2 Services 12 Invoice Audits and Consolidation There is a lot of paper associated with operating a vehicle; car washes, fuel, oil changes and repairs. When you stop to think about it, one vehicle can generate a dozen bills in a month – each of them needs to be paid and included in the cost of operating that vehicle. At VEMA, all operating bills associated with your vehicles are sent to us where they are verifi ed before being paid. We have qualifi ed staff dedicated specifi cally to paying vehicle-related invoices. We enter each transaction looking for billing errors, cost consistency, and duplication of work. We also watch for opportunities to negotiate discounts. Our invoice consolidation means you don’t have to deal with receiving all of your vehicles’ individual repair and maintenance bills. Incident Management Service VEMA will help you and your drivers with our Incident Management Service. This includes driver support and follow-up, repair co-ordination, cost control processes, and accident reporting, upon request. After the driver reports an accident, every item of follow-up is recorded in Keys. If your vehicle is brought to 626 Henry Ave. in Winnipeg for repair, your driver remains productive while our qualifi ed Accident Coordinators manage the claim and get the vehicle back on the road quickly and cost-effectively. Taxable Benefi t Services If you have drivers using their VEMA vehicles for personal use, our Taxable Benefi t Service is a great time-saver for your administrative staff. Preparation can be overwhelming unless you have a detailed vehicle and use database. Through Keys and our monthly distance reporting systems, we can calculate Canada Revenue Agency’s automobile taxable benefi t, print T4 slips, and distribute them directly to our provincial customers. For our customers outside the provincial government, we are able to provide you with either the calculation or the printed T4 slips. Communication We communicate regularly with your organization’s Vehicle Coordinator about what’s new at VEMA and about changes in the automotive and fl eet management industry in Canada. We send out immediate information by email. In addition, regular newsletters are distributed to drivers and contacts.
Consulting Services VEMA offers consulting to help you make the best vehicle decisions. We can assist you with analyzing your fl eet statistics and identify any areas to improve effi ciencies or vehicle utilization. Call us to set up a meeting with VEMA’s fl eet management experts. 3. Maintenance, Repair and Outfi tting Services Besides being a leasing and fl eet management organization, VEMA also operates a Full Service Facility in Winnipeg. The facility is available to serve all public sector organizations with a wide range of vehicle services including repairs, maintenance, bodywork, and specialty outfi tting. Please see the section on the Repair and Maintenance Facility for further information. Contracts and Discounts VEMA has established an excellent network of private sector dealers and maintenance shops throughout the province. Because of this relationship, and volume of business, we can offer you quality service at very competitive prices no matter where you operate. Agreements with major after-market parts suppliers and tire distributors ensure that our discounts are passed through the local repair facility to you. 13 2
