possible and realistic for your
team, either a few 20-30 minute sessions or
a 2-3 hour session, depending on how much
data you review.)
• What scheduling information needs to be
taken into consideration?
• Where will the meeting take place?
• Do you want to review data reports per
program or in aggregate across your Y?
• Do you want to review one data report or all
data reports when you make meaning
of data?
• When will you distribute your data reports?
• What is the context in which the
data emerged?
• How will you ensure that team members
know how to read the report(s)? Will any
support be needed to read the report(s)?
• How will you ensure that the team stays
focused and positive throughout the session?
• What challenges do you anticipate?
• How will you ensure that the team feels
ownership over the planning process?
Part 2: Plan with your data as a team
During your MMOD
session, use your data
to create or modify
your PIP
Based on your data and
review, identify areas of
growth you’d like to focus
on to build on your goals
Entire team
• How will you maintain focus on program
improvement and leave room for staff to
choose where they want to
improve personally?
• Which aspect of the data are you most
satisfied with? What should you celebrate?
• What does the data reveal that you want to
share with others?
• Where does the report reveal opportunities
for growth?
• What are some areas you think need to be
improved that are not indicated in the data?
